Gardenary, Inc exists to make gardening ordinary for everyone through online courses, books, and high quality gardening products in the Gardenary shop while inspiring and educating millions through social media, podcasts and the Gardenary blog.


Role Description

Gardenary Inc. is seeking an Administrative Assistant to join our team in Nashville, TN to support our course students and shop clients through email, calendar and administrative support.


This is a full-time hybrid role, meaning the candidate must be willing and able to commute to the office on a regular basis, but some work from home is acceptable. The Administrative Assistant is responsible for managing the daily operations of the business including answering all support emails for course students as well as shop inquiries.


Tasks

  • Responds to all company emails and other digital queries and correspondence.
  • Provides administrative support to ensure efficient office operations.
  • Maintains physical and digital filing systems.
  • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
  • Manages calendars for senior staff, including making travel arrangements.
  • Drafts and edits emails, letters, reports, and other documents.
  • Inputs and updates information in databases and spreadsheets.
  • Prepares meeting agendas and takes meeting minutes.
  • Coordinates logistics for meetings, including room setup and catering.
  • Uses word processing and presentation software to create and edit documents.
  • Operates and maintains office equipment, including printers, video equipment and presentation software.
  • Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
  • Researches as requested and compiles and summarizes information for reports or presentations.
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Presents a positive and professional image for the organization.


Qualifications

  • Bachelor's degree required
  • Experience in executive support, office administration, or a related field
  • Experience in online business including email campaigns, text campaigns, online courses and online shop
  • Excellent organizational, time-management, and problem-solving skills
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Familiarity with project management software, such as Asana or Trello
  • Ability to work independently and collaboratively in a fast-paced and quick growing company
