**Responsibilities**
This position requires direct involvement with specific departments in support of accurate receiving, distribution, inventory control, transportation, records management, warehousing, and storage of products. Responsible for daily activities associated with the movement of materials throughout the Mayo Clinic with attention to standards for safety, security, and productivity. Has significant interaction with suppliers regarding expediting, returns, and solving invoice/receipt problems. Provides support for SCM - Logistics; handles a very high volume of incoming requests via phone, mail, and fax, from all levels of Mayo Clinic staff; provides a point of contact from other SCM areas in order to resolve inquiries and problems; enlists appropriate SCM personnel for assistance, as needed; and works on special projects as assigned. Utilizes appropriate sources of information from multiple areas to research/resolve problem transactions related to Invoices not Received and Received not Invoiced. Researches/resolves specialty transactions that are derived from verbal or written requests, which may include but is not limited to researching aged items on proof of delivery, identification of shipping mode, and managing returns. Assists with distribution of medical products and services including controlled substances and hazardous materials. Utilizes a variety of reports to ensure data integrity in transactions including special handling instructions, expediting, critical orders, and routine fulfillment. Identifies possible trends causing processing delays; collaborates with affected individuals to implement long-term solutions. Sustains and complies with a broad range of policies and governmental regulations. Assists with projects as directed by SCM leadership. Other job-related duties as assigned by leadership. Maintain PP and MRP profiles to ensure the integrity of the SAP Production and Capacity modules are fully utilized.
Clearly and proactively communicate potential supply chain interruptions.
Cuts, TOTs, to the respective plant and supply chain parties. Interact with supplier as needed to include conference calls.
Must maintain SAP/DRP coverage profiles for direct materials/produced full goods for facilities within assigned area.
Work with Planner III and or project/brand manager on SAP material set-ups and sourcing changes for purchased products and new product launches.
Provides a daily deployment plan to entire network (which includes communicating with sister plants, 3rd party warehouses, trucking companies, potentially tanker companies and suppliers), related to shipping and receiving.
Communicate material changes and shortages to Operations (Operations Managers, Quality, Procurement)
In the event of prolonged shortages initiates the escalation process to meet business needs
Prioritizes the shuttle/inventory moving through the network, which includes analyzing the timing of production in order to bring materials into facilities for production.
The Planner II will need to analyze the weeks of supply to ensure adequate safety stocks are maintained.
Ensures that MRP (Material Requirements Planning) system is creating demand signals to drive supplier production plans. Helps the Planner III maintain master data settings.
Analyze new items and sunset of items for run-out of materials and ingredients
Run and review the product availability reports and ATP (available to promise) block resolution for finished goods
Conduct analysis to enable decision-making regarding costs to expedite, including review of loss sales
Manage SAP master data maintenance
Communicate and initiate commercialization to Operations team as it relates to materials
May have participation in Program Management team calls to ensure proper order of raw materials
May be involved in innovation planning meeting for product introductions

** Essential Functions:

  • Accept incoming orders on a daily basis.
  • Organize stock by unboxing and stocking shelves in designated location.
  • Maintain accurate records of products that have been stocked and provide management with an accurate representation of all goods shipped and received.
  • Verify all incoming shipments to be accurate by comparing the invoice to the order and ensure all goods are in excellent condition.
  • Properly pack items to be shipped according to company standards to ensure they arrive in excellent condition.
  • Ensures all scheduled jobs are completed on time and/or address any issues that may have been encountered.
  • Provides updates as required, with the completion status of scheduled nightly jobs.
  • Performs QA Checks, as documented, for tasks completed.
  • Follow standard procedure for the proper escalation of unresolved issues to the appropriate internal or external teams following failed migrations.
  • Follow documentation for deploying images to various types of hardware for our customer base.
  • Diagnosis and troubleshooting of hardware issues for various PC makes and models using manufacturers' diagnostic programs.
  • Testing hardware configurations to ensure compatibility with customer software.
  • Ability to troubleshoot and resolve network connectivity issues, for computers and restaurant Point of Sale systems.
  • Replacing internal PC parts through manufacturer warranty programs.
  • Communication with our customers and other internal departments is critical - keeping them. informed of build progress for hot spare requests as well as project work.
  • Follow documentation and provide feedback for procedural improvements.

  • Ability to quickly adapt to changes in work priorities while managing expectations and competing demands.
  • Strong interpersonal skills are required to interact collaboratively with various teams across organizational lines, including the helpdesk agents, project managers, and field technicians.

Candidate Requirements include:

  • 1+ years of experience in a personal, academic, or professional technical environment.
  • 1+ years of warehousing experience.
  • Hands-on experience and strong working knowledge of Windows environments.

In a third-party logistics (3PL) environment, the Logistics Specialist is responsible for planning and coordinating transportation arrangements for clients’ cargo, including domestic deliveries and international shipments (air and sea freight). This role requires close communication with carriers, customs brokers, shipping lines, airlines, and customers to ensure timely, secure, compliant, and cost-effective delivery of goods to designated destinations. General Responsibilities

  • Plan and arrange domestic and international transportation operations, including truck dispatching, air freight, sea freight, and multimodal transport.
  • Select appropriate carriers and transportation methods based on customer requirements and cargo characteristics (e.g., shipping lines, courier companies, air freight forwarders).
  • Coordinate and monitor cargo movement using TMS, WMS, or freight tracking platforms to ensure real-time visibility of delivery progress.
  • Handle and verify import/export documentation, including Bills of Lading (B/L), packing lists, commercial invoices, and Air Waybills (AWB).
  • Manage and arrange customs clearance processes to ensure compliance with international trade regulations and destination country customs requirements.

Qualification

  • Skills: Proficient in Mandarin due to stakeholders; Intermediate or above in English (reading and writing of shipping documents and email correspondence).

II. Essential Duties and Responsibilities

  • • Communicate with customers to monitor inventories and anticipate their production needs and to schedule all necessary equipment to move waste by-products.• Arrange and negotiate third-party freight costs, when needed, for timely servicing of all customers waste by-product pick-ups by using WM approved carriers.• Monitor and maintain shipment status via computer system.• Respond to customer complaints in a timely manner. Investigate and solve issues with shipments for both vendors and customers.• Initiate calls to customers to set up deliveries, advise shipment delays and/or information necessary to set up deliveries. Initiate traces with carriers and railroads for proof of deliveries when needed.• Review pricing with the Sales and Marketing groups.• Develop interactive relationships with vendors, customers and outside freight carriers.• Responsible for all necessary documentation for all shipments, which can include export documentation to overseas mills.• Initiate calls to customers to ensure timely and accurate invoicing. Record and prepare vendor payments in accordance with contracted terms. Ensure proper billing of freight and special charges. Issue debits and credits as necessary.• Resolve downgrades and rejects of waste material by dealing directly with the customer and the vendor. Gather and process the cost information by negotiating pricing with the customer and/or vendor to minimize the overall impact to the company and customer, with approval by account manager.• Work with other supervisors/managers to coordinate services and keep them informed as issues arise.• Project a knowledgeable, enthusiastic, positive attitude that encourages customer and employee confidence and reflects the professional image desired by WMRA.• Attend and contribute to periodic meetings to maintain favorable working relationships among employees and promote maximum morale, productivity and efficiency.• Provide timely feedback to direct supervisor regarding service failures, customer complaints or any other matters regarding his/her attention.• Provide timely and accurate information to incoming customer order status and product knowledge requests.• Works to meet or exceed service and operational goals established for the call center, including productivity, quality, and timeliness goals.• Collaborate with sales representatives to meet and exceed customers’ service expectations, and develop solutions to ensure smooth material movement.• Perform other special projects and tasks as assigned.• May provide direction or support to less experienced Customer Service Representatives.
