About the Role:

Were looking for an analytical operations generalist with a high 'need for speed' and track record of 'rapid-fire execution' to help build the next generation of mental health care.

In this role, youll work alongside our Head of Operations and Head of Therapy to help manage both internal (team-facing) and external (customer-facing) company operations. This will involve:

What Youll Be Doing

As SnapMagic's Business Operations Manager, you will have a significant impact on the company, owning the entire business operations function - from high-level strategy to tactical execution. This role is crucial for driving scalability today and into the future as we grow aggressively. In this role, youll not only lead business operations but youll also work collaboratively with all teams, including sales, marketing, partnerships, engineering and customer success.

Finance & Revenue Operations

  • Oversee all financial operations including payroll (employees, contractors, commissions), budgeting, invoicing, expense management, and monthly financial flux analysis

  • Prepare customer quotes and agreements in HubSpot, manage invoicing (recurring and ad hoc), and handle vendor setup forms and Stripe reconciliation

  • Maintain financial dashboards (e.g., Annualized Bookings in HubSpot), perform monthly forecast updates, and run, analyze and action invoice and expense reports

  • Action the payment aging report by following up on overdue accounts; maintain purchase order (PO) and credit tracking processes.

  • Manage equity administration through Carta

  • Automate and continuously improve GTM workflows and systems (HubSpot, Google Sheets, Slides, etc.), including managing our Hubspot CRM

Recruiting & People Operations

  • Own the full recruiting lifecycle: source candidates, post/review job descriptions, manage pipelines, and drive recruiter accountability

  • Train and support hiring managers and team admins in recruiting processes and manage outcomes

  • Manage onboarding workflows, compliance trainings (e.g., E-Verify, harassment prevention), and internal enablement programs

Systems & Strategic Execution

  • Automate routine processes with tools like HubSpot, QuickBooks, Stripe, and Google Workspace to improve efficiency and accuracy

  • Maintain and enforce documentation standards: ensure Notion, SOPs, and Google Drive are well-organized and up-to-date across all functions

About the Role:

Embedded within our Operations, Data Center Infrastructure, and Cloud teams, the Business Operations Manager will spearhead critical initiatives and provide support for Crusoes highest strategic and operational priorities. This role will be highly demanding and deeply rewarding, offering the opportunity to work on challenging, complex problems in a dynamic environment. Your work will directly impact some of the largest and most important Artificial Intelligence and Infrastructure projects in the world.

The ideal candidate is seeking an opportunity to invest themself into an extremely fast paced, high velocity, and rapidly evolving role. Candidates should possess elite skills in analysis, project management, communication and interpersonal influence. Commercial savvy and common sense are required, operational and/or engineering skills are a major plus. Candidates must have a passion for Crusoes mission and desire to be part of a tight-knit and enthusiastic team.

What Youll Be Working On:

  • Planning, deployment and operation of some of largest capital projects in the world, involving billions of dollars of data center infrastructure and related IT hardware and energy systems

  • Development and rollout of internal systems to facilitate operational excellence and continuous improvement across Crusoe

  • Business development and commercial operations across energy, data center, and technology markets

  • Preparation and execution of key initiatives and operations, for example:

    • Quantitative and qualitative analysis of key decisions

    • Management of various projects and initiatives

    • Development of presentation materials to inform and influence key stakeholder groups internally and externally

  • Planning, development and implementation of operational processes and systems that enable Crusoes growth while delivering on our core mission

  • Creation and implementation playbooks and standard operating procedures

  • Development and management Root Cause and Corrective Action (RCCA) Systems

  • Implementation of processes to clarify roles and responsibilities and improve decision making (e.g., RACI / RAPID)

  • Follow-through and operational implementation of new processes, including a feedback loop for continuous improvement and refinement

  • Identification of hotspots in the business that require intervention and proactively investigate, strategize, and implement solutions with those business leaders to drive efficiency

  • Development, execution, and tracking OKRs and KPIs in partnerships with team leaders

What Youll Bring to the Team:

  • Bachelor's degree - engineering, business, science or a related field preferred

  • 6+ years of experience in management consulting, business operations, venture capital, private equity, or as a founder

  • Ability to travel 30% of the time domestically and internationally

  • Able to break down complex business challenges using first-principles thinking

  • Excellent written and verbal communication skills

  • Ability to operate at all altitudes discussing strategy and vision with executives, and troubleshooting operations with individual contributors

  • Strong understanding of technical project management principles and practices

Compensation Range

Compensation will be paid in the range of $50,000 - 180,000. Restricted Stock Units are included in all offers. Compensation to be determined by the applicants knowledge, education, and abilities, as well as internal equity and alignment with market data.

Now we are building Copilot, built on a proprietary dataset of over 10 million components, schematic symbols, and footprints created by SnapMagic.

As the Business Operations Manager at SnapMagic, you'll be working on both high-level strategy and granular tactics, and making a huge impact. This position is a good fit for those interested in learning how great companies scale, seeing how multiple parts of an organization interact, and taking swift action to drive improvements and results across the organization.
What You'll Be Doing

  • Finances :
    • Manage monthly financial flux, payroll, forecasts, expense management, and budgeting.
    • Handle compliance, Stripe, and action the Aging Report.
  • Recruiting :
    • Own the recruiting process end-to-end, including sourcing, candidate marketing, posting JDs, and managing recruiters.
    • Run weekly recruiting metrics and strategy meetings.
    • Ensure smooth onboarding and training for new hires.
  • Systems :
    • Implement and improve scalable processes across the organization. This includes:
      • Documentation
      • Internal Systems
      • Financial Systems
      • Office Management

  • People:

  • Office Management :

  • General Business Operations :
    • Manage relationships with software vendors, insurance providers, and other operational needs.
    • Execute on-board business operations tasks snappily!
    • Proactively identify and mitigate future operational challenges
    • Own all day-to-day tasks
  • Experience :
    • At least 5-7+ years in an operational role, preferably in a fast-paced startup environment.
    • Experience with relationship building internally and externally
    • Proficiency with hands-on recruiting experience, from sourcing to onboarding.
    • Proven track record of implementing automation for efficiency and scaling operations.
