We are looking for an organized, proactive administrative And Support services manager to oversee our administrative department operations and staff members. The administrative services manager will establish, evaluate, and change department controls and systems, review reports and interpret data, and hire, train, monitor, and direct employees while ensuring that the department and office operate efficiently and smoothly. Administer the child care assistance programs by providing applicants with program information, receiving completed applications, determining eligibility, paying the assistance monies to child care providers, invoicing for reimbursement of funds, and completing various reports.

Duties and Responsibilities:

  • Research and become familiar with child care requirements in each region and their requirements for one-on-one contact with Member, Providers and client staff. Respond effectively to incoming telephone calls and/or emails and provide accurate information regarding the child care program.
  • Assist Subsidy program members and providers across the US in the application process, eligibility determination and payment process.
  • Assist Members and Providers with the functionality and use of the GAPSI Childcare Subsidy website and Automated Management Portal and the Childcare Information.
  • Perform administrative tasks associated with the subsidy assistance initiative maintain compliance with all applicable Federal, State and local statutes and regulations.
  • Accept and review all applications and supporting documents for verification of required information.
  • Process applications in a timely manner not to exceed 5 working days from receipt of said application; maintaining confidentiality (in accordance with the Privacy Act) of all the information contained in the subsidy assistance applications.
  • Accept and process new qualifying Provider information from the Participant (should the Participant choose to change Providers) and ensure that the new Provider meets the requirements as set forth in the Plan.
  • Determine eligibility of child care providers ensuring they comply with all applicable licensing and regulatory requirements; maintain database of providers.
  • Assist and be a liaison and advocate to applicants who are denied subsidies based on the misinterpretation of state or territory laws.
  • Prepare vouchers for payment and submit to the Program Director for approval/denial.
  • Gather and prepare incoming applications for participants and submit to the Program Director for approval or denial.
  • Return all incoming call and emails that are received after hours within one working day of receipt.
  • Perform other duties as may be assigned.

Basic Qualifications:

  • High school diploma or equivalent.
  • One year previous experience.

Minimum Qualifications:

  • Experience as a customer service representative in a call center is preferred.
  • Demonstrated ability to follow prescribed processes, procedures and scripts to effectively manage workflow and process calls and documents.
  • Strong written and oral communication skills, with a special emphasis on outstanding, professional, telephone customer service skills.
  • Ability to perform tasks accurately in a fast-paced, deadline and detail-oriented work environment.
  • Demonstrated ability to perform data entry tasks accurately using customized software.
  • Ability to obtain and maintain a Public Trust Minimum Background Investigation (MBI) is required. Current MBI or current or recently inactivated Secret clearance is preferred.

Minimum of 16 years of age. Ability to use a computer confidently. Prior experience in food service, cleaning, and/or healthcare is beneficial. Previous customer service experience, retail counting and reconciliation of money preferred.
Depending upon location, must have a valid driver's license and have a good driving record. Serv Safe may be required to obtain within a designated time frame. Basic Life Support (BLS)may be required depending upon location requirements.

CORA is currently seeking a Support Services Coordinator to work within YouthCOR programs to increase student accessibility and inclusion within YouthCOR. The Support Services Coordinator will work with program staff to create and support student accommodation plans as well as connect students and their families to the relevant supports needed.

Starting hourly pay rate: $20.30 (Pay rate commensurate with experience.)

In addition, as a Support Services Coordinator , your duties will include:

  • Create accessible programs for all students to participate in OST programs.
  • Promote an inclusive program culture at the site level by recommending trainings and resources for program staff.
  • Support Site Directors/OST Managers in developing training plans for staff to ensure provision of appropriate trainings in SEL, Behavior Management, Differentiated Learning, etc.
  • Determine the needs and resources available in the community, complete resource mapping and develop a resource directory to connect families to resources within the school and community.
  • Complete an intake to assess the needs of the students during the registration process or as referred by the Site Director or Parent/Guardian.
  • Develop and implement support plans for students to engage in programs successfully.
  • Document all outreach and student progress using case notes.
  • Assist Student’s Family with registration for services and supports with external service providers, when appropriate.
  • Support the site director(s) with family engagement and outreach with respective case load.
  • Perform other duties as assigned by Manager, Youth Support Services, as needed.

EDUCATIONAL REQUIREMENTS:

  • BA/BS in Social Work or a closely related field (i.e. social services, sociology, psychology, theology, education, criminal justice, human services, and public administration)

EXPERIENCE/KNOWLEDGE/SKILLS:

  • Experience in early intervention, early childhood special education, social work, early childhood education, child development, special education, family counseling, family studies, social welfare, psychology or other comparable social sciences.
  • One or more years of experience working with or providing services to children, families, or individuals with disabilities through care coordination or case management.
  • Experience preferred working in a School/day program setting with students, facilitating meetings, and working in groups.
