- Responsible for the accurate maintenance of digital price files, replenishment reports, and hosted catalogs and maintains transaction processing and databases that support the Materials Management Information System control applications.
- Generates and effectively uses system reports to perform utilization analysis and trends. Monitors the performance of, and maintains transaction processing and databases that support the Materials Management Information System control applications.
- Provides analyses, presentations, and recommendations on usage, issuance, and general practices of General Stores warehouse to the senior management including the Director of Materials Management and compare current spend amounts against contract prices across all products procured by UH Materials Management.
- Formulates performance improvement initiatives for the department and trains supervisory and staff personnel to perform new tasks as created to enhance overall departmental efficiencies.
- Evaluates the accuracy of spend categories such as freight, product orders and other related categories against the contracted price and identify possible savings in existing/ future spend categories.

- Bachelors Degree in Materials Management, Business Administration, or a related field required.
- Three (3) years of professional experience in procurement and/or materials management and data-analysis.
- At least one (1) year of experience in handling or working with databases.
- Must be data literate.
- Additional related experience may be substituted for the degree on a year-for-year basis. High degree of customer service focus.
- High degree of comfort performing in an evolving environment. Strong analytical skills, creative problem solver with a high degree of initiative.

What You'll Be DoingThe Materials Management Buyer is responsible for the purchase of supplies, equipment and purchased services with the goal and focus on quality, availability, and cost that afford the best products at the lowest cost by adhering to the agreed upon contracts (including GPO or local contracts). As part of the procurement function, responsible for strategically reducing acquisition costs within defined categories of the hospitals spend. Seeks to reduce expenditures through effective supplier negotiations, value analysis, cost modeling, etc. Facilitates contract management and prepares requests for proposals or bids while following established policies and procedures. Implements savings initiatives. Researches and maintains competitive sources of supply, while utilizing data and analytics tools/resources.
The successful candidate will be able to:
- Identifying, addressing and reporting all major, consistent/persistent price discrepancies to appropriate personnel including the Materials Manager.
- Creates, confirms, and accurately expedites all purchase orders for assigned departments via email, telephone, or electronic order entry.
- Organizes, updates, and retains product information files, and purchase order records.
- Proactively investigates price changes and challenges these changes when not justified.
- Ensures appropriate paperwork is secured from the vendor and updated in the respective information systems.
- Analyzes data in spreadsheet and database format
- Verifies requisitions for proper approvals, appropriate use of item files, contract pricing and manufacturer, distribution channel, and terms and conditions.
- Resolves issues of receipts, backorders, accruals, returns, quality (fitness for use), or invoicing issues for purchase orders, and assists in resolving invoice/Purchase Order discrepancies by working collaboratively with vendors and CarePoint Health Accounts Payable Department.
- Establishes and maintains an open and clear line of communication with assigned departments while acting as a source of product knowledge, with the goal of driving savings and standardization.
- Initiates and maintains the preferred vendor list for each department and reviews purchase orders to verify compliance with approved vendors.
- Provides detailed review for assigned departmental spend to ensure adherence to contract when appropriate and assists in conversion to compliant products.
- Governs backorder and substitution requirements and action plans to ensure clinicians have the necessary supplies to maintain patient care levels. Also facilitates and maintains the short-term substitute list.
- Maintains proper and appropriate professional and ethical relationships with all vendor representatives/business partners and conducts business according to established principals and guidelines.
- Collaborate with end users to support key initiatives.
- Consistently reviews spend and identifies areas for savings and renegotiation.

- 3-5 years prior experience working in healthcare procurement preferred.

Position Summary The Manager, Materials Management is responsible to Plan, Organize and manage all hospital-wide activities for Receiving, Central Supply, Inventory Management and Distribution, Mailroom, Equipment, Courier Services, Perioperative, and Linen (if applicable). Plans, implements and manages policies and procedures to optimize inventory control and reduce waste. Develops and implements standard operating procedures for inventory controls to include assessment of the amount of stock on-hand, cycle counts, stocking replenishment process, proper location and labels with product numbers. Provides organizational leadership and works closely with department staff and Managers/Directors of other departments to guide technical and operational direction, customer service, planning and coordination of all material services. Responsible for staff recruitment, retention, development, training and discipline. Directly accountable for adherence to Materials Management operational budgets. This position is part of the integrated system-wide supply chain team and supports the execution of strategies including Procure to Pay (P2P ) optimization, Supply Cost saving implementation, automated point of care inventory management, Logistics and Distribution. The manager is the primary point of contact for hospital leadership at their assignment campus and works closely with COO, CNO, and CFO (Dotted Line) to meet established goals. Essential Functions and Responsibilities of the Job Provide direct leadership and management of a team of non-exempt and exempt staff, including shift schedule development, timecard approvals, performance evaluations, and corrective actions. Ensures compliance with State and wage & hour requirements including timecard responsibilities in the timekeeping system. Plan, organize, supervise and participate in daily operations and activities, including the receipt, documentation, storage, safety and distribution of equipment and supplies and maintenance of inventory. Acts as primary point of contact for Medical Surgical Supply recalls for their assigned campus. Responsible for and oversees the Hospital supply chain functions with responsibilities for managing and controlling all inventory locations, automation, customer service, utilization, standardization, material systems and financial controls. Provides oversight and direction for the Inventory, Receiving, Par- Level Management process. Management of the Central Supply team, ensuring day to day operations are cost effective, with patient and employee safety as a priority. Leads the implementation of inventory management processes at the point of care across all acute care facilities. Develops and Provides training and education to staff members on new equipment, procedures, and operational enhancements to ensure all staff remain informed of all changes. Assesses financial reports and assists Executive Director in development of annual budgets. Approves invoices for payment and ensures expenses are in line with approved budget. Observe health and safety regulations; ensures work areas are maintained in a clean, safe and orderly condition. Corrects staff behaviors that are inconsistent with health and safety. Manage a visibility board which includes Key Performance Indicators (KPIs) including fill rates, Stock outs Backorders, Receiving Exceptions and others to support continuous improvement. Ensures regulatory requirements are met in accordance with 3rd Party (Ex. TJC, DNV), Local, State and Federal guidelines. Other duties as assigned. *Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. As a contracted Planner, Material's Management, you'll play a crucial role in ensuring the continuous, uninterrupted flow of raw materials to support internal manufacturing operations. Reporting to the Senior Manager of Material Management, you'll be tasked with maintaining strategies to optimize material planning, procurement, and inventory control, all while upholding the highest standards of quality and service.
Summary of Key Responsibilities:
•Partner with Manufacturing teams to develop material plans in support of internal manufacturing.
•Develop material forecasts (as needed).
•Execute material planning and procurement activities based on manufacturing schedules and Material Requirements Planning (MRP) principles.
•Set and maintain safety stock and replenishment strategies for production materials and consumables.
•Maintain and update SAP master data entry as directed.
•Monitor SAP transactions and business activities related to material management to ensure inventory accuracy and timely supply of raw materials.
•Create and modify requisitions and purchase orders for direct materials.
•Expedite open orders.
•Reconcile and resolve invoice discrepancies.
•Strategically manage and report on raw material inventory to minimize operational disruptions and exposure to excess and obsolete inventory (E&O).
•Develop strong relationships with Manufacturing, Global Planning, CMC, Regulatory, Commercial, Clinical Operations, Clinical Supply, QA, Development, etc.
•Communication with internal stakeholders and external vendors.
Qualifications:
•B.S. in Business, Logistics, Supply Chain Management or science-related discipline or 1-3 years' experience in a Supply Chain Planning role, preferably in a Biotechnology or Pharmaceutical environment.
•Strong understanding of supply chain planning policies and procedures such as materials management, inventory controls, and process optimization.
•Strong analytical skills to effectively resolve material management issues and forecast inaccuracies.
•Solid understanding of pharmaceutical manufacturing processes, GMP principles, and new product introduction.
•Strong knowledge of ERP systems (SAP preferred).
•Excellent verbal and written communication skills and work effectively in a demanding, fast-paced environment.
•Demonstrated ability to adapt to change and handle both routine and non-routine responsibilities with attention to detail and problem-solving capability.
•High level of proficiency in Excel and Data Analysis.
•Bachelor's degree required.
•Relevant industry certifications are a plus (APICS CSCP/CPIM).
Pay ranges between $28-33/hr based on experience
