Job Summary:
The HR & Benefits Specialist is responsible for supporting the administration and management of the organization's employee benefits programs. This role involves assisting employees with benefits-related inquiries, coordinating with vendors, maintaining accurate records, and collaborating with the HR Manager and HR VP on wellness initiatives. The Benefits Specialist plays a key role in new hire enrollments, open enrollment activities, managing life events, and ensuring the smooth execution of benefits processes.
Key Responsibilities:
- Administer and support employee benefits programs, including health insurance, retirement plans, wellness initiatives, and other perks.
- Manage new hire benefits enrollments, providing timely assistance and ensuring accurate processing of enrollment selections.
- Support annual open enrollment processes, including coordinating employee communications, assisting with system setup, and providing support to employees throughout the process.
- Provide guidance and support to employees regarding benefits options, eligibility, and enrollment processes.
- Process life events, such as changes in marital status, births, or other qualifying events, ensuring timely adjustments to benefits coverage.
- Collaborate with vendors to resolve benefits-related issues and ensure timely service delivery.
- Manage COBRA letter generation for terminated employees, including FSA reviews and terms.
- Handle benefits-related communications, including updates and distribution of educational materials.
- Conduct regular audits of benefits data to ensure accuracy and assist in maintaining compliance with regulatory processes as directed by the VP of HR.
- Work with the HR Manager to audit monthly billings for benefits programs and ensure timely processing of invoices.
- Assist the HR Manager with leave of absence (LOA) administration, including tracking and maintaining accurate documentation.
- Assist the HR Manager with workers' compensation claims, including processing and communication with relevant stakeholders.
- Manage and process student injury claims, ensuring timely and accurate documentation and communication with relevant stakeholders.
- Collaborate with the HR Manager and HR VP on wellness initiatives, supporting the development and execution of programs to enhance employee health and well-being.
- Process benefit enrollments, changes, and terminations in HR systems.
- Process child support orders that involve employee benefits, ensuring accurate implementation and compliance with legal requirements.
- Monitor benefits utilization and assist in preparing reports for leadership as required.
- Stay updated on changes to benefits administration processes and assist in communicating updates to employees.
- Administer the Employee Referral Program, including processing referrals and ensuring timely tracking and follow-up.
- Manage Tuition Discount Requests by reviewing submissions, verifying eligibility, and processing approvals.
- Respond to verification of employment request.
- Coordinate the mailing of final paychecks and separation documents, ensuring timely delivery and compliance with company procedures.
Qualifications
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
- 2+ years of experience in benefits administration or a similar role.
- Strong organizational and administrative skills.
- Proficiency in HRIS platforms and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills, with the ability to support and educate employees effectively.
