POSITION SUMMARY
As an integral part of a team, the HR Coordinator is responsible for continuously looking for ways to improve each team members experience from providing exceptional service to providing clerical and administrative support. This will include, but not limited to, office administrative duties, printing reports, payroll, maintaining employee files, departmental records/logs, recruitment, benefits, safety and training. Provides guidance, support and coordination in the consistent application of policies, procedures and practices of human resources.
ESSENTIAL FUNCTIONS
- Anticipate team members needs, respond promptly and acknowledge all team members, however busy and whatever time of day.
- Maintains positive employee relations at all times. Resolves complaints, ensuring team member satisfaction.
- Maintains complete knowledge of, and complies with all departmental policies, service procedures, and hotel standards.
- Fosters positive teamwork by working closely within the HR Division to review processes and offer suggestions to champion change.
- Establishes, develops, maintains and updates filing system for the department. Retrieves information from files when needed.
- Maintains confidentiality and security of specified hotel information, correspondence, reports and files.
- Sorts and distributes departmental mail. Coordinates delivery/messenger services. Prepares and sends faxes; distributes faxes to appropriate personnel.
- Prepares IDs and nametags as requested for new hires or existing team members.
- Assists with Benefits, COBRA, Safety, Workers Compensation and Training programs, as needed or assigned.
- Maintains and tracks required certifications for respirator program, liquor commission, spa licenses, drivers licenses.
- Maintains an inventory of supplies and required forms, ordering replenishments as necessary.
- Maintain locker room availability inventory.
- Processes reports for birthdays, perfect attendance awards, parking program and other requested items.
- Accurately maintains a cash bank for sales of movie tickets and other miscellaneous sales.
- Perform all other duties as may be required or assigned.
SUPERVISORY REQUIREMENTS
Reports To: Director of Human Resources
EDUCATION/EXPERIENCE
- Minimum one (1) year experience in Human Resources, preferably an upscale hotel with a large number of team members.
- Bachelors in Human Resource Management preferred.
- Any combination of education and experience which would provide the necessary knowledge, skills, and abilities to meet the minimum qualifications to perform the essential functions of this position.

- Able to anticipate team member needs; respond promptly and acknowledge all team members. Familiar with all hotel services/features and activities to respond to team member inquiries accurately.

- Strong proficiency in use of Microsoft Office programs such as Word, Excel, Outlook, and PowerPoint.

Position Summary
Works closely with the HR Leadership to assist in the day-to-day administration of HR job functions to include benefits administration, recruitment, training and development, and legal compliance.
Essential Functions
Administrative / Recruitment / Regulatory Compliance
- Performs detailed administrative responsibilities for Human Resources that are confidential in nature to include but not limited to budgeting, payroll, accounts payable, records management, purchase orders, travel arrangements and provides general support.
- Serves as department EMS Document Control Representative to maintain compliance with the EMS records management and document control requirements.
- Serves as the primary caretaker of electronic personnel files, including keeping filing up to date, ensuring files are always secure and confidential, controlling access to the files, and purging files according to CWS records retention policies.
- Monitors department budget and accounting details utilizing the corporate financial management system.
- Assist in the preparation of annual budgets.
- Maintains departmental training and HR-sponsored training records in the Training Management System database; creates and runs reports as necessary.
- Processes paperwork pertaining to a variety of associate transactions including entering data into HR Information System and placing documents in personnel files.
- Assists the HR Recruiter with recruitment duties including but not limited to: posting vacant positions, contacting candidates, coordinating interviews, conducting various background checks, etc.
- Assists with the coordination and maintenance of the apprenticeship program to ensure compliance with the DOL.
- Assists with the coordination and maintenance of the DOT/CDL Management Programs to ensure compliance for commercial drivers in the FMCSA Entry-Level Drivers Training requirements, DOT CDL Clearinghouse regulations, DOT Physicals and medical re-certification.
- Assists with the coordination of human resources related training programs and skills based training.
- Maintains and updates policies, manuals and bulletin boards to ensure accuracy of information.
- Assists with the coordination of the performance appraisal process by ensuring that appraisals are processed in a timely manner.
- Prepares monthly operating report.
- Prepare business travel plans for staff.
- Maintains departments office supplies, including ordering, organizing, and taking inventory.
- Supports and assists in daily administrative duties.
- Composes and/or types correspondence, administration reports and forms.
- May be required to work during emergency conditions.
- Regular attendance is required.
- Job performance must conform to all CWS policies and procedures.
- Specific knowledge of CWS Environmental Management System Policy and Procedures.

Responsibilities:
- Assist with the hiring process by create job postings that are accurate, engaging, and compliant with HR EEOC standards and AAP regulations, sort resumes, maintain applicant tracking system, and prepare reports in a high volume/production environment
- Schedule initial phone screenings, coordinate on-site interviews and travel arrangements for candidates, verify employment, education, references, and credit eligibility
- Maintain hardcopy and/or computer-based files and records
- Collect, prepare, and maintain data for analysis, reports, and reference
- Complete data entry in automated systems; may generate reports
- Review new hire paperwork and work with candidates to resolve discrepancies
- Research and evaluate operational issues, inquiries, and/or complaints, identify areas of improvement; determine solutions; implement enhancements/changes to improve operations, standards, and results
- Stay abreast of and ensure compliance with applicable, state and industry laws, regulations, and guidelines
- -Experience with Excel spreadsheets, creation, and maintenance
- -Experience with Microsoft, Teams and office
- Perform other duties as assigned
- 2 Years of experience as Administrator/Coordinator within Human Resources, related field, or the equivalent combination of experience, education, and training
- Desired experience with Fieldglass System
- Desired experience with HireRight
