**Job Description:**
This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the executive, and responding to incoming mail. Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.
**Responsibilities for this Executive Assistant include but are not limited to:**
· Communicates with executives and line management to gather and convey relevant information
· Answers manager's phone line, documenting accurate messages and handling calls with appropriate judgment
· Manages the calendar of multiple stakeholders proactively, effectively resolving conflicts that arise in a professional manner
· Manages all travel planning and expenses, coordinating schedules for executive to maximize time and create efficiencies
· Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills

· Weekly production of calendar and look ahead document detailing key dates, routines, topics and awareness items for Executive and Leadership Team benefit
· Coordination and production of weekly leadership team routines including sourcing topics for routines, coordinating materials from speakers, reviewing presentations to ensure executive ready and distributing to necessary audiences following approval from Business Support team. Includes tracking of takeaways and follow up as appropriate
· Weekly outline of Executive external / internal commitments to Communications partners to ensure Executive is prepped for external / internal events as needed
· Facilitation of Weekly Bullets process in partnership with representatives from each team to provide Executive with "need to know" information at close of each business week
· Weekly review of associate printing detail and training completion and follow up as appropriate, including escalation as needed to Business Support Team
· Maintenance of distribution groups and organizational charts across team.
**Experience required for this Executive Assistant person position include:**
· Attention to detail, including tracking od deliverables, requests, executive-ready communications and presentations (Outlook, PowerPoint, etc)
· Ability to manage numerous priorities and deliverables and prioritize effectively to be able to meet necessary deadlines and expectations without oversight, including being a self-starter

Job Description
**To start as soon as possible, full time, permanent**
The **Executive Assistant** will provide executive level support to a member of the Senior Leadership Team, or executive level support to C-Suite Officers. The primary responsibilities of this role are to maintain the schedule, coordinate with internal and external stakeholders, provide logistical and travel support. Provide high level administrative support, and work on complex related projects. To be successful in this role, you should be well-organized, comfortable with heavy calendar management, have great time management skills and be able to act without guidance.
**ROlE RESPONSIBILITIES:**
+ Act independently to organize and support meetings, conferences and events
+ Manage and maintain SVP's Calendar, create meeting invites and agendas
+ Attend meetings as required and prepare meeting minutes, notes and action logs
+ Provide high level administrative support including document assimilation, preparation, and quality assurance
+ Act as liaison between SVP and internal and external contacts
+ Maintain and develop SVP's contact list
+ Act as point of contact for administration issues and escalating as appropriate
+ Liaise and provide support to other RWE Assistants, providing coverage for other Executive Assistants when needed
+ Plan and book all SVP business travel including preparation of all necessary forms and documents
+ Check, and maintain SVP email Inbox; forward, escalate and respond as necessary
+ Provide support in budget controlling process including SAP transactions, budget control orders, invoices, payments, etc.
**QUALIFICATIONS:**
+ Minimum of 5 years of high level executive support
+ Bachelor degree preferred
+ Proven demonstration of analytical and problem solving skills
+ Advanced knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook, and SharePoint
+ Previous experience with SAP or other enterprise level accounting and procurement software preferred
+ Good communication skills, both verbal and written
+ Ability to quickly learn new technology programs
+ Proficiency in Microsoft Office
+ Able to work independently and as part of a team
+ Strong organizational, time management, and multitasking skills
+ Critical thinking and problem-solving skills
+ Good phone skills
+ Knowledge of how to navigate office technology
+ Confidentiality
+ High degree of integrity
+ This position is an office-based role with some travel and visits to other RWECE office and field locations
+ must be able to sit, walk, or stand for long durations of time
**P** **ay range:** The annual base salary range for this position in New York is $78,000 - $110,000 . The listed salary range represents our good faith estimate for this position and represents the range for new hire salaries across all U.S locations. Please note that the salary information is a general guideline only. RWE considers factors such as (but not limited to) scope and responsibilities of the position, candidate's education & work experience, training & certifications, and key skills as well as market and business considerations at the time of the offer.
