The Client Services Manager will help our patients and families to better understand the full potential of our products and act as liaison between the client and customer service. In addition, they will also be responsible for collaborating with different work groups and departments to improve client support programs and enhance client satisfaction. Duties and Responsibilities Provide regular updates to clients on the progress of customer service projects that directly affect each client Develop open and effective channels of communication with each client that can be employed by other departments as well Become the reliable point of contact for each customer that is required to establish a strong business relationship Maintain close relationships with families of the patients by providing constant communication over the phone, as well as face-to-face contact. Accompany the Clinical Case Manager during re-certifications visits and hospital discharges, delivering necessary supplies to nurses, and occasionally providing small meals or coffee to the patient's family to build rapport. Assists management by maintaining an extensive knowledge of the operations of the nurses in the field. Communicates all information regarding expectations and scheduling to various families. Continuing to recruit new nurses who can provide skilled care and attention to an existing case. Performs other duties as assigned to effectuate business goals Supports and executes the mission, ethics, and goals of the company effectively. Represents themselves in a positive and professional manner in the company and community. Adheres to dress code with a clean and neat professional appearance. Reports on time and as scheduled in order to complete work within designated time.   • Knowledge of administrative and clerical procedures and systems such as word processing, spread-sheet applications, managing files and records, and other office procedures and terminology.
  • General understanding of the investment brokerage industry and securities regulations with basic knowledge of investment products.
  • Able to organize, prioritize and manage multiple tasks, responsibilities and deadlines; is able to follow through and accomplish goals, manage expectations appropriately and use firm's resources efficiently.
  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to practical problem solving.
  • Knowledge of principles and processes for providing exemplary customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Seven Hills Veterinary Hospital is looking to add a full-time customer service star to join our team. We are a privately owned, 24-hour general, emergency and specialty practice that cares for companion animals & small mammals. The Client Service Representatives' (CSRs) primary responsibility is to assist our clients. The CSRs are constantly exposed to a variety of unique situations, which means there's never a dull moment! The ability to remain calm under pressure is key in this position, especially when assisting an emotional client. One of the unique benefits of this position is the relationships that develop between our team members and our clients and their furry family. CSRs are also trained to assist the doctors and technicians with patient handling and minor medical procedures. We have daytime and swing shifts available, 4 10-hour shifts. Shift differential is offered for the swing shift.

If you've crafted your organizational skills and love to talk to people, this position is a perfect fit. CSRs are responsible for greeting clients and differentiating routine cases from emergent cases (first line triage). It's critical that our team members understand and respect the human-animal bond. CSRs will schedule appointments, manage the client/patient database, generate invoices and explain services and treatment plans to clients, process payments and manage storage of patient medical records. CSRs thrive in a fast-paced environment and at the end of the day they feel like they've truly made a difference.

The Opportunity:

As a Client Service Representative (CSR), you are the first and last impression for every client who walks through our doors. You'll set the tone for the entire visit by creating a welcoming and supportive experience for pet owners and their companions. From managing phone calls and appointments to facilitating check-ins and check-outs, you'll ensure every interaction reflects our values of warmth, professionalism, and empathy.

This is more than a front-desk role-it's a critical position that shapes the client experience and supports the success of the hospital as a whole.

What You'll Do:
  • Deliver elevated customer service with warmth, empathy, and professionalism
  • Greet clients and manage the check-in/check-out process with efficiency and care
  • Answer and triage phone calls using a multi-line system
  • Schedule appointments, procedures, and follow-ups in coordination with the clinical team
  • Process payments and ensure accurate invoicing
  • Monitor the flow of patients and clients throughout the day
  • Maintain a clean and organized reception and lobby area
  • Communicate effectively with doctors, technicians, and managers to ensure smooth operations
  • Assist emotionally stressed clients with compassion and clarity
  • Support occasional light administrative and cleaning duties as needed
Our Client Service Representatives Have:
  • Availability to work evenings and weekends
  • Previous veterinary or medical front-desk experience (preferred, not required)
  • Strong communication and interpersonal skills
  • Comfort working in a fast-paced environment with multiple priorities
  • Familiarity with Windows-based systems and practice management software (or a willingness to learn)
  • A positive, team-first attitude and a passion for creating a welcoming environment
