**SUMMARY**
The Administrative Assistant assists the Company by performing various administrative functions for the Corporate office. This includes handling of telephone calls, greeting visitors, assisting with meeting preparation and company events. Attendance and punctuality, professional demeanor and etiquette is essential in the performance of this position.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**
Essential responsibilities include performing the following:
+ Assists campus department heads and coworkers with ad hoc administrative tasks to include: computer generated correspondence using Microsoft Office Word and Excel with intermediate end-user capabilities, electronic scanning and copying of documentation, documentation preparation in electronic and hard format.
+ Assists in preparing for campus meetings to include conference room calendar management, conference room preparation for meetings (e.g., supplies, cleanliness prior to and at the close of meetings).
+ Assists in the preparation of company events to include decorating, meal planning, ordering, layout, and event close-out and clean up (manual labor is available for lifting and assistance with cleanup of bulk items).
+ In a professional and courteous manner greets visitors and notifies employees of guests arrival (following company protocols for visitors).
+ In a professional and courteous manner answer incoming and inter-company phone calls received by the main switchboard and handling calls in accordance with company protocols.
+ Maintain supplies within copy machines for functionality (paper, consumables). In cases of equipment malfunctions, contact the appropriate vendor for repair requests and sending notice to employees via email the status of the equipment 'out of order' or 'repaired status'. Maintain adequate equipment consumable inventory at all times to avoid a zero inventory situation. Communicating status of repairs to supervisor and employees to full resolve.

**A Brief Overview**
The Administrative Assistant provides essential support to ensure the smooth and efficient operation of an office. Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided. Ability to multitask, manage complex schedules, meet changing deadlines, and assist with various projects and presentations.
**What you will do**
+ Conducts complex administrative office coordination assuring smooth, timely, and efficient office operations.
+ Manages research, collection, analysis, and compilation of data and information for department reports.
+ Handles files, reports, and financial records, and manages department record retention.
+ Defines a high degree of customer service by fielding internal and external inquiries, resolving or redirecting as appropriate.
+ Ensures efficient workflow and office operations of the department by following established policies and procedures.
+ Monitors the internal and external department point of contact ensuring concise communication with employees, stakeholders, and members of the senior management.
+ Creates, edits, and proofreads presentations, documents, reports, and other materials.
+ Assists with scheduling appointments, meetings, and travel arrangements, and manage calendars for individuals or teams.
+ Contributes to various projects by researching, gathering information, and preparing materials.
**Required Qualifications**
+ 1-2 years of administrative work experience.
+ 1-2 years of experience creating PowerPoint presentations.
+ Proficiency in Microsoft Office Applications (Outlook, Excel, PowerPoint, Word).
**Preferred Qualifications**
+ Strong communication and interpersonal skills.
+ Excellent organizational and time management skills.
+ Basic awareness of problem solving and decision-making skills.
+ Attention to detail and accuracy.
+ Ability to multitask and prioritize effectively.
+ Bachelor's degree preferred.

**Pay Range**
The typical pay range for this role is:
$21.10 - $49.08
This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.

Provide Administrative Support to senior level staff. The individual should project a high level of professionalism and have a working knowledge of operating within the offices of senior Military officials. Must have the ability to work both independently and collaboratively with facility staff and manage assigned equipment and offices. Duties include, but are not limited to:
Identify and resolve problems
Track correspondence handled in support of assigned tracking system
Support Military, civilians and other contractor personnel with in and out processing
Provide continuity books and checklists for recurring tasks
Assist hand receipt holders with required documentation, passes and inventory activities
Assist in creation of government travel authorizations
Manage conference room schedules for multiple buildings
Assist the command in operational tasking support
Assist with international deployments, TDYs, military leaves and permissive TDYs
Serve as subject matter expert for training policies and procedures
Serve as a resilience training by conducing training for military services members, DoD civilians, military families and community members

This role will support complex and high-volume calendaring, travel planning, and expense reporting for a number of clients. Administrative Specialists provide remote support to clients across the Company and its locations. This is a full time position.
**Required Skills:**
Administrative Specialist Responsibilities:
1. Provide remote high-volume calendaring, travel, and expense support
2. Provide Administrative services during designated support hours
3. Manage complex calendars for multiple clients
4. Schedule internal and external meetings for multiple clients
5. Schedule and manage recurring and ad-hoc meetings and room bookings across campuses
6. Learn and utilize internal and external tools to provide calendar support
7. Establish ongoing relationship and communications with clients to learn business priorities and apply to support
8. Partner with clients and other Administrative Assistants for meeting coordination
9. Provide proactive time management recommendations to clients
10. Coordinate domestic and international travel arrangements via Concur
11. Prepare and submit corporate card expense reports
12. Maintain program scope of support within agreed-upon service level agreements

14. Draft and send communications to clients about transitions or changes in support
15. Provide coverage support for Admin Specialist colleagues
