The successful candidate will possess the ability to complete a high volume of tasks and projects quickly with little guidance, react with appropriate urgency, take effective action without having to know the total picture, and solve problems that affect people within the group or other related groups. The candidate will be internal client-service oriented, have great attention to detail while still meeting tight deadlines, have great organizational skills, and have the ability to easily switch gears. Key job responsibilities

As a Litigation Legal Secretary, you will provide a variety of secretarial and administrative duties for assigned attorneys. You will be responsible for interacting with colleagues in a team setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.
The Day-to-day
On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:
- Input, revise, and finalize correspondence, memoranda and other legal documents. Draft routine correspondence, memoranda and other documents.
- File legal documents in federal and state courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case shell documents for use by attorneys.
- Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.
- Proofread documents and check for appropriate formatting, spelling and grammar.
- Maintain good public relations with clients.
- Review all incoming mail, distribute to teams as needed and upload to the DMS.
- Prepare documents and packages for mail, messenger and overnight delivery.
- Prepare expense reports, manage vendor invoices, mailings, and request checks as needed.
- Enter attorney time. Send time entry reminders.
- Process client billing. Assist with review and edit of bills as necessary.
- Schedule appointment and make arrangements for meetings, conferences and travel.
- Complete client/matter intake forms. Request conflicts of interest checks. Open new files. Prepare files to be closed.
- Coordinate and follow through on requests and projects with other support departments (e.g. receptionists, file/document clerks, office services).
- Provide overflow and absence coverage assistance as well as secretarial support for Secretarial Team Members attorneys.
- Other duties and projects as assigned.
You Have
- A minimum of 5 years of litigation secretarial experience. (Entertainment Litigation experience is a plus).
- Strong proofreading skills, attention to detail and solid grammar/spelling skills.
- High degree of proficiency with Microsoft programs (Word, Outlook, Excel).
- Legal citation and legal terminology expertise.
- Familiarity with iManage, Compulaw or similar technology.
- The ability to organize, prioritize and meet the demands off multiple attorney assignments.
- Flexibility to work overtime occasionally.

The Executive Legal Assistant, Universal Destinations & Resorts (UDX) shall be responsible for the duties and responsibilities listed below. This individual shall support the Senior Vice President, Legal & Business Affairs-Licensing, Vice President, Legal & Business Affairs and Senior Director, IP Partnerships & Brand Assurance, along with their teams, in connection with various entertainment, marketing and IP licensing initiatives across UDX's parks and businesses, including for Universal Beijing Resort, Universal Studios Hollywood, Universal Orlando and UDX New Ventures.
MAJOR RESPONSIBILITIES
+ Providing administrative support to the UDX Legal & Business Affairs-Licensing and UDX IP Partnerships teams. Generating department correspondence and/or reports, including typing, faxing, and copying. Proofreading documents for accuracy, grammar and organization. May create documents and obtain documents for executive or attorney use in responding to requests or requirements. May create presentations and/or corresponding materials for projects using MS PowerPoint and other computer programs.
+ Initiating and following up on action items for new and/or routine contracts, legal forms, business deal memos, negotiation tracker charts, projects, processes, and/or policies. Arranging for payment of invoices for law firms and other outside service providers. Maintaining tickler systems, rights and clearance research, approval logs and other databases. May circulate documents for signature by computerized or by manual means and may be required to send fully executed documents to counterparties. May be required to obtain insurance certificates, royalty reports, or other items required to be received from counterparties under legal agreements. Coordinating with other departments and/or external sources.
+ Screening, prioritizing, directing incoming calls and email/correspondence taking appropriate actions as necessary. Maintaining calendars, scheduling meetings and conference calls (both audio and video, including reserving conference rooms), and setting appointments. Making travel and/or training arrangements when necessary. Preparing expense reports and legal invoices.
+ Organizing and maintaining research and summaries regarding derivative production rights and business deal terms for film, television, theme park and other licensing projects, including with respect to talent, music, clips and other third-party rights. Documenting and logging legal clearances and licensing approvals in support of entertainment, licensed partner, production and marketing initiatives.
+ Using MS Word, Excel, Outlook and other computer programs to create, analyze, compile, update and maintain department contracts, licensing agreements, correspondence and/or reports. Incorporating data/contracts/information into and retrieving data/contracts/information from such systems. Disseminating confidential data/information to the appropriate parties as requested by attorneys. Perform all duties while maintaining a high degree of confidentiality, discretion, diplomacy and respect.
+ Serving as a liaison with other departments in acquiring and maintaining technology, supplies and other logistical needs through standard UPR procedures.

QUALIFICATIONS/REQUIREMENTS:
+ High school degree or GED required. Bachelor's degree is strongly preferred. Educational coursework in intellectual property and/or legal studies preferred.
