Enrollment Specialist
**POSITION DETAILS**
The Admissions and Recruitment Department at Hostos Community College is seeking applications for an Enrollment Specialist position. The successful candidate will work closely with the Director to develop, implement, and execute a comprehensive admissions strategy designed to attract and enroll qualified students.
In addition to the CUNY Title Overview, responsibilities include, but are not limited to, the following:
- Manage the day-to-day operations of the Office of Admissions and Recruitment, including overseeing the work of the admissions staff and part-time assistants.
- Provide excellent customer service to prospective students and their families by responding to inquiries, scheduling campus visits, and providing information about academic programs, student support services, and university policies.
- Collaborate with other departments across the college to ensure that admissions processes are aligned with university policies and procedures.
- Ensure that residency determinations are made in accordance with CUNY guidelines, providing guidance and support to applicants and staff on residency-related matters.
- Develop and implement admissions policies and procedures in collaboration with senior leadership that align with the college's strategic objectives.
- Communicate with the campus Webmaster regarding updates to and maintenance of the Admissions and Recruitment website pages.
- Evaluate applications and make admission decisions in accordance with established policies and procedures.
- Analyze admissions data to identify trends and opportunities for improvement.
- Utilize CUNYfirst and Slate CRM to counsel prospective applicants on the admission and enrollment process at the college.
- Prepare reports and presentations on admissions and recruitment activities for the Director.
- Perform day-to-day operations of the Office of Admissions and Recruitment to ensure adequate coverage (front desk, Zoom, MS Teams, phone, and email), especially when other staff are absent.
- Serve as Designated School Officials (DSOs): Act as the primary point of contact for international students, ensuring compliance with immigration regulations and providing guidance on visa- related matters.
- Coordinate enrollment sessions: Organize and manage enrollment-centered events such as open houses, information sessions, campus tours, and other activities, both virtually and in-person, to attract and engage prospective students.
- Serve as a liaison for community-based organizations, facilitating the enrollment process for their students and ensuring smooth communication and collaboration.
- Coordinate CRM implementation efforts: Assist in the implementation of Customer Relationship Management (CRM) systems under the direction of the Director of Admissions, enhancing the efficiency and effectiveness of enrollment processes.
- Additional duties as assigned; essential duties require on-campus presence.
**QUALIFICATIONS**
Bachelor's Degree and four years' related experience required.
The following qualifications are preferred:
- Master's degree in a related field, preferably higher education administration.
- Minimum of four years of experience in higher education, particularly in admissions, enrollment management, recruitment, and related student affairs units.
- Familiarity with admissions processes and best practices.
- Proficient in CRM systems, committed to leveraging technology and analytics in recruitment and marketing strategies.
- Experience with CUNYFirst is highly desirable.
- Strong leadership, communication, and interpersonal skills.
- Ability to work independently and collaboratively.
- Capable of multitasking and prioritizing in a fast-paced environment.
- Valid driver's license and/or reliable transportation for recruitment events.
- Facilitating recruitment events (webinars, open houses, campus tours, off-campus fairs, new student receptions, and enrollment sessions).
- Actively engage students in conversations via phone, email, and the CRM system regarding the selection of academic plans, financial aid, and other enrollment steps.
- Availability to work evenings and weekends as needed.

Position Purpose

The Admissions Representative is responsible for enrolling students who meet the admissions criteria and can benefit from the academic programs offered. This role requires maintaining high enrollment standards and leading by example in personal performance and productivity.
Key Duties
  • Evaluate and enroll qualified prospective students for academic programs.
  • Conduct outreach via calls, emails, and meetings to promote enrollment and assist applicants.

Job Responsibilities
  • Attract qualified students who will benefit from the school's programs while refraining from involvement in admissions testing or decisions.
  • Manage inquiries throughout the admissions process, including calls, appointments, interviews, applications, and follow-up for orientation and enrollment.
  • Update CampusNexus with all inquiry-related activities, ensuring accurate record-keeping and documenting interactions in the Contact History.
  • Provide exceptional customer service through timely communication, generating new inquiries via networking and referrals, and addressing routine and complex issues.
  • Enhance recruitment strategies creatively and maintain a flexible schedule to attend events like career fairs.
  • Complete the Admissions Blue Folder according to the Student File checklist, ensuring all required documents are tracked and scanned in CampusNexus.
  • Report daily recruitment activities to the Campus Director of Admissions, attend meetings, and collaborate on media plans to prepare for inquiry flow.
  • Adhere to Admissions Policies and Procedures, regulatory guidelines, and be available for flexible hours, including evenings and weekends as needed.
  • Perform additional tasks as assigned by the Director of Admissions.
Required Qualifications
  • High School Diploma or GED, or equivalent on-the-job experience.
  • Excellent interpersonal and written communication skills, with the ability to engage and connect with diverse individuals.

Position Objective:

The Client Enrollment Specialist is responsible for engaging referred PACE clients and guiding them through the intake and enrollment process for the program. This role plays a vital part in connecting with Youth and Adult job seekers to begin tier assessments that determine appropriate training, employment resources, and support services.

Essential Functions:
  • Serve as one of the first points of contact for individuals referred to PACE program.
  • Review client referrals to determine eligibility within the program.
  • Distribute initial intake interview and accurately enter and maintain client information in databases and case management system.
  • Complete PCS form within HRA system for ineligible clients such as those with barriers to employment.
  • Collaborate with career coaches, leadership and other PACE staff to facilitate a smooth transition from enrollment to program participation.
  • Create scan cards for all eligible clients, review swiping procedures with clients to be used for daily attendance tracking.
  • Maintain communication with clients to address questions, concerns, or changes in eligibility or participation.
  • Assist with scanning, and making copies for clients, and program needs. Scan client documents to pending drive and upload to internal database system.
  • Review submitted documentation carefully to ensure it is in compliance with program policies and procedures.
  • Support with all client outreach efforts including engagement/reengagement for all clients referred to PACE program.
  • Performs other duties as assigned.
Education, Skills and/or Experience:
  • High School Diploma/GED with 2 years of experience
  • Must have excellent customer service and presentation skills.
  • Must possess excellent computer skills.
  • Experience working with similar client population a plus.
  • Working in an automated on-line system, demonstrates proficiency in use of applied information technology and on-line database systems; demonstrated keyboarding speed proficiency and accuracy preferred for a paperless case management system.
  • Some prior professional experience working within a community-based organization or the government sector, directly serving an under-resourced population required.
  • Experience working with public assistance population preferred.
  • Experience or familiarity with the disability population preferred.
  • Experience working in employment services or in social service-related field preferred.
  • Good verbal and written communication skills.
  • Excellent organizational skills
  • Ability to work a flexible schedule and to travel to various locations to carry out assigned duties.
