Recruitment Assistant

Schedule qualified applicants’ interviews and evaluations, then recommend them for final evaluations with a department’s hiring managers. They also aid in the processing of requirements for recruited applicants as well as the management of their onboarding operations.

Responsibilities:
Manage calendars to schedule interviews between suitable candidates and managers
Facilitate meetings by greeting candidates, booking meeting rooms etc
Recording and feeding back interview outcomes
Administration of offer letters, employment contracts
Validation of prior employer references or personal references
Administration of the onboarding process, ie documenting the receipt of all essential information such as permission to work in the USA be it a green card or an employment authorization card (EAC)
Record all employee information according to the state’s local data privacy and security laws.
Assist in the new employee induction process ie health and safety, fire evacuation procedures.
Notify necessary departments that a new employee will be starting and their role/requirements ie IT department, payroll etc
General administration and ad hoc activities include filing and managing record systems and aiding the HR & Recruitment team as needed.
Managing the database and vacation scheme tracker to ensure correct report generation.

Requirements:
Excellent people skills covering a wide range of situations, from welcoming to discrete
Administration and technological skills – Microsoft Office suite as a minimum
High level of organizational skills as will be handling private and sensitive employee information
Committed, resilient and with a hardworking and proactive attitude.
The position necessitates a high level of attention to detail when updating and managing data across systems, databases and spreadsheets.
