Join our dynamic Quality team as a Document Control Specialist! We are seeking a highly organized and detail-oriented individual to enhance our healthcare operations by managing a secure, compliant, and current document library. This role is crucial for tracking and overseeing document lifecycles, including timely reviews, updates, and renewals of policies, procedures, and clinical documentation. If you have experience in document lifecycle management and compliance workflows, this position is perfect for you!
As the expert in our document management system, you'll ensure documents are accurate, accessible, and up to date. We require experience with document management systems like SharePoint, DocuWare, M-Files, OpenText, etc.

Position Highlights:
- Competitive pay: $22.48-$27.54/hour DOE, with the potential for higher compensation for highly experienced candidates.

Your Responsibilities:
- Administer and maintain the document management system effectively.
- Coordinate document review cycles and ensure updates and renewals with content owners.
- Implement proper versioning, archiving, and access control for all documents.
- Assist authors with formatting and editing prior to the review process.
- Facilitate legal and compliance reviews as necessary.
- Moderate document review forums and manage feedback workflows.
- Provide training to staff on document management tools and best practices.
- Track and report on document statuses, review dates, and system usage statistics.
- Maintain documentation standards, templates, and training resources.
- Create and uphold document management policies and process manuals, as well as training materials, including a training video.
- Produce reports on document management as requested.
Position Requirements:
- Education & Work Experience: High school diploma/GED with at least 4 years of document management experience, or an Associate's Degree with at least 2 years of relevant experience.
- Tools & Technology: Proficiency in Document Management Systems such as SharePoint, DocuWare, M-Files, OpenText, etc.
Preferred Qualifications:
- Associate's or Bachelor's Degree in Business, Computer Science, Information Technology, or Information Systems.
- Experience in document management within healthcare or regulated environments.
- Understanding of healthcare compliance standards such as HIPAA.
- Proficiency with Microsoft Visio.
Knowledge, Skills, & Abilities:
- Exceptional attention to detail and organizational skills.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with Visio for creating process maps.
- Highly organized and capable of managing multiple projects concurrently.
- Strong communication and problem-solving abilities.
- Adept understanding of records retention policies, data privacy laws, and audit trails.
