**Responsibilities**
We're seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide professional administrative support to our System Senior Vice President of Physician Enterprise. This role is ideal for someone who thrives in a fast-paced, dynamic environment and excels at managing priorities with discretion and precision.
As a key partner to a senior leader, you will handle a broad range of responsibilities to ensure smooth day-to-day operations and help maximize the executive's focus on strategic initiatives. This includes managing complex calendars, coordinating high-level meetings, planning travel, supporting department-wide activities, and facilitating clear communication across teams and stakeholders.
**Key Responsibilities**
+ **Executive Support:** Manage the SVP's calendar with efficiency and foresight, including scheduling meetings, coordinating travel, preparing expense reports, and prioritizing correspondence to ensure optimal use of time.
+ **Communication & Liaison:** Act as a trusted point of contact between the SVP and internal/external stakeholders. Proactively manage communications, provide timely updates, and ensure alignment across teams.
+ **Meeting & Event Coordination:** Plan and execute logistics for executive meetings, department events, and special projects. Responsibilities include preparing agendas and materials (presentations, reports), managing catering/A/V needs, and capturing and distributing meeting minutes.
+ **Project & Budget Support:** Assist with departmental budget tracking and reporting, and support the coordination of special projects and strategic initiatives. Monitor account activity and prepare accurate documentation as needed.
+ **Office Operations:** Serve as a central resource for the department, managing daily operations, maintaining an organized workflow, and providing guidance to administrative support staff when applicable.
+ **Document Management:** Prepare, edit, and present a wide range of documents, reports, contracts, and other business materials. Maintain attention to detail and consistency in formatting, grammar, and tone.
+ **Confidentiality & Judgment:** Handle sensitive information with the highest level of discretion and professionalism. Make informed decisions and manage routine matters with minimal supervision.

+ Proven experience supporting senior-level executives in a professional, fast-paced setting
+ Excellent organizational, written, and verbal communication skills
+ Strong attention to detail with the ability to manage multiple priorities seamlessly
+ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with tools for virtual collaboration and project tracking

**Qualifications**
**Education/Work Experience Requirements**
Five or more years of progressively responsible related office or secretarial work experience that demonstrates attainment of the requisite job knowledge skills/abilities. Experience in a healthcare environment is preferred.

Providing reliable and professionally sound and strategic guidance, consultation, and recommendations with a high level of expertise . Areas of focus include:

Global Regulatory Compliance

Developing, reviewing, and submitting policies, procedures, and documents that support investment compliance with global regulations, agency policies, and federal, state, and foreign laws. This includes creating and monitoring automated compliance alerts to ensure internal and investment manager compliance with Board policies, investment management guidelines, and applicable laws and regulations, as well as completing timely filings with agencies such as the Securities and Exchange Commission and Federal Reserve Board .

Regulatory and Market Documentation

Reviewing and negotiating global regulatory and other investment documents to ensure accuracy and compliance with state laws and agency policies. This includes developing and managing policies and procedures in support of global regulato ry compliance, foreign capital market standards and complex investment forms.

Personal Investment and Gift Compliance

Managing the personal investment and gifts policies including monitoring and approval of staff investments, monitoring staff compliance, and recommending modifications and waivers to the Investment Compliance Manager and Legal, Risk, and Compliance Director. This also includes communicating with agency staff to identify reportable activities and presenting key analytic reports on Board and staff compliance to the Audit Committee.

Qualifications

Bachelors degree in accounting, finance, business administration, public administration business law, or a closely aligned field or degree from an accredited law school.

Four years experience in auditing (internal or external), due diligence reviews, and/or compliance testing activities.

Demonstrated honesty and ethical conduct .

Excellent verbal and written communication skills; ability to tailor communication to fit the audience.

Ability to adapt to changing business needs, conditions, and work responsibilities to achieve successful solutions and results in dynamic situations.

The House of Representatives (House) comprises half of the Washington State Legislature and is made of 98 members, elected to serve two-year terms representing 49 legislative districts. The House employs 250 full-time year-round staff and 100 temporary session staff and interns. The Legislature meets annually beginning on the second Monday in January in the Capitol Building in Olympia. Regular legislative sessions take place January through March in even-numbered years and January through April in odd-numbered years. Special legislative sessions occur as needed.

Duties
Position Profile:

Executive Legislative Assistants support their assigned Representative in successfully fulfilling their duties by providing services in the areas of administration, office management, communication, research, bill tracking, and constituent correspondence. This is a full-time year-round position that is exempt from civil service laws. This position is represented by a union.
How You'll Be Expected to Contribute:
  • Manage daily operation of Olympia and/or district office.
  • Maintain office records in accordance with the Washington State Public Records Act.
  • Answer phone and act as first point of contact for all callers and visitors.
  • Manage the Representative's calendar including complex scheduling assignments, individual appointments, group meetings, public events, and travel arrangements.
  • Track advancement of bills throughout drafting and legislative process to ensure that timelines and deadlines are met.
  • Draft responses on behalf of the Representative to emails, letters, and phone calls. Manage a high volume of constituent inquiries.

Holidays
Full-time and part-time employees are entitled to paid holidays and one paid personal holiday per calendar year.

Full-time employees who work full monthly schedules qualify for holiday compensation if they are employed before the holiday and are in pay status for at least 80 nonovertime hours during the month of the holiday; or for the entire work shift preceding the holiday.

Sick Leave
Full-time employees earn eight hours of sick leave per month. Vacation (Annual Leave)
Full-time employees accrue vacation leave at the rates specified in (1) or the applicable collective bargaining agreement (CBA). Full-time employees who are in pay status for less than 80 nonovertime hours in a month do not earn a monthly accrual of vacation leave.

Part-time employees accrue vacation leave hours in accordance with (1) or the applicable collective bargaining agreement (CBA) on a pro rata basis. Vacation leave accrual will be proportionate to the number of hours in pay status, in the month to that required for full-time employment.

Pay status includes hours worked, time on paid leave and paid holiday.

As provided in , an employer may authorize a lump-sum accrual of vacation leave or accelerate the vacation leave accrual rate to support the recruitment and/or retention of a candidate or employee for a Washington Management Service position. Vacation leave accrual rates may only be accelerated using the rates established WAC 357-31-165.

Note: Most agencies follow the civil service rules covering leave and holidays for exempt employees even though there is no requirement for them to do so. However, agencies are required to adhere to the applicable RCWs pertaining holidays and leave.

Military Leave
Washington State supports members of the armed forces with 21 days paid military leave per year.

Bereavement Leave
