Creates pre-registration record and links pre-registration record to scheduled appointments. Proactively coordinates appointments with other functional areas. Maintains department productivity, accuracy, and quality assurance standards while performing these duties. Ensures data is entered accurately for all patient demographic and insurance information. Completes all required legal documents, and obtains and scans all other related documents. Performs cash collection functions, patient pricing estimates, ETC admission.
  • Ensures that financial protocols and requirements are met while providing access to service at COH facilities by reviewing account documentation. Maintains and applies current knowledge of insurance requirements when verifying eligibility and confirms authorization is secured prior to forwarding patients to service delivery areas; escalates unsecure financial accounts to management. Provides patient with itineraries, advance beneficiary notice and written instructions for tests and procedures as applicable. Seeks assistance from Financial Counselors when needed to maintain patient flow while resolving financial issues and ensuring financial clearance of account. Provides information and assistance to patients to ensure they understand the Financial Assistance policy and application process. Provides Financial Assistance applications to all uninsured patients. Screens ordered tests and communicate to physician and/or ABN Specialist those tests and/or diagnoses that do not meet criteria to be covered by Medicare
  • Assures that the correct pre-registration visit encounter type is linked to the scheduled appointment. Creates a request for authorization of service if applicable. Sends orders for diagnostic tests to appropriate department. Assures that documentation indicating the date of service and the visit number accompanies the orders for diagnostic testing.
Customer Service
  • Ensure a high level of customer service by greeting, being a resource to patients and visitors. Serve as a liaison between patients and support staff. Develop effective relationships with colleague, physicians, providers, leaders and other employees across the organization. Demonstrates genuine interest in helping our patients, providers and other employees by using excellent communication skills, being polite, friendly, patient and calm under pressure.
  • Managing multiple, changing priorities in an effective and organized manger, under stressful demand while maintaining exceptional service.   • Obtains, confirms, and enters demographic, financial, and clinical information necessary for financial clearance of scheduled patient accounts.
  • Contacts patients' families or physicians' offices to obtain missing insurance information.
  • Verifies insurance and confirms insurance eligibility of patient coverage benefits, notifying patient and referring physician in the event of failed eligibility.
  • Collaborates with scheduling departments to identify add-on patients.
  • Obtains necessary authorizations, pre-certifications, and referrals.
  • Notifies patients of liabilities prior to date of service and collects funds.
  • Maintains appropriate records, files, and accurate documentation in the system of record.
  • Serves as a lead resource for lower-level Patient Services staff.
  • Recommends new approaches to management for enhancing performance and productivity.
  • Deploys critical thinking while responding to a variety of technical issues from patients, physicians and employees via phone, email, web messages, fax, or email.
  • Works independently and deals effectively with stress, due to heavy workload and the handling of complex patient inquiries.
  • Serves as a role model, facilitator, and coach in developing a culture of compassion and caring through building healthy relationships among staff, patients, and families.
  • Projects a professional appearance and pleasant demeanor creating a welcoming atmosphere.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

  • High school diploma or equivalent required
  • Minimum 3 years of relevant experience

  • Able to handle multiple tasks, software systems, and technologies simultaneously.
  • Ability to establish and maintain effective working relationships with patients and staff.
  • Knowledge of generally accepted accounting procedures and principles

The Patient Access department has an exciting opportunity for a full-time Patient Access Representative 2 to work on-site in Coral Gables, FL. The Patient Access Representative 2 (On-Site) registers patients for clinical services by obtaining pertinent information, verifying insurance benefits, explaining pertinent documents, and collecting payments.

The Patient Access department has an exciting opportunity for a full-time Patient Access Representative 1 to work on-site in Coral Gables, FL .

CORE FUNCTIONS:

  • Serve as Patient Advocate and Service Ambassador by providing a favorable first impression and proactive attention to internal and external customers in order to meet or exceed expectations, address concerns, and optimize experience.
  • Perform all on-site patient access registration related functions promptly without compromising patient safety, quality, service levels, and reimbursement.
  • Comply and abide with all established UHealth policies and procedures related to Patient Access and State/ Federal regulations.
  • Identify and collect patients self-pay responsibility including co-pays, deductibles, co-insurances, self- pay discount rates, global packages, and previous outstanding balances for both technical and professional components in POS 11 and 22 clinics thereby playing a key role in reducing AR, Bad Debt, and Collection Costs by collecting patients financial responsibility upfront.
  • Perform other duties as assigned based on departmental needs.

Knowledge, Skills, and Abilities:

  • Excellent verbal and written communications skills in English.
  • Must possess excellent, critical thinking, analytical, troubleshooting, problem resolution, and customer service skills.
  • Excellent mathematical and cash management skills.
  • Knowledge of medical terminology preferred.
  • Ability to work as an integral team member under minimal supervision, in a fast-paced, complex and highly stressful environment.
  • Excellent interpersonal skills and ability to work effectively with physicians, co-workers, other departments and patients of all ages, and from across a broad range of cultural and social economic backgrounds.
  • Computer literate and ability to use multiple systems and acquire proficiency in the following electronic systems: UChart Cadence/Prelude/Enterprise Billing, Passport HealthWorks Compliance Checker, Availity, RIS-PACS, CaneCare, UMCare, Intellidose, MCSL, Experian and all online verification systems used by contracted payors.

CORE REQUIREMENTS:

  • High School Diploma required; Bachelors degree preferred
  • One (1) year of customer service experience required; experience in a healthcare related setting preferre.
  • Bilingual (English/Spanish, English/Creole, English/French, English/Arabic) a plus.
