  • Responds to internal and external customer requests for additional volunteer services by submitting a survey to be completed by the requesting department/unit. Afterwards, the Coordinator must completed additional follow-up with the requester to clarify any ambiguous responses.
  • Analyzes and responds to issues and complaints from volunteers, escalating issues/requests to ensure highest quality of service and customer satisfaction is provided.
  • Serves as support to interprofessional workgroups throughout all HM entities with volunteer recognition programs and activities. Assists as backup support for the front desk administration position, as needed.
  • Responsible for the development of volunteer competencies and training, facilitating comprehensive training for all volunteers which is reviewed and updated annually as necessary.
  • Organize and participate in volunteer recognition programs and special events. Disseminates any information from Houston Methodist to volunteers as volunteers do not have email access.
QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Maintains accurate and organized records, volunteer files and records of services, hours and programs provided by volunteers and the department.

  • Depending on location, performs administrative and operational activities including reviewing department policies, maintaining department manuals and handbooks, creating volunteer service descriptions and other department recordkeeping activities, to accomplish the goals and objectives of the HM volunteer program. Develops and coordinates the volunteer work schedule by the assigned deadline.
  • Evaluates components of the volunteer program related to prescreens, placements, recruitment efforts, processing times and retention to ensure effectiveness and to recommend/implement changes as appropriate. Generates and communicates new ideas and suggestions that improve quality or services.

Job Description

To maintain and coordinate the volunteer program for Hospice. Responsible for the orientation, training and coordination of all Hospice volunteers, for volunteer program administration and development in all service areas.

DUTIES & RESPONSIBILITIES

  • Plan and supervise delivery of all volunteer services.
  • Assign volunteers to service on the basis of program needs and the volunteers' interests and skills.
  • Assess and monitor a recordkeeping system which includes services delivered and actual time involved.
  • Recruit, interview and select volunteers.
  • Design and supervise the orientation and training of volunteers.
  • Monitor and evaluate volunteers' performance.

Summary:

This position is responsible for all aspects of volunteer coordination at the agency level for all programs which fall under Catholic Charities and occasional support for those at Seton Home and St. PJ's. In collaboration with the Director of Volunteer Services, the Volunteer Coordinator will develop, implement, and maintain an exemplary volunteer program to provide a supplementary workforce through the use of corporate, religious, academic, community, and individual volunteers and interns.

Position Responsibilities:

  • *Lead and coordinate all agency efforts with regard to volunteers, including short-term and ongoing individual volunteers, volunteer groups, interns, etc.
  • *Develop and implement meaningful volunteer experiences in partnership with program directors.
  • *Identify, recruit, and place individual and group volunteers.
  • *Develop understanding of limitations and constraints of volunteering on campuses where children are under the care of Texas Department of Family and Protective Services and/or Office of Refugee Resettlement.
  • Strictly adhere to the regulations of Texas Department of Family and Protective Services and/or Office of Refugee Resettlement with regards to volunteer activities.

  • Ensure the volunteer experience is easy to access, meaningful to the volunteer, and productive for Catholic Charities, (Seton Home and St. PJ's if needed).
  • *Work with businesses/corporate partners as well as community organizations to provide team building volunteer opportunities for their employees (includes United Way Days of Caring).
  • *Work with colleges and universities to create internship partnerships for all agencies.
  • Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
  • Adherence to the Code of Conduct and Faith and Moral is mandatory.

The Volunteer Coordinator position is responsible for the coordination of the volunteer on-boarding process ensuring all compliance requirements and processing standards are followed thoroughly.
**PEOPLE ESSENTIAL FUNCTIONS**
+ Promotes a positive work environment and leads the team to be a dynamic, focused work unit that actively helps one another to achieve optimal department results. Role models to team members effective communication skills, assisting in their development of such skills.
+ Communicates in an active, positive and effective manner to all interprofessional health care team members, listens and responds to the ideas of others.
+ Responsible for the daily volunteer recruiting and interviewing process to determine skills, preferences, and experience to match the candidate with an appropriate volunteer assignment by visiting/contacting or attending churches, universities, career fairs.
**SERVICE ESSENTIAL FUNCTIONS**
+ Facilitate scheduling of all onboarding and ongoing compliance items for volunteers. Creates onboarding content, updated annually, and provides oversight for and leads new volunteer orientation.
+ Responds to internal and external customer requests for additional volunteer services by submitting a survey to be completed by the requesting department/unit. Afterwards, the Coordinator must completed additional follow-up with the requester to clarify any ambiguous responses.
+ Analyzes and responds to issues and complaints from volunteers, escalating issues/requests to ensure highest quality of service and customer satisfaction is provided.
+ Serves as support to interprofessional workgroups throughout all HM entities with volunteer recognition programs and activities. Assists as backup support for the front desk administration position, as needed.
+ Responsible for the development of volunteer competencies and training, facilitating comprehensive training for all volunteers which is reviewed and updated annually as necessary.
+ Organize and participate in volunteer recognition programs and special events. Disseminates any information from Houston Methodist to volunteers as volunteers do not have email access.
**QUALITY/SAFETY ESSENTIAL FUNCTIONS**
+ Maintains accurate and organized records, volunteer files and records of services, hours and programs provided by volunteers and the department.
