**Job Summary:**
Reporting to the Financial Operations Manager, you will work independently while collaborating with various teams including Aftermarket Sales, Customer Service, Logistics, and Accounting. This position offers an exciting opportunity to manage standard accounting and administrative tasks while supporting the overall administrative function. **Job Specifications:**
- **Job Type:** Full-time
- **Location:** Appleton, WI
- **Pay Rate:** $24 to $26/HR
- **Shift:** standard business hours
**Roles and Responsibilities:**
- Create and process customer and supplier invoices.
- Perform follow-ups on invoices as needed.
- Obtain and follow up on supplier documentation.
- Assist with reconciliation of Aftermarket orders.
- Process inventory transactions and assist with bi-annual physical inventory counts.
- Maintain audit documentation and perform audits as directed.
- Back up the Aftermarket Administrative Specialist by entering orders and creating purchase orders.
- Support other activities within the Administrative Department as required.
- Create and maintain Standard Operating Procedures.
- Complete additional tasks/projects assigned by the Financial Operations Manager.
**Qualifications & Skills:**
- Associate degree in accounting or finance preferred.
- Minimum of 2 years' experience in related roles.
- Strong organizational skills with accurate document control.
- Ability to multitask effectively in a fast-paced environment.
- Proficient in accurate data entry.
- Self-directed with the ability to work as part of a team.
- Excellent communication skills.
- Proficient in MS Office / O365 applications.

The temporary position for Accounts Receivable/Billing Specialist - Arrowhead Conveyor LLC supports the accounting functions by completing all billings for Arrowhead Conveyor LLC, uploading to customer portals, updating down payment spreadsheets, change order processing, orders reporting daily, completing EFT forms, assisting with sales tax certificates, Accounts Receivable collection phone calls, coding freight invoices, vendor COI (all locations), Clear Inter Company banks at month end, and processing monthly customer statements. Other accounting duties as needed.
Major Responsibilities:
- Invoicing for AHC. (Parts, service, projects, freight, tax, change orders)
- Updating the customer down payments spreadsheet for the orders booked.
- Updates customer down payments spreadsheet with new invoices.
- Change order processing and invoicing
- Completes statement requests from customers and vendor EFT request forms from customers.
- Sends out invoices, per customer protocol, using portals and E-mail.
- Conducts collections. Making receivable phone calls on the invoices that are due and updating the notes to reflect the latest information.
- Bullets (weekly report on past due invoices and notes regarding them)
- Orders (bookings) reports for AHC.
- Coding freight invoices
- Request tax certificates and work with tax dept to make sure tax is correct on invoices.
- Monthly D&B and Moody's data requirements.
- Track Vendor COI's
- Performs other duties and responsibilities as requested.
- One-year certificate from college or technical school or one-year related experience and/or training. or equivalent combination of education and experience.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.
- Handle multiple projects simultaneously.
