Job Description
Financial Services company seeks an Administrative Assistant with excellent time management skills. This Administrative Assistant will maintain and update internal records, process and maintain vendor memberships, assist with event coordination, enter journal entries into the general ledger, monitor attendance recording, perform research and development, assist with daily office needs, confirm all cash receipts/disbursements, and be point of contact for donor acknowledgement communications. The ideal Administrative Assistant should have a technical aptitude for database systems, strong attention to detail and experience working in a professional services environment.

Job Description:
+ Greet and assist visitors in the reception area, determine the purpose of their visit, and direct them accordingly.

**Job Summary:**
The Administrative Assistant is responsible for the efficient and effective administration of all assigned areas. In this capacity, the incumbent provides administrative support to Hematology Oncology. Using work planning and follow-through skills, the incumbent exercises confidentiality and sensitivity in the performance of highly responsible duties under minimal supervision. Manages calendars, coordinates and schedules education sessions, meetings, and conferences/travel, serves as liaison to external departments, and creates/implements processes for maximum efficiency.
**Accountabilities:**
+ Answers and handles incoming phone calls, taking/routing messages appropriately, and triaging calls when needed. Interacts with all internal and external customers/patients in a professional manner whether on phone or in person.
+ Schedules appointments and registers patients in EMR. Ensures all needed records, reports, labs for upcoming patient visit are scanned and loaded appropriately into the EMR.
+ Provides administrative support for practice provider(s): calendar management, scheduling meetings (including staff meetings), preparation of materials for distribution. Types, transcribes, edits correspondence, manuscripts, reports, statistics, and other patient care, academic, and administrative documents.
+ Maintains supply inventory: ordering of clinical and office supplies, invoice processing.
+ Provides administrative support to the physician in their external roles with affiliated networks: intern and residency program, credentials committee, Physician Oncology Advisory Board, oncology CME program, and in quarterly strategic planning meetings to design future projects of the Cancer Center
+ Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
+ Other duties as assigned to support the unit, department, entity, and health system organization
**Qualifications** :
+ High School Diploma/GED (Required)
+ 2+ years of medical office administrative support (Required)

Summary:
The Administrative Coordinator will be a highly organized individual that will support the daily operation of the department of Real Estate, Design & Construction. Reporting to the Lease Administration Manager, the incumbent will be the primary department contact supporting the financial, supply, administrative and HR support needs for the Leadership team and the Project Managers. The incumbent will work closely with and take direction from the Lease Administration Manager to prioritize daily, weekly and monthly activities as well as other priorities as they may arise.
Responsibilities:
+ Provide administrative support to department leadership and staff as needed.
+ Coordinate and manage department meetings, schedules, and related logistics.
+ Handle ordering of office and kitchen supplies, business cards, equipment, and other requested items with appropriate approvals.
+ Prepare, submit, and track requisitions, process invoices, and support purchasing activities.
+ Process and track contracts through appropriate systems, collaborating with contract administration, property, and project management teams to ensure compliance.
+ Assist in maintaining current Certificates of Insurance (COI) in collaboration with Supply Chain and contract administration office.
+ Communicate with various internal teams (e.g., project managers, property managers, supply chain, accounts payable) and vendors to resolve issues and discrepancies.
+ Complete departmental check requests and other payment processes.
+ Support project managers with tracking project commitments and actuals, financial reporting, and monthly reconciliations.
+ Prepare and deliver reports on project status, cash flow, and financial metrics, adapting to specific departmental and organizational needs.
+ Participate in department committees, tracking membership and responsibilities as needed.
+ Prepare and distribute agendas, meeting materials, minutes, and attendance records for team meetings.
+ Perform duties in alignment with organizational values, policies, and procedures.
+ Execute additional tasks as assigned to support department and organizational objectives.

Education/Experience:
+ HS Diploma/GED. (Required)
