The Medical Assistant performs clinical support services, assists with clerical duties and maintains patient care documentation in medical records. This position is responsible for providing professional care specifically to Radiation Oncology and Medical Oncology patients in an outpatient setting.

Files information such as nurses' notes, resident assessments, progress notes, laboratory reports, x ray results, correspondence, etc., into resident charts. Collect, assemble, check and file resident charts as required. Assist MDS Coordinator in scheduling assessments in accordance with current facility and OBRA guidelines. Ensure incomplete records/charts are returned to appropriate departments or personnel for correction. Assist in developing procedures to ensure resident records are properly completed, assembled, coded, signed, indexed, etc., before filing. Establish a procedure to ensure resident charts/records do not leave the medical records room except as authorized in our policies and procedures. Maintain a record of authorized information released from charts/records, i.e., type information, name of recipient, date, department, etc. Abstract information from records as authorized/required for insurance companies, Medicare, Medicaid, VA, etc. in accordance with current Privacy Rules. Index medical records as directed by the medical records/health information consultant. Maintain various registries as directed including register for admission and discharge of residents. Transcribe and type reports for physicians as necessary. Collect charts, assemble them in proper order, and inspect them for completion. Pick up and deliver resident medical records from wards, nurses' stations, and other designated areas as necessary. Prepare written correspondence as necessary. Retrieve medical records when requested by authorized personnel (i.e., physicians, nurses, government agencies and personnel, etc.) Assure that medical records taken from the department are signed out and signed in upon return to the department. File active and inactive records in accordance with established policies. Index medical records as directed. POSITION SUMMARY

The Ophthalmic Assistant (OA) position is responsible for actions that support and safeguard Fogg Remington EyeCare (FRE) Standard of Patient Care. The OA provides support to ophthalmologists and optometrists. OA's multi-task and regularly complete ad hoc projects. The workday goes by quickly, and no two days are exactly alike. The OA should be committed to the Company's strong learning culture and creating a positive patient experience. They are responsible for performing various tasks, including patient intake, vision testing, and assisting with minor surgical procedures. The OA must have excellent communication and organizational skills and a strong eye for anatomy and physiology knowledge. They must work well with patients of all ages and backgrounds.

ESSENTIAL FUNCTIONS, DUTIES, and RESPONSIBILITIES
  • Gather information about the patient's primary concern.
  • Record the gathered information in the patient's medical records.
  • Obtain the patient's medical history.
  • Perform a test for visual acuity.
  • Conduct a test for stereopsis.
  • Perform a test for color vision.
  • Administer a test for Confrontational Visual Field Testing (CVF).
  • Perform Non-Contact Tonometry (NCT).
  • Use an auto refractometer.
  • Use an auto lensometer.
  • Administer eye drops to the patient.
  • Assess the patient's pupils.
  • Ensure exam room drawers are stocked.
  • Ensure exam rooms have the necessary forms.
  • Restock alcohol bottles.
  • Use a Tonopen to measure intraocular pressure.
  • Open and close exam rooms.
  • Know basic eye terminology.
  • Explain the Contact Lens Agreement and Advance Beneficiary Notice (ABN) agreements to the patient.
  • Maintain proper structure in medical records and Electronic Health Records (EHR).
  • Serve as a scribe for ODs and MDs, including coding and documentation.
Additional Requirements
  • Cross-train in relevant/related functions and roles as necessary, and assist/train other staff in related functions as needed.
  • Has not been sanctioned or excluded from participation in federal or state healthcare programs by a federal or state law enforcement, regulatory, or licensing agency.
  • Maintain confidentiality by safeguarding ePHI and demonstrating HIPAA compliance to our patients.
  • Ensure that HIPAA privacy policies are clearly understood and followed.

EDUCATION AND EXPERIENCE

Education
  • Required: Possession of a high school diploma or GED.
  • Preferred: Successful completion of a Medical Assistant or comparable program.
Experience
  • Although previous experience as an Ophthalmic Assistant or comparable role is ideal, healthcare, hospitality, and retail experience are also assets.
  • Experience as a Medical Assistant or similar is a plus.

  • Good interpersonal skills and the ability to communicate effectively with different audiences.

Front Office Check-in & Check-out
  • Communicates professionally and accurately about services, payment and appointment scheduling.
  • Provides paperwork to patients and secures payment and insurance information as needed for billing purposes.
  • Enters accurate patient information into Electronic Practice Management System (EPM)
  • Makes Health Center appointments, provides information and appropriate referrals
  • Contacts insurance companies to obtain benefit information and authorization for services
  • Ensures accuracy of charges and posts charges to EPM for all pay types following established practices and procedures.
  • Runs end-of-day reports as directed by Center Manager.
  • Responsible for ensuring all charges are entered same day and all charges must be completed by close of business day.
  • Handles patient check-out, calculates and collects fees, solicits contributions, schedules future appointments.
  • Contacts appropriate Health Center staff and billing department personnel as necessary to obtain information needed to complete billing and to resolve errors.
  • Notifies supervisor of discrepancies or unusual occurrences in daily billing or computer software/hardware.

  • Responsible for completing all billing tasks and corrections within 72 hours of receipt
  • Responsible for following all PPMM financial policies and procedures

Back Office Lab & Direct Care: Check-in & Check-out
  • Performs moderately complex lab testing including: Pregnancy tests, STI/HIV testing from blood and urine collection and phlebotomy/ and venipuncture.
  • Prepares daily patient lab samples for transfer to appropriate lab(s) including maintaining lab logs and running lab report for daily reconciliation.
  • Completes lab controls as needed.
  • Checks refrigerator temperatures.
  • Cleans instruments, exam rooms, lab area, and autoclave as assigned.
  • Prepares patients for exams and assists in exam room when needed;
  • Provides pregnancy testing, information and referral, schedules PT clients for follow up family planning or other appropriate services;
  • Performs lab work and venipuncture;
  • Prepares examination room with appropriate supplies for examination and cleans room;
