We are looking for a dedicated and hardworking person to join our skilled and energetic hospitality team. The programs incorporate unique sport/culinary/entertainment elements coupled with travel destinations all over the world! If collecting frequent flyer miles excites you, this job is for you!
In this outstanding role, your principal responsibilities will include development and creation of pre-event planning documents, daily program operations, presentation materials and you will play a key role in the onsite implementation of hospitality programs. You will be working with a team committed to providing a seamless, high-touch hospitality experience to our brand clients for their most important guests. With the team located across a few Octagon offices, there will be broad exposure to the hospitality industry with a tremendous potential to learn and gain hands-on experience. This position will be exposed to high profile partners and will be expected to collaborate with internal teammates, agency colleagues, preferred vendors, and highly worthy clientele.
This project-based position requires travel and is best suited for a candidate interested in working in a team environment with a diverse group of people from different countries and cultural backgrounds.
THE WORK YOU'LL DO
- Project manage multiple hospitality programs simultaneously, using superior attention to detail and client management skills
- Design, develop and present strategic program recommendations and program execution guides
- Research and implement tactical plans, handling client and vendor relationships
- Develop guidelines, sell in presentations, and best practices documents to distribute internally and to clients
- Management of precise financial records including budget creation, client invoicing, budget forecasting, reconciliation, and personal travel expenses
- Exemplary service onsite for clients and guests at all program events
- Serve as onsite host during implementation of programs
- Provide internal and client updates as needed
- May supervise staff and/or brand ambassadors in the implementation of programs and events
- Lead all aspects of online guest registration systems and databases
- Design templates and acquire invitee information from various clients
- Creation of personalized itineraries for various events (i.e., golf, football, private events, entertainment)
- Lead weekly status calls and other key meetings with both internal and external constituents
- Handle all logistics to include, but not limited to, gifting, decor, lodging, transportation, food and beverage, production services, and celebrity appearances.
- Review and distribute event status meeting notes, execution guides, staff implementation guides
- Compile event results reporting and wrap-up report development
- General account management and assistance with client requests
- Weekend/holiday work as needed

The Lead, Workplaces Services Events role produces events that bring together partners, customers, and employees. We are seeking a candidate who is passionate about hospitality and events to join our Atlanta-based events team. Success in this role requires agility, clear and compelling communication, outstanding organization skills, and the ability to collaborate cross-functionally. This individual will work closely with their workplace services team members and Security, Health & Safety, and Space Planning teams to deliver successful events. The lead in this role will be responsible for planning and executing multiple events at once.
Responsibilities:- The position is responsible for the operation excellence of our meetings/events and the holistic guest experience including but not limited to: customer meetings, executive receptions, intimate dinners, non-profit events, town halls, and employee events
- Continuously research and report innovative and creative event and entertainment options
- Solid office management/workplace environment knowledge
- Strong customer service and executive interaction experience
- Understand Salesforce brand and product positioning with the ability to ensure consistent, on-brand messaging for all events
- Continuous development of team playbooks and standard operating procedures
- Organize logistics, from beginning to end, for customer facing meetings, town halls, etc
- Pre, onsite and post event logistical management
- Key stakeholder for G-Cal calendar management for internal event spaces
- Co-manage vendor relationships (agencies, vendors, caterers, etc.) and work with internal teams to facilitate
- Liaise and negotiate with vendors to achieve the most favorable terms for goods and services
- Management of event statistics and ad hoc reporting
- Manage various workplace services projects as assigned
- Plan and execute multiple events at one time
- Communicate all event logistics and updates across internal and external partners
- 4+ years of event coordinator experience
- Highly personable and customer service focused with great attention to detail
- Excellent written and verbal communication skills with ability to proactively address client's event needs
- Experience in managing budgets, financial planning and tracking
- Experience with on-line registration systems and reporting
- In-depth knowledge of Microsoft Office Programs, GSuite, Quip, Social Tables, and Slack
- Excellent problem-solving skills with ability to creatively negotiate demands
- Results-oriented, customer driven, and organized
- Assess and prioritize workload in a strict deadline centric environment
- Thrive on teamwork and overcoming obstacles

Job Description
- Manage and/or coordinate Company personnel and resources for the project
- Assist with preconstruction efforts
- Manage all aspects of project from inception
- Prepare trade contracts and bid packages, as well as oversee procurement process
- Oversee performance of project including, project status, schedule, cost control, change management systems
- Maintain relationships with clients, designers and consultants
- Attend and lead project meetings, including progress, pre-construction and pre-award
- Review inspection and test data for compliance with specifications
- Develop and maintain site logistics plan, in coordination with Superintendent
- Demonstrate commitment to an Injury-Free Environment through own actions
- Mentorship of more junior PMs and support staff
The Successful Applicant
- Must have Hospitality renovation (turnkey) and/or ground up construction experience
- At least 3 years of experience in the commercial construction industry as Project Manager
- Must be able to occasionally travel overnight to job sites
- Stable work record
- Base Salary: $100,000 - $140,000
