Under the general supervisor of the Director, Financial Service, the Data Entry Coordinator will oversee day-to-day operations of data entry and related tasks for the Titan Shops operation. This position performs invoicing and credit data input for merchandise and related purchases, verifies the accuracy of information in the inventory control systems, ensures timely processing of invoices, and maintains records for Titan Shops.

Essential Duties

  • Oversees the input of daily data entry of vendor invoices & bills ensuring accuracy.
  • Ensures data integrity on billings and vendor credit memos in the NetSuite system.
  • Oversees vendor invoice processing to ensure bills are paid on time. Works with Buyers and Accounts Payable staff to troubleshoot invoice errors and reconcile vendor statements.
  • Responsible for building new vendors in NetSuite for all areas of Titan Shops.
  • Regularly reviews open item reports in the NetSuite system and addresses follow up in a timely manner on outstanding items.
  • Works with buyers and managers to ensure proper processing of vendor returns.
  • Works with logistics staff and department buyers to resolve receiving problems.
  • Ensures accurate maintenance and digital uploads for all credit and billing documents.
  • Provides data entry support during physical inventory counts.

  • Know and follow all safety rules and procedures. Report any unsafe acts or conditions to the proper person.
  • Ability to travel for training and professional growth.
  • Typical work schedule is Monday - Friday
  • Complete all assigned training (Auxiliary Services and Campus) on or before required due dates to maintain compliance.
  • Other duties as assigned.
ESSSENTIAL COLLABORATIONS:
Maintaining positive working relationships is essential to the success of the operation. Those relationships include both internal and external partners outside of Auxiliary Services. Primary collaborators for success in this position include but are not limited to, the following:
  • Internal: ASC Financial Services
  • External: Titan Shops buyers, supervisors and managers, vendors, shipping companies, etc.
Qualifications

MINIMUM QUALIFICATIONS:
  • Minimum three (3) years of data entry experience required.
  • Basic accounting knowledge and experience with ERP systems (NetSuite preferred).
  • Minimum two (2) years of progressively responsible clerical experience which involves monitoring and coordinating high levels of documents for processing (digital and print) while following procedures and internal controls to ensure efficient operations.
  • Excellent customer service and communication skills.
  • Must be able to professionally communicate with customers, vendors, and employees.
  • Ability to work with a large and diverse staff.
  • Ability to promote and prioritize Diversity, Equity, and Inclusion (DEI).
  • Experience in a college bookstore or traditional retail store environment preferred.
  • Good computer knowledge including Windows, Word, Outlook, PowerPoint and Excel
  • General office skills (copy machine, email, fax, filing and phone).
  • Attention to detail required as well as previous experience maintaining accurate records, managing multiple tasks, and organizing work in order to meet deadlines.
  • Must be a self-starter, actively seek out resolutions, and proactively recommend solutions/provide feedback.
  • Must be able to maintain confidentiality, be objective, and demonstrate skills in conflict management.
EDUCATION:
  • Minimum Associate degree or equivalent years of work experience.
  • Minimum Bachelor's degree, preferred.
  • College course work in business desirable.


PHYSICAL DEMANDS: Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, not exposed to extreme noise level, use hands to finger, handle, or feel, reach with hands or arms, stoop, kneel, taste or smell. Ability to lift and carry 25+ lbs. Ability to perform prolonged repetitive tasks.
