Position Summary:

Provide courteous, efficient, and professional medical care to meet the needs of the patient. This includes assessing patient needs and relaying them to the provider to ensure the best patient care possible and to enable the clinic to function as effectively as possible. This also includes making sure the patient understands the treatment prescribed and instructions given. This position can be assigned as a nurse/MA following a provider or a nurse/MA rooming patients depending on staffing needs.

Typical Physical Demands of Job :

Requires full range of body motion including handling and occasionally lifting patients. Lifting up to 50 pounds, but not limited to that amount. Requires standing, stooping, sitting, and walking for extended periods of time. Occasionally requires working extended hours.   • Assist the providers with procedure and treatments as directed.
  • Bring the patients back to rooms and obtain chief complaint and history of present illness.
  • Update medical history, review of systems, allergies and medications.
  • Prepare the patient for the office visit.
  • Chart for the provider if you are in the role of provider nurse and assist with office visit as directed.
  • Write prescriptions for patients as directed by the provider.
  • Distribute patient information as needed and assist the patient in understanding their medical care and instructions.
  • Set up surgical and biopsy trays and assist as needed.
  • Clean and set up rooms after patient visit is complete.
  • Stock rooms and supply areas.
  • Clean and sterilize instruments as needed.
  • Fill liquid nitrogen containers each morning upon arrival.
  • Help with laundry, general cleaning, and red bag trash as needed.
  • Maintain equipment quality control measures, i.e. autoclave, refrigerator, freezer, piccolo, etc.
  • Document all pertinent information on lab results in appropriate areas to comply with CLIA.
  • Collect bloodwork and assist with biopsies as ordered and follow to completion.
  • Other duties as assigned.
  • Attend yearly OSHA, HIPAA, and Bloodborne Pathogen training.
  • Abide by HIPAA regulations in all aspects of patient care.

SUMMARY OF RESPONSIBILITIES

The position of Medical Assistant is responsible for assisting the Provider with patient visits.


ESSENTIAL FUNCTIONS

The essential functions of the Medical Assistant position can be divided into the categories of Scribe duties and Circulator duties. During any particular patient visit, the Medical Assistant may be responsible for performing some or all of these functions, depending on the nature of the visit, the wishes of the Provider and the presence or absence of a second assistant during the patient visit.


The Scribe duties that may be assigned to the Medical Assistant include, but are not limited to, the following:

  1. Accompanying Provider into the patient examination room and accurately documenting the Provider’s encounter with the patient, including HIP, ROS, Physical Assessment, Education, Lab Orders, Radiology Orders, Assessment/Plan, Billing, and Meaningful Use. The position does not complete charting documentation for prescriptions.
  2. Ensuring that the Provider reviews and signs off on the patient’s chart.
  3. Regularly monitoring voicemails and promptly returning phone calls from patients.
  4. Regularly monitoring EMR messages and responding in a timely manner.
  5. Performs other related duties as assigned.


The Circulator duties that may be assigned to the Medical Assistant include, but are not limited to, the following:

  1. After each patient visit, updating Face Sheet Plan with all pertinent information including but not limited to UDS/PMP/Pill Count Consistent/Inconsistent, Repeat UDS, Procedures/Imaging/PT, and Medication Refills/Changes/Weaning Plan.
  2. Documenting Warnings/Violations/Inappropriate Behavior in “Alerts” or in the personal notes section of the Face Sheet.
  3. Updating Past Medical History ICD codes, reconciling current medication list, performing pill counts, and entering PQRS codes.
  4. Obtaining and recording patients’ vital signs in the medical health records software.
  5. Completing letter out referrals for orders.
  6. Sending messages for prior authorizations for back braces.
  7. Scheduling patients’ next appointments.
  8. Regularly monitoring voicemails and promptly returning phone calls to patients.
  9. Regularly monitors EMR messages and responds in a timely manner.
  10. Performs other related duties as assigned.

The position operates in a professional office environment and the incumbent, in the course of performing this position, spends time writing, typing, speaking, listening, driving, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, walking, standing, and reaching. The incumbent may operate any or all of the following standard office equipment including but not limited to multi-line telephone system, postage mater, facsimile machines, calculator, photocopy machine, computer/printer, and coffee maker. The incumbent may operate medical equipment. The Role

The Medical Assistant/Phlebotomist is responsible for providing administrative and clinical support to ensure efficient clinic operation. Women's Health Associates of NWA is seeking a full-time Medical Billing Assistant for our busy Bentonville location. Our office is growing and looking for a professional and motivated individual to join our team. The Medical Billing Assistant is responsible for welcoming and assisting patients and visitors. Primary job duties include greeting patients, answering billing and/or insurance questions, collecting patient co-pays, validating insurance benefits, processing paperwork, and maintaining patient's financial accounts by obtaining, recording and updating financial information.

**Candidates with medical billing & collections experience are highly encouraged to apply**

Responsibilities and duties include, but are not limited to:

·Provide excellent customer service, through patient interaction in person and exceptional telephone etiquette when taking incoming calls

·Update any changes to patients' demographics in Electronic Health Record (EHR), under correct tabs

·Follow established policies and procedures when managing different topics

·Verify patient financial records/insurance benefits and collect patient charges, such as co-pays, past due balance or pre-payments

·Comfortable discussing patient's insurance benefits/coverage

·Must be able to multitask and possess critical thinking skills to effectively cross reference multiple insurance websites

· Strong attention to detail and ability to work in a fast pace environment

·Bilingual (English/Spanish) a plus

·1-2 years of medical billing experience preferred

**Job Summary**
The Certified Medical Assistant (CMA) provides patient care under the supervision of a medical provider. This role supports clinical and administrative functions, including assisting with medical procedures, maintaining exam rooms, managing patient intake, and ensuring efficient clinic operations while delivering excellent patient service.
**Essential Functions**
+ Assists providers with clinical procedures such as taking vital signs, wound care, suture removal, administering injections, phlebotomy, vaccines, performing urine tests, EKGs, and applying splints or other specialty-specific tasks.
+ Prepares and cleans exam rooms for patient visits and clinical procedures.
+ Performs patient intake duties, including reporting test results, phone triage, and documenting medical information as directed by licensed personnel or providers.
+ Reviews and maintains daily logs and documentation.
+ Supports administrative duties, including pre-registering patients, scheduling appointments, coordinating referrals, verifying insurance eligibility, and managing clinic communications.
+ Maintains an organized workload while providing prompt, courteous, and efficient service to providers, patients, and visitors.
+ Monitors and requisitions clinic supplies and equipment to ensure appropriate inventory levels and functionality.
+ Educates patients on medications, diets, and other health-related topics, addressing questions to ensure understanding.
+ Performs other duties as assigned.
+ Complies with all policies and standards.
**Qualifications**
+ 0-1 years of experience in a medical practice setting or completion of externship program required
**Knowledge, Skills and Abilities**
+ Knowledge of medical office procedures and patient care techniques.
+ Proficiency in medical record systems and basic computer applications, such as Microsoft Office and Google Suite.
+ Understanding of medical terminology and infection control practices.
+ Strong interpersonal skills with the ability to provide excellent patient service.
+ Demonstrated time management and organizational abilities in a fast-paced environment.
+ Critical thinking skills for analyzing and resolving clinical and administrative challenges.
+ Ability to perform care according to age-specific competencies.
**Licenses and Certifications**
+ Certified Medical Assistant (CMA)-AAMA required or
+ National Certified Medical Assistant (NCMA)-NCTT required
+ BCLS - Basic Life Support issued by American Heart Association (AHA) or American Red Cross (ARC) or American Safety and Health Institute (ASHI) required
