Job Description
Billing Specialist is responsible for auditing bills of lading, handling accounts receivable and accounts payable duties, and receiving and verifying that carrier invoices are accurate. This position will work with both asset and non-asset-based transportation and logistics companies.
Billing Specialist responsibilities and essential job functions include, but are not limited to the following:
- Verifies that transactions comply with financial policies and procedures
- Performs freight bill auditing for internal and external business partners
- Clarifies any questionable invoice items, prices, or receiving signatures
- Receives and verifies carrier invoices
- Effectively researches, analyzes and resolves carrier invoice discrepancies
- Corrects errors or lists discrepancies for adjustment, including communication via phone and/or email with customers and/or carrier partners
- Works cross-functionally to resolve process and billing issues that do or may cause customer issues
- High school Diploma or GED required
- Experience in Billing, Accounts Receivable, Accounts Payable preferred
- Previous logistics, transportation, domestic or international experience a plus
- Knowledge of TL, LTL, Import/Export, Customs, accounts receivable, and accounts payable processes a plus
- Must be proficient in data entry functions
- Must be organized, have keen attention to detail, and be accurate
- Must have good communication and problem-solving skills
- Must be proficient with Microsoft Office Suite including Outlook, Excel and Word
- Must be able to handle multiple tasks within specified timeframes
- Ability to read, write and speak English fluently; Bilingual (English/Spanish) a plus

SUMMARY
Data Entry into Billing System
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Enter data into Billing system
- Verify data by comparing to source documents
- Works closely with Operation staff to insure an accurate accounting of all times entered.
- Produces and maintains the procedures manual for areas of responsibility.
- Maintains all records in accordance with generally accepted accounting principles (GAAP).
- Performs any other duties as required or assigned by Accounting Manager, Director of Fiscal Operations and/or Executive Director.
SUPERVISORY RESPONSIBILITIES: None
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE
High school graduate or general education degree (GED) required. Some experience is recommended and preferred.
LANGUAGE SKILLS: Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from program directors, employees, resident families, legal representatives, outside agencies, and auditors.
OTHER SKILLS AND ABILITIES: Ability to deal courteously, tactfully and efficiently with clients, client guardians, management, auditors and staff members. Ability to set own work priorities based on work load and urgencies.
