The Division of Hospital Medicine in the Department of Medicine is seeking a Finance Specialist (Accountant 2) to join our team at Stanford Health Care. This position will report to the Finance Manager and perform a variety of professional accounting functions involving fiscal interpretation and analysis, reconciliations, and reviews of multiple accounts and transactions. Our Division has seen dramatic growth in the past few years, so we are seeking a candidate with the ability to multi-task and be extremely detail oriented, self-motivated and a team player. The candidate must also have excellent communication skills that allow high level interactions with a diverse academic and medical community.
Our Division is comprised of 130 faculty members (and growing) spanning 5 diverse clinical sections, across 3 facilities in the Bay Area (Stanford Health Care, Sequoia Hospital, and Tri-Valley). We are committed to excellence in clinical inpatient medicine, medical education, quality improvement, patient safety initiatives, and a broad research portfolio ranging from COVID-19 clinical trials to informatics and AI.
Duties include:
- Analyze accounting transactions and information to summarize current financial position at the unit or organization-wide level. Construct and assemble data for decision making; develop conclusions, and present high level summary of recommendations.
- Capture, track, and report revenue and expenses; determine appropriate procedures for accounting record preparation, research of transactions and reporting. Oversee, reconcile, and resolve problems relative to complicated accounts.
- Collect data and perform research on details of transactions. Generate, review, analyze and communicate financial data that reflects actual financial performance against approved budgets. Prepare and present quantitative and qualitative analyses focusing on variances from budget and prior data.
- Maintain and review accounting process controls; recommend and implement any approved modifications; perform preliminary analysis and recommend solutions. Develop and maintain desktop procedures and process documentation for area of responsibility.
- Run and analyze financial reports, often from multiple systems; prepare management information reports.

The Finance Specialist is responsible for the processing of accounts payable, deposits and payments in compliance with financial policies and procedures. The Finance Specialist performs day-to-day financial transactions including verifying, classifying, and recording accounts payable. Additionally, the Finance Specialist is responsible for processing and recording deposits and payments. Key Job Functions
Accounts Payable
- Input invoices in a timely manner (within 48 hours) with accuracy, including no duplicate entries
- Set up new vendors in accounting system, collect W9 forms, and send bill.com invitation
- Review and troubleshoot unpaid bills weekly
- Remind bill approvers who are behind
- Review bills that need to be marked as paid
- Create & maintain a central vendor checklist, including access credentials, auto ACH invoices, and a list of vendors we manually pull invoices from
Employee Credit Card system
- Responsible to order new cards, deactivate old cards, and assist with questions
- Ensure timely and accurate employee approvals
Deposits
- Deposit physical checks and cash a minimum of two times per week
- Record electronic deposits by pulling data and reports from donation and registration software
- Enter deposits into accounting software
Other
- Maintain physical and electronic records of all accounting records
- Assist with month-end and year-end paperwork for Accounting Manager and CFO

**POSITION SUMMARY:**
The Office of Technology Licensing at Stanford University seeks to fill one Finance Specialist - Accountant position. This role will, under the direct supervision of the manager/director, perform moderately complex accounting activities and functions, including monitoring accounts, preparing documentation, expenditure reconciliations and reviews, revenue reporting/accounting, purchases and reimbursements, general ledger transactions, and journal entries.
