**Description**
This role is responsible for all lease administration for the portfolio of retail stores in North America, supporting the Manager Lease Administration & Executive Director. The Associate is the primary point of contact for landlords of assigned locations. Maintain lease information in our lease administration system in compliance with policies and procedures, ensuring adherence with processes, accounting controls, and US GAAP. Support the end-to-end real estate process collaborating with Real Estate, Legal, Finance, Retail Operations, Retail Design Development and Construction, among other teams.
**Lease Accounting Processes**
+ Update and maintain lease data in the company's lease management tool (IBM Tririga) based on newly executed leases and amendments.
+ Prepare documentation of accounting processes for SOX controls, obtain required approvals, and save to company network
+ Prepare journal entries from the Tririga system to initially record any new leases or amendments, and the monthly recurring entries for all leases.
+ Assist in preparation of annual rent budgets for assigned brands, using sales forecast, projections of variable rent expenses; estimating lease renewal rents; aligning with Real Estate Team and Brands on new locations and store closures, and projecting rent expenses for new stores
+ Assist in quarterly financial reporting and disclosures.
+ Assist in providing supporting documentation for audits.
**General Lease Administration Processes**
+ Act as the primary point of contact for landlords
+ Support the sorting and processing of lease-related mail for action. Prioritize urgent issues such as lease defaults, notices, billing issues, etc., and take appropriate action for each document.
+ Responsible for the preparation and distribution of monthly sales reports to required landlords. Will verify calculations of sales data and factoring in valid exclusions per the lease.
+ Assist in the portfolio management of the Field Sales Office (FSO) and self-storage locations across North America
+ Support with inter-departmental communication between NA Retail Real Estate, NA Retail Operations, planning teams and ELC brands regarding any issues that need to be addressed as per the lease.
+ Coordinate with I.T. to resolve any system-related issues as they arise.
+ Work on special projects as instructed
**Payment Processes**
+ Assist with the preparation of monthly rent payment batches for review by the Manager.
+ Action and coordinate vendor updates (e.g. address) to SAP.
+ Update variable payments in the Tririga lease administration system.
+ Reconcile landlord rent billing statements vs. payments issued by analyzing the billing and payment history from SAP A/P system and the Tririga Lease Administration system. Ensure any balances are either paid or disputed with landlord.
+ Assess validity of charges billed from landlords to ensure they are consistent with the applicable lease.
**Qualifications**
+ Experience in Lease Administration, Real Estate, Accounting, or Finance preferred.
+ Experience in a fast-moving consumer products industry.
+ System Knowledge and Experience: Tririga or other lease administration software, SAP, Advanced Excel, PowerPoint, M S Office, Ariba.

**Pay Range:**
The anticipated base salary range for this position is **$66,300.00** **to** **$93,250.00** **.** Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with the possibility for overachievement based on performance and company results.

**Lease Administration Coordinator**
You'll never be bored in this role - and that's a good thing! This role is responsible for supporting the timely processing of Aaron's corporate real estate portfolio, including but not limited to common area maintenance, real estate tax, and property insurance reconciliations and reimbursements. Primary responsibilities will include handling external communications, requesting calculation backup for reconciliations and reimbursement payments, corresponding with landlord and property managers for retail properties within a territory.

**What You'll Do:**
+ Request supporting support for common area, insurance and real estate tax reconciliations. invoices, statements, other correspondence from issuing parties.

+ Ensure all urgent matters and faults are routed accordingly and logged into ImageNow and SharePoint/Lucernex for tracking and processing.
+ Handle all requests for Gross Sales Reporting and Financial Statements.
+ Handles requests from Landlords for Estoppel and SNDA documents. Coordinate the compilation of supporting documentation and facilitates communication between the Landlord and internal Legal group.
+ Process and review escrow adjustment notices from landlord. Including auditing the adjustments, corresponding with landlord or property manager on under/over payments, update the database and setting up real estate accounting expenses for automatic payments.
+ Process and review all requests by Landlords for Certificates of Insurance.
+ Responsible for the handling and routing of physical mail to the Real Estate Department, as well as the electronic handling and routing of electronic mail via Outlook.
+ Route administrative requests via the proper channels in a timely manner. Other duties as assigned.

**About the Role:**
As part of the Boston Consulting Corporate Accounts team, the Senior Lease Administration Manager serves as a single point of contact (SPOC) for multiple client accounts and is responsible for upholding the integrity of their real estate portfolio data. This includes conducting reconciliations to ensure operating expenses follow lease terms, maintaining lease data, supporting financial transactions, and participating in regular transaction management calls with clients.
This job is a part of the Lease Administration functional area which focuses on providing real estate portfolio administration, database management, accounts payable and receivable, and audit services.
**What You'll Do:**
+ Perform, compare and evaluate annual operating expenses and real estate tax reconciliations; prepare detailed reports ensuring correct credits and charges are recorded.
+ Prepare lease abstracts and edit for accuracy; write narratives for variance reports.
+ Review complex lease language and provide comments for improvements.
+ Track payables and receivables; process rent rolls and prepare export files for accounting.
