Job Summary
The Travel Specialist plays a key role in supporting the University's travel operations by coordinating and processing travel-related documents in compliance with state and institutional policies. This position serves as a point of contact for faculty, staff, and administrators, ensuring that all travel requests and related expenses are accurately documented and processed in a timely manner. The Travel Specialist is responsible for maintaining travel records, verifying compliance with PPM49 regulations, and assisting departments with understanding and navigating the University's travel procedures.
Job Duties & Responsibilities
The Travel Specialist performs the following:
- Monitors the issuance and usage of University Travel Credit Cards, and conduct training sessions to ensure cardholders understand all responsibilities and compliance requirements associated with card use.
- Assist with training faculty, staff, department personnel, and approvers on the University's travel policies, including the process for submitting claims.
- Perform various administrative duties, including maintaining organized and accurate files, records, and documentation related to travel.
- Review and process Request for Authorization to Travel (TAs) for compliance with PPM49.
- Coordinate and process travel-related bookings and payments, including vehicle rentals, conference registrations, airfare, lodging, and cash advances.
- Prepare and submit the quarterly mileage report in accordance with University policy.
- Assist in reviewing Travel Expense Reports to verify accuracy and compliance prior to reimbursement to faculty and staff.
- Collect and review Bank of America travel card statements, card logs, and all required supporting documentation from University cardholders.
- Support the implementation of system or procedural changes related to the travel process, ensuring tasks are completed efficiently and updates are clearly communicated to impacted users.
- Be available to work additional or modified hours, including weekends or extended days, as required particularly during the University's fiscal year-end closing process.
- Perform other duties as assigned in support of the Travel Office's operations.
Minimum:
- Minimum of 3 years of administrative, accounting, or travel coordination experience, preferably in a higher education or public-sector environment.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Attention to detail with the ability to manage multiple tasks simultaneously.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with Banner or similar financial systems is a plus.
- Knowledge of Louisiana state travel regulations (PPM49) is preferred, or willingness to learn.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field (preferred in related field, but not required).
- Experience working with the Louisiana Office of State Travel policies and procedures (PPM49).

+ Coordinate travel, lodging, and meals for members needing to travel inter-island or out of state
+ Obtain, review, and approve required medical documentation authorizing long distance travel
+ Ensure all travel accommodation is booked with the most cost-effective mode of transportation
+ Provide detailed travel itineraries to members, case managers, or health plan in a timely manner
+ Educate medical facilities, clients, and case workers on proper procedures for requesting out of state travel
+ Update trip records post trip to include transportation provider information, trip cost, and trip status
+ Reconcile monthly concur reports
+ Create various utilization and reconciliation reports monthly
+ Assist with call queues when necessary to ensure service levels are met
