The Administrative Assistant is responsible for providing comprehensive administrative support to ensure the efficient operation of the office. This role involves various tasks including answering phone calls, scheduling meetings, supporting visitors, and carrying out administrative duties such as filing, typing, copying, binding, and scanning documents.
Key Responsibilities:
Provide administrative support to ensure the smooth operation of the office.
Answer phone calls, schedule meetings, and support visitors in a professional manner.
Carry out administrative duties including filing, typing, copying, binding, scanning, etc.
Complete operational requirements by scheduling and assigning administrative projects, and expediting work results.
Exhibit polite and professional communication via phone, email, and mail.
Support the team by performing tasks related to organization and strong communication.
Provide information by answering questions and requests promptly and accurately.
Maintain supplies inventory by checking stock levels, anticipating needed supplies, and placing and expediting orders for supplies.
Contribute to team effort by accomplishing related results as needed.
Qualifications:
Minimum Qualifications:
High school diploma or
equivalent.
Proven experience as an administrative assistant or
relevant role.
Proficiency in MS Office (MS Excel and MS Word, in
particular).
Excellent time management skills and the ability to
prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong
organizational skills with the ability to multi-task.
Discretion
and confidentiality.
Preferred Qualifications:
Additional qualification as an Administrative Assistant or
Secretary.
Previous experience in a similar administrative role.
Familiarity with other software applications, such as PowerPoint
or Outlook.
Experience with office equipment such as
photocopiers, fax machines, and printers.
Knowledge of basic
accounting principles.
Ability to adapt to changing priorities
and work effectively under pressure.
Experience working in a
team-oriented environment.
Strong interpersonal skills and the
ability to interact professionally with clients and colleagues.
