Act as a subject matter expert in the ATS and support HR data audits and reports (Time to Fill, Source of Hire, etc.). Collaborate closely with recruiters, field HR, and cross-functional teams to keep hiring initiatives moving forward. Jump into special projects and assignments that help improve our hiring processes. What You Bring: 1+ years of experience in recruitment coordination, HR, or administrative support. Bachelor’s degree preferred (or equivalent professional experience). Proficiency with Microsoft Office (Excel, PowerPoint, Word) and applicant tracking systems (Jobvite is a strong plus). Strong written and verbal communication skills. Exceptional attention to detail, follow-through, and ability to juggle multiple priorities. Passion for teamwork, people, and process improvement. The Talent Acquisition (TA) Sourcing Specialist will support the Talent Acquisition team in all aspects of sourcing and talent pipeline development. This position will focus on sourcing strong and diverse talent for open positions in the field, corporate, both exempt and non-exempt.

Build and nurture a pipeline of talent for future needs and identified skill gaps across the organization.

Convert talent leads to applicants within the applicant tracking system.

Network and actively promote our brand through creation and utilization of recruitment branding materials.

Participate in establishing an employer of choice reputation for the company, both internally and externally.

Work collaboratively with the TA team and communication department to maintain consistency of branding, and communication.

Research, implement and maintain leading edge and creative sourcing tools and resources that improve candidate relationship development.

Build knowledge of competitor institutions and use market data and internal productivity metrics to inform sourcing strategy and recruitment methodologies.

Experienced in passive candidate identification, familiar with technology/tools necessary for resume mining and posting for talent attraction.

Responsibilities
+ Collaborate with hiring managers and candidates to secure interview availability and address inquiries.
+ Utilize relevant tools and systems to accurately schedule and confirm interviews, book meeting rooms, arrange travel, and manage supporting logistics.
+ Initiate and oversee pre-employment checks for all US hires to ensure a seamless onboarding experience, working with internal stakeholders such as HR Operations, Benefits, and IT.
+ Review new requisitions within UCAN and LATAM regions for accuracy and completeness, ensuring prompt allocation to the relevant recruiter.
+ Create, track, and manage Purchase Orders related to recruitment vendors, job boards, and contingent labor providers, and monitor invoice status for timely and accurate vendor payments.
+ Initiate, review, and process Form I-9 submissions, and complete timely submissions to E-Verify in accordance with USCIS instructions and regulations.
+ Provide system support to Hiring Managers and Recruiters as required, acting as a Subject Matter Expert on Workday Recruiting and recruiting processes.
+ Contribute to a first-class candidate experience and represent the Talent Acquisition team when meeting and greeting candidates.
+ Proactively build positive relationships with internal and external stakeholders.
+ Participate in continuous improvement projects.

Monday through Friday- 8am to 5pm CST (will be hybrid 2-3 days onsite)
Pay and Benefits
The pay range for this position is $23.00 - $28.80/hr.

In this critical role you will support Talent Acquisition's Day to day operations along with our continuous improvement initiatives and projects. The Talent Acquisition Operations Lead will be accountable for optimizing the functionality of Phenom CRM, analyzing recruitment data, implementing strategies to enhance the talent acquisition process while driving efficiencies through automations. The Talent Acquisition Operations Lead will serve as the resident Phenom subject matter expert (SME) ensuring seamless system functionality, increasing recruiter adoption while sharing insights to improve candidate engagement.
The Talent Acquisition Operations Lead will assist in gathering and organizing data & insights (internal and external) to better inform business solutions and support the team's needs. You will be a Subject Matter Expert (SME) in HR's recruiting systems (Workday & Phenom CRM) and processes to help inspire the design of effective practices that deliver the best candidate, hiring manager and recruiter experiences.
**This position has ben segmented as Hybrid meaning there is a combination of three onsite days per week and the rest remote.**
**Responsibilities:**
+ Optimizes the functionality of Phenom CRM, analyzing recruitment data, and implementing strategies to enhance our talent acquisition processes:
+ Coaches the TA function on proper Phenom usage & compliance.
+ Spearheads the administration and configuration of Phenom to ensure optimal. performance, maintenance and functionality.
+ Customizes Phenom workflows & reports to meet the needs of the recruitment team.
+ Designs and maintains Phenom dashboards that provide insights on pipeline, engagement, site performance and recruiter usage.
+ Provides ongoing training and support to TALT, Recruiters, Coordinators & Contractors on the effective use of Phenom.
+ Collaborates with Phenom support to troubleshoot technical issues and implement system enhancements.
+ Evaluates and implements new Phenom technologies/processes/tools to enhance our talent acquisition capabilities and streamline recruitment processes.
+ Drives Phenom adoption through the creation/implementation of best practices, office hours & training materials.
+ Creates & implements process for increasing candidate pipeline via campaigns
+ Monitors and ensures data integrity and site compliance.
+ Collaborates with Workday Team, IT and Phenom to properly manage updates and enhancements.
+ Reviews, updates & shares monthly Phenom updates across recruitment.
+ Maintains and updates career site (powered by Phenom) while supporting employer branding initiatives.
+ Supports all TA Operations initiatives to deliver on both short-term/long-term initiatives/goals with an emphasis on:
+ Process Optimization, Data Insights & Analytics, Technology Stack, System Implementation/Adoption, Recruitment Marketing, Employer Branding, Functional Budget.
+ Gathers business requirements to develop & implement action/project plans to support effective delivery of solutions e.g. new reports, new sourcing tools, process optimization, etc.
+ Supports and/or leads TA operational responsibilities, organizes and plans project meetings/strategy sessions, captures outcomes and tracks actions items from inception through implementation. Runs team and or project meetings; develops agendas, manages expectations, and follow through. Schedules and supports facilitation of vendor business reviews, strategy sessions and vendor invoicing.
+ Identifies continuous improvement opportunities through observations, feedback sessions and data evaluation. Advises on areas of opportunities and proposes solutions (e.g. streamlining processes or reporting). Owns change communications and training for continuous improvement projects and initiatives.
+ Builds effective partnerships cross-functionally to seamlessly deliver on initiatives in continuous improvement; HR Technology, HR Operations, IT - Continuous Improvement, Field & Corporate HR, Indirect Spend/Procurement, Finance, Supply Chain, etc.
+ Identifies TA operational opportunities and designs/implements strategies to improve & innovate TA processes to ensure effectiveness and efficiency throughout the TA Function (i.e., TA Org design, talent strategies, recruiting efficiencies, etc.)
+ Supports & maintains external relationships/partnerships with media partners, technology vendors, sourcing agencies and industry peers.
+ Stays abreast of recent developments in recruiting technology to help with the automation of recruiting processes.
+ Develops actionable business insights and recommend courses of action based on analysis and, influences decision makers to take recommended action - implements/manages the agreed upon courses of action.
+ Develops and maintains standard process documentation using Lucid, PowerPoint, etc.

+ **External:** Maintains high level relationships with media partners, technology vendors, sourcing agencies, and industry peers
**Minimum Qualifications:**
+ Minimum five years Talent Acquisition or Recruitment experience required; Must include full cycle recruiting and leveraging an ATS for these activities. Workday preferred.
+ Minimum 3 years CRM implementation and/or CRM management/maintenance required. Phenom preferred.
+ Minimum Two years' experience in Operations or PMO function; TA or HR preferred.
+ Experience gathering requirements for and managing small projects and driving continuous improvement initiatives.
+ Experience running reports and analyzing data to provide insights that inform business decisions.
+ Ability to exercise high emotional intelligence when faced with competing priorities, complex problems and ambiguity.
+ Comfortable navigating a matrix and sometimes ambiguous landscape
+ Experience with change management
+ Ability to cultivate and manage cross-functional partnerships in a matrix environment.
+ Excellent planning and organizing skills required; ability to prioritize and re-prioritize effectively while managing various tasks and responsibilities.
+ Advanced Excel skills; Setting up pivot tables, VLOOKUP's, filtering large data sets, creating formulas and charting.
+ Excellent written and verbal communication and interpersonal skills.
+ Experience leading pilots and supporting implementations for technology solutions.

Join Abbott's world-class Talent Acquisition team as a Manager Talent Acquisition Operations. Abbott's Talent Acquisition Operations team delivers high quality solutions through cutting edge technology that improves the hiring manager and candidate experience as well increase recruiter efficiency. We leverage our strategic partnerships with both internal Abbott HR Technology staff and third-party vendors to complete these implementations. The Talent Acquisition Operations team is responsible for the project management, vendor management, training, communications and effectiveness reporting associated with these implementations.
**What You'll Work On**
+ Develop and implement processes that make it easier for the organization and the recruiters to find the best talent in the most efficient way around the world.
+ Lead, manage, implement and/or participate in global projects
+ Gather requirements from respective stakeholders, research available solutions and provide recommendations to the Director of Talent Acquisition Operations with the mindset of simplifying our technology stack without sacrificing quality
+ Develop use-case based test scripts designed to assure quality and coordinate the completion testing across global team members
+ Develop communications, training materials, and job aids to ensure the successful adoption of new processes and technology
+ Oversee North American aspects of Talent Acquisition operations, globally. This includes, but not limited to process improvements, ATS management, and analytics.

**Required Qualifications**
+ B.S. in Human Resources, Business Administration, Computer Science or similar discipline
+ At least five years of experience working in Talent Acquisition, HR Information Systems or HR Technology
+ Strong computer skills using MS products, particularly Excel, Word, SharePoint, Outlook, Power Apps and PowerPoint
+ Must possess strong organization and communication skills
