The Data Processing Specialist position is part of a highly collaborative and energetic team, all driven to advance the USNA Foundation and Alumni Association mission and committed to personal and professional development. This exempt position reports to the Director, Information Management and Reporting and is the primary data steward and requirements analyst for the Enterprise.

EXPECTATIONS OF THE POSITION

Data Entry & Management

  • Accurately input, update, and maintain records in Blackbaud CRM, ensuring data integrity and consistency.
  • Import data from external sources using BrightVine Data Loader and export data via Zuri Velocity in support of the needs of the Enterprise and by the direction of the Executive Director of STAR and Director, Information Management & Reporting.
  • Conduct regular data audits and clean-ups to ensure accuracy, completeness, and compliance with institutional and regulatory standards.

Data Quality

  • Ensure the consistent and routine append of data that support and enrich the Enterprise's engagement and fundraising activities, including but not limited to
    • Employment appends
    • Deceased appends
    • Email, phone, and address append
    • Relationships append
  • Ensure the integrity of incoming data from the data ecosystem, including but not limited to RNL and Evertrue.
  • Monitor data quality, consistency and integrity to ensure data supports the Enterprise business models.
  • In coordination with the Enterprise IT team, evaluate adjustments to processes regarding demographic updates, solicitation coding, primary contact information identification, etc.

Reporting

  • Maintain queries, export definitions, OData links and existing canned reports within the Blackbaud CRM.
  • Using BBCRM generate data exports in support of mailings, solicitations, and invitations, as well as create queries and reports to disseminate information to appropriate staff members, including gift officers, management, donor relations, research, etc.

Data Governance

  • Consistent with the policies derived from the DGC, monitor and enforce the data governance policies and procedures, including the standard procedures for tracking and monitoring data across the enterprise.
  • Develop, monitor and maintain the master data catalog and data and meta data dictionary.
  • Work collaboratively across functional teams to determine the data points, data types, and sources of data to track and translate and implement those requirements in the enterprise applications.

Responsibilities

The Data Processing Coordinator will focus on the data support for fundraising events, including all database management and financial reporting. Duties include accurate entry of donor pipelines, leadership and donation data, ticket fair market value (FMV) and all data to support the event. You will work with various teams on special types of donations including matching gifts, split gifts, donor advised funds and financial corrections. Will ensure donor acknowledgments are properly sent.

In this role, you will report to the Director of Business Operations and will work with a team of fundraisers and coordinators to manage the data for various markets within the Support Services teams.

This position will have a travel component to assist with events with day/night of support as needed.

Responsibilities include (but not limited to):

  • Event data entry into various database systems including Dynamics, Luminate and Greater Giving (GG.

  • Maintaining accurate donation data in Dynamics

  • Sponsorship Processing

  • Revenue recording into data systems

  • Matching gifts management, review, and coding as needed

  • Weekly data review in support services meetings

  • Monthly event revenue reconciliations

  • Quarterly Gold Standard Board data maintenance

  • Research financial questions and inquiries

  • Request recodes as needed.

  • Travel within region for events as needed

  • Assist Fundraising Partners on any reports needed using the application system reports

  • Provide customer service requests (i.e., software corrections, database receipting, pulling constituent records)

Qualifications

In addition to supporting internal documentation processes, the specialist will assist applicants and panelists in navigating grant systems and requirements.

Key Responsibilities

  • Collect and organize incoming applications from Grants.gov and transfer data to GrantSolutions.
  • Review application submissions for completeness, accuracy, and compliance using structured checklists.
  • Validate and manage application data through quality control protocols and log findings in central databases.
  • Download and upload review panel summaries between ARM and GrantSolutions.
  • Respond to applicant inquiries via email or phone regarding program requirements and application procedures.
  • Update federal databases with applicant status, reviewer activity, and screening outcomes.
  • Support end-users in navigating the Application Review Module (ARM) platform.
  • Coordinate with subject matter experts (SMEs) to confirm availability for review panel participation.

Requirement Qualifications

  • High school diploma and 7 years of relevant experience, or a combination of training and education that provides equivalent knowledge and skills.
  • Computer proficiency, especially with Microsoft Excel, Word, and web-based platforms.
  • Strong attention to detail with experience in data entry, validation, and quality assurance.
  • Proficiency in Microsoft Office Suite and ability to quickly adapt to new systems.
  • Effective communicator with strong interpersonal skills to support applicants and internal teams.
  • Professional, dependable, and capable of handling confidential data with care.
  • Knowledge of the discretionary federal grant lifecycle is a plus.

Compensation and Benefits

The projected compensation range for salary is $20/hr to $30/hr benchmarked in the Washington, D.C. metropolitan area. The salary range provided is a good faith estimate representative of all experience levels. Salary at LCG is determined by various factors, including but not limited to role, location, the combination of education/training, knowledge, skills, competencies, certifications, and work experience.
