Reporting To The Talent Operations Manager, The Staffing Coordinator Will Provide Administrative Support And Recruitment Assistance To The Talent Recruitment Services Team To Assist With Attracting And Employing Diverse Talent To Boston University. They Will Be Responsible For All Pre-employment Processes, Including Creating Offer Letters, Initiating And Monitoring Background Checks, And Processing New Hires. Responsibilities Include:
- Work closely with the Recruitment and Onboarding teams in all facets of the recruitment and onboarding process.
- Generate contingent offer letters and promotion and transfer letters.
- Submit and monitor background checks.
- Process new hires in SAP.
- Generate a variety of recruitment reports, including: weekly position vacancy, positions filled, time to fill and other recruitment analytic reports.
- Respond to Talent Recruitment Services inquiries received in general inbox.
- 1-3 years of related administrative or HR experience.
- Bachelor's degree or equivalent combination of training, education, and relevant experience in lieu of a degree.
- Familiarity with SAP, Silkroad Recruiting and Onboarding portal is desirable.

Must Have Qualifications :
- HS/GED equivalent
- Human Resource recruitment/onboarding, operations, or project management experience
- 1-3 years of experience in recruitment or employee onboarding
- The Staffing Coordinator is responsible for ensuring the successful on-boarding of their assigned workload of new hires in accordance with department protocol and process. They are the main point of contact for the new hire and as a result they are responsible for assisting the new hire throughout the on boarding process. The Staffing Coordinator must provide a high level of customer service at all times to their client group, which consists of new hires, applicants, and co-workers.
- Claim assigned requisitions same day as assigned.
- Build a new hire file to collect all required on-boarding documentation.
- Conduct a welcome call within 48 hours of requisition assignment to introduce yourself as the new hire's point of contact and review the entire on-boarding process.
- Schedule the pre-employment Occupational Medicine appointment with the new hire, based upon mutual schedules.
- Initiate the background investigation within 24 hours of completing the welcome call.
- Follow-up on the background investigation, including drug screen, employment, education, criminal history, clearances, licensure, and/or certification verifications, as applicable.
- If the background screening vendor is unable to complete a component of the background verification such as education or employment verification, the Staffing Coordinator will take all possible steps to complete the verification.
- Ensure that all pertinent certifications, licenses, and legal requirements detailed in the job description are primary source verified and entered as a credential in HCM system, as applicable.
- Ensure all required clearances are collected, uploaded and entered as a credential within HCM system, as applicable.
- Create the orientation schedule and share with all appropriate parties within 48 hours of completing the welcome call.
- Ensure new hire is scheduled appropriately within the training system.
- Assist with and verify completion of the new hire's Form I-9, prior to scheduled start date.
- Track on-boarding progress on the master tracker and ensure information is updated, at least daily.
- Review internal transfers current employee file with the new position requirements, and work to collect, confirm and verify any new requirements, prior to scheduled transfer date.
- Communicate often with the new hire and provide real-time updates on on-boarding progress.
- Escalate problems, issues and potential delays to the appropriate Lead.
- Complete the hire process once all on-boarding requirements are met, and prior to scheduled start date.
- Submit the completed new hire file for audit and approval, within specified time frame.
- Provide service recovery for lapses in the new hire experience.
- Complete administrative tasks, such as auditing new hire files, assisting with new hire communication, running reports, sharing data and trends with internal customers, and assisting the overall on-boarding process.
