General Position Summary :

This position, under direction, is responsible for maintenance and repair of all major building systems, including HVAC, mechanical, electrical, security and plumbing, as well as proper operation of the energy management systems for commercial buildings. This position is also responsible for preventive maintenance and responds to tenant requests for maintenance or repair.

Essential Functions/Major Responsibilities :

  1. Perform or coordinate with outside vendors to perform maintenance or repair of all building systems, including working on HVAC, electrical, mechanical, plumbing and energy management systems.
  2. Respond to and handle service requests from tenants in conjunction with company work order system.
  3. Respond effectively to all emergencies, which includes coordinating with fire and police department personnel; monitoring safety compliance; testing and maintenance of alarms and sprinklers; maintenance and repair of control and key systems.
  4. Review and actively participate in contract management. May be tasked with writing job specifications and developing bid packages; analyze contractors, contract compliance, contracts, costs and insurance.
  5. Perform equipment inspections and due diligence efforts to correctly diagnose problems; repair failed equipment throughout the building.
  6. Work with the day porter as needed and oversee response to janitorial issues or problems.
  7. Handle issues related to buildings: punch list, warranty issues, new tenant training and problem solving, new contract facilitation.
  8. Comply with all safety procedures, maintaining good housekeeping and safety of work areas, while being compliant with State, County, or City Ordinances, Codes or Laws.
  9. Assist in refurbishment of vacant space.
  10. 24/7 On-Call availability and able to work overtime as needed.
  11. Other assigned operational tasks as may be typically expected of a facility maintenance professional.

Requirements

Knowledge, Skills and Abilities :

Note: Skills required vary somewhat by building or property, with larger commercial properties requiring the highest level of technical knowledge and skills. The skills noted below are those generally needed for this position.

  1. Knowledge of all building systems, including HVAC, mechanical, electrical, plumbing, security and energy management systems.
  2. Ability to use various hand and power tools appropriately.
  3. Demonstrated strong communication skills, including the ability to tactfully handle complaints and negotiate disagreements.

Education and Experience :

  1. High school diploma or equivalent.
  2. Minimum of two years vocational training specializing in HVAC, or a similar program preferred.
  3. Two to four years experience in building maintenance and engineering, or equivalent.
  4. The incumbent must hold, or be capable of attaining, a Washington 07-Electrical license.
  5. Certificates in plumbing, mechanical, electrical and boiler or completion of certified training programs is also desirable, as is factory training in one or more energy management systems.
  6. Valid Drivers license.

About the Role

Reporting to a Director of Property Management, the Property Manager will manage the daily activities of a portfolio of commercial assets, which may include office, flex, retail, and industrial space. The objective is to optimize asset value, develop and maintain tenant and owner relationships, and increase revenue. This role will focus on properties in the Northern Virginia area with some travel to Maryland.

Primary Responsibilities

Property Operations

Responsible for the day-to-day operations of your assigned portfolio to ensure that all site operations comply with the established policies and procedures, and the management agreement, and are consistent with TPM's overall objectives.

Conduct formal site inspections in compliance with established standard operating policies and procedures.

Create and maintain site-specific documentation, including property and tenant information, site operating manuals, and emergency operations manuals.

Obtain proposals, award contracts, and manage third-party vendors and contractors.

Oversee in-house building engineers and maintenance personnel.

Ensure regulatory compliance and effective management of risk and liability. May be responsible for collecting tenant certificates of insurance and maintaining compliance.

Other duties as assigned.

Financial and Lease Management

Prepare annual budget, monthly financial variance reports, operations analysis, and leasing activity reports.

Manage receivables to ensure timely rent collection.

Oversee the completion of CAM reconciliations and ensure a smooth recovery process.

Process and approve invoices, assuring accuracy and consistency with company policies.

Understand Tenant Lease obligations and ensure compliance.

Work closely with Lease Administration and the Accounting team regularly.

Owner and Tenant Relations

Cultivate and maintain positive, open relationships with Owners, Tenants, and Vendors at all times, ensuring their service needs align with leases and management agreements.

Coordinate Tenant move-ins and move-outs, following detailed procedures.

This role is responsible for ensuring efficient operations, facility maintenance, lease compliance, financial oversight, and positive tenant relations, all while maximizing the value and performance of the properties. Key Responsibilities: Property Operations & Compliance Oversee day-to-day operations including tenant and contractor communications, security, and general maintenance. Conduct routine property inspections (minimum three visits per property monthly) and manage tenant move-ins/outs. Ensure lease compliance in coordination with the lease administration team, including monitoring critical dates and legal requirements. Ensure all properties comply with local, state, and federal laws. Facilities Management Maintain common areas (e.g., parking lots, building exteriors) in clean and operational condition. Prepare and negotiate RFPs for repairs, maintenance, and capital projects; supervise third-party contractors. Enter and track work orders, ensuring timely resolution of maintenance issues. Respond promptly to facility emergencies (e.g., plumbing, power outages, fire). Prepare and finalize CAM (common area maintenance) and real estate tax reconciliations. Assist in developing and managing annual operating and capital budgets. Manage rent collections, tenant ledgers, and monthly reporting; approve payments and resolve discrepancies. Generate and analyze financial reports on a monthly, quarterly, and annual basis. Act as primary point of contact for tenant inquiries, complaints, and lease enforcement. Build positive relationships to support tenant retention and satisfaction. Oversee landlord work per lease terms and manage tenant buildouts and legal notices (defaults, evictions). Administrative Duties Maintain property records and ensure adherence to operational procedures and contract specs. Coordinate with legal, accounting, insurance, and tax professionals as needed. Ensure quality control and data accuracy in collaboration with internal teams. Communicate effectively with upper management and external stakeholders. Continuously develop professional and technical skills; perform other tasks as assigned. Qualifications: 3–5 years of multi-site property management experience; retail preferred. Strong skills in Microsoft Office (especially Excel) and Adobe Acrobat. Proven experience with budgeting, forecasting, CAM, and tax reconciliations. Working knowledge of basic accounting and property management software. Strong understanding of applicable property laws and regulations. Excellent organizational, communication, and customer service skills. Professional demeanor with strong time management and discretion. Work directly with the Accounting Department on financial questions regarding monthly variance reports; works with Commercial Lease Administrator in billing and collecting rents and other charges due under commercial leases. Performs annual reconciliation of common area maintenance (CAM), real estate taxes (RET) and insurance charges for assigned commercial properties. Works with the on-site service teams to manage property maintenance programs to ensure prompt and courteous responses to maintenance requests and property appearance which meets or exceeds standards. Inspects the property regularly for quality and to assess and identify needs for improvement. Monitors, inspects, and assesses the property landscape and other attributes to identify and address potential safety hazards and concerns and to ensure quality property aesthetics.
