The Team

This position is part of the Medical Services team within the Community Veterinary Hospital.

The Position

The Client Services Representative is a vital member of the Oregon Humane Society (OHS) and is responsible for facilitating high quality and positive interactions between OHS and the public at the Community Veterinary Hospital (CVH). Responsibilities include providing excellent customer service, hospitality, and responsiveness to hospital clients and patients, demonstrating empathy and assurance when fielding questions and educating others about OHS policies and programs, and performing all work activities with a high degree of reliability and accuracy. All OHS staff members contribute to the stewardship of the organization's mission and are expected to stay current on and understand issues related to animal welfare and OHS programs.

This role will require weekend work .

PRIMARY RESPONSIBILITIES
  • Greet clients and pets immediately upon entering and leaving, providing exceptional client/patient care and positive check-in and discharge experiences.
  • Check patients in for appointments, facilitate weights for canine patients, and guide all patients and clients into exam rooms, in collaboration with medical team.
  • Schedule appointments, surgeries, and other procedures, providing clients with additional details regarding pre-appointment and post-care needs.
  • Answer phone calls, emails, and voicemails in a friendly and professional manner and assist clients with questions, concerns, and requests in a timely manner.
  • Manage emotionally charged situations with tact, empathy, and respect. Maintain composure in the face of interpersonal conflict.
  • Determine the nature of patient concerns/injuries to assess urgency for scheduling appointments, elevating unknown statuses to medical team for further diagnoses as needed.
  • Reaffirm doctor recommendations at completion of appointments, schedule follow-up appointments, and collect and process payments.
  • Explain invoices, charges, and quotes to clients, staying up to date on medical terminology, typical charges for procedures, and needs behind diagnostic testing.
  • Learn and understand hospital financial subsidy plans, qualification criteria, and insurance/payment options; communicate information to clients as needed.
  • Support/show empathy to clients facing extreme life challenges such as houselessness, mental health issues, poverty, domestic violence abuse, and/or racial inequity.
  • Complete opening and closing financial processes and send daily financial reports, checking for medical code/payment discrepancies and unresolved invoices.
  • Keep lobby and reception area clean and orderly, cleaning up pet accidents and other messes quickly.
  • Give tours to new and prospective clients and guests.
  • Assist with volunteer training and work alongside volunteers, showing respect and appreciation always.
  • Work collaboratively with the Client Resource Center team and assist team as needed.
  • Adhere to all OHS safety, training, and handling and transportation protocols to ensure that the hospital environment is safe for animals, clients, volunteers, and other employees.
  • Adhere to department standards, processes, and procedures for accomplishing daily operations within the hospital in an efficient and accurate manner.
  • Interface with animals of varying species, size, and temperament, both in carriers and on leashes. Handle individual animals in a safe, caring, and respectful manner.
  • Assist all related internal and external departments as needed to support the program, and perform other duties as requested by management.

Work Environment Conditions & Physical Requirements

This position interacts and collaborates with all levels of the organization, including OHS staff, executive team members, donors, general-public, external vendors, volunteers, and supporters. Contact and communication is carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional, and respectful in all circumstances.

WORKING CONDITIONS

Essential Duties and Responsibilities: 

Oversight and Management of the Residential Services Department:

  • Provide weekly reports to the Residential Director; including updates on ongoing issues, items that the Director has requested to be addressed, concerns with supervisor and development, client needs, disciplinary actions completed, guardian concerns and follow ups.

Client Services:

  • Ensuring SAILS and Washington State policies are being followed, clients are receiving necessary services.
  • Work hours are typically Monday-Friday 8:30-5:00 pm but may require extra hours as needed for training, emergencies and high work volumes in the evenings and at weekends. On Call hours included after hours and on weekends. Must find approved on-call coverage when planning on being out of town or unavailable.
  • Responsibilities include being on call to direct reports (supervisors), Behavior Support Team, and Washington Residential Director in the event of behavioral episodes or medical emergencies that require immediate response. Be available via phone to support employees, Supervisors and Director with challenging behaviors, staffing emergencies, medical emergencies and other support as needed.
  • Attending all annual Person-Centered Service Plan (Assessments) meetings.
  • Ensure client annual plan annual Individual Plan, Positive Behavior Support Plan, Refusal of Services Plans and Restrictive Procedure plans are written within required timelines.
  • Work with Behavior Specialist to ensure behavior data is collected, reviewed and analyzed every six months to ensure behaviors are being tracked and plans are effectively implemented.
  • Complete Semi-Annual plan reviews with Program Supervisors and Behavior Team to ensure client goals are being implemented and that progress is being documented.
  • Maintains positive relationships with stakeholders, clients, families, guardians and other agencies that are involved in clients' care and support.
  • Attending meetings with guardians and case managers to ensure clients' and guardians' concerns are addressed and solutions developed.
  • Other Duties as assigned.

Required education and experience:

  • High School Diploma
  • 2 years' experience working with Clients with Disabilities
  • 3 years Supervisory experience

Preferred education and experience:

  • Bachelor's Degree in Human Services or related field
  • 3+ years working with people with disabilities.
  • 5+ years managing teams

Training Expectations:

  • Received training from DDA regarding writing IISPs and PBSPs
  • Nurse's Aide Registered (NAR) and able to be Nurse Delegated

Your key responsibilities
A Services Manager in FSO EDGE Private will be responsible for delivering and managing tax compliance and consulting work for clients. This will include managing various responsibilities, from technical planning and advising of clients that include private entities (including C-Corp, S-Corp and Partnerships) as well as high-profile individuals/families. That will make you a trusted advisor and role model for your clients and our people across multiple teams, making this a great place to develop a diverse network of collaborative colleagues. Whatever you find yourself doing, you'll personally coach and develop a highly trained team, all while handling activities with a focus on quality and commercial value.
Responsibilities include
+ Consult with clients and demonstrate professional discretion by appropriately escalating complex tax and client relationship matters to senior management and subject-matter professionals, coordinating efforts, and managing expectations about timing of response and resolution
+ Deliver and manage compliance and consulting delivery services to meet deadlines for client deliverables
+ Ability to lead projects and work independently, with guidance in only the most complex situations
+ Incumbent has specialized depth and/or breadth of expertise
+ Manage communications with client tax liaisons, client trust administration teams and client trust officers to gather required information, to share information to support informed decision-making, and obtain instruction or authorization necessary for timely, accurate production of tax information statements, tax returns and related reporting
+ Support effective long-term relationships and manage workflow effectively with our clients
+ Manage engagement deliverables and team resources to achieve timely and accurate delivery of tax compliance services while effectively managing engagement economics
+ Advise and provide direction on complex tax matters, set expectations, coordinate daily work activities, and assign tasks to staff and seniors.
+ Review and evaluate the work of staff members to ensure accuracy, completeness, and compliance with relevant tax laws and regulations
+ Provide effective leadership, formal and informal feedback, and coaching to team members
Skills and attributes for success
+ Ability to recognize and identify problem areas that need to be addressed or escalated to ensure tax returns, tax research, tax accounting and other tax projects are timely and accurately completed
+ Experience presenting in client conversations regarding complex or difficult topics
+ Ability to break down complex tax projects into manageable components, analyze relevant information, and formulate client-centric solutions that comply with relevant laws and regulations
+ Ability to manage multiple work assignments, team members and deadlines simultaneously
To qualify for the role you must have
+ Bachelor's degree in Accounting, Finance, Business Administration, Tax, Law, or Economics
+ Minimum of 5 years of experience in a professional services or tax services organization in the financial services industry
+ Broad exposure to federal income taxation and exposure to state and local tax
+ Proficient in the use of various tax and accounting technologies

**Your key responsibilities**
As a seasonal tax manager your main priority could include reviewing complex individual tax returns, income tax planning of high-net-worth individuals and families, partnership tax compliance, or S Corp tax compliance for our Private Tax clients.
