MINIMUM QUALIFICATIONS :

4. Provides ongoing updates to assigned recruiters and maintain clear documentation regarding candidate phone and e-mail correspondence.

5. Completes interview scheduling requests in a timely, organized, and accurate manner.

6. Documents recruitment expenses including advertising expenses, visit related expenses (travel, hotel, meals etc.), recruitment firms and other sourcing related expenses.

7. Supports candidate relocation process by scheduling realtors, community and school tours and other community interests for candidates and new hires.

8. Partners with recruiters to ensure successful job advertisement placement and tracking of all advertising.

9. Provides sourcing support through candidate outreach portals such as social media, advertisements, marketing materials

10. Assembles recruitment packets for candidates.

11. Assists recruitment team in escorting candidates and family members on tours and to interviews throughout the WVU Medicine campus and offsite facilities as needed.

12. Coordinates candidate travel arrangements as needed

13. Creates professional, detailed candidate itineraries as needed and ensures proper documentation of interview in Microsoft Outlook and the Human Resources Information System (HRIS).

14. Support recruitment function with facilitation of reference, education, licensure, and certification check processes in accordance with department policy and procedures as directed by assigned recruiters.

15. Supports Talent Acquisition function through tasks may include assembling welcome packets, monitoring overall onboarding process of each new recruit, acting as point of contact for onboarding status questions, etc.

16. Schedules meetings, prepares monthly calendar or maintains appointments calendars, documenting accurate times and contacting appropriate individuals.

17. Reconciles department credit cards on a monthly basis.

18. Reconciles weekly/monthly cash deposits for the department.

19. Provides excellent customer service to recruitment function and potential candidates.

20. Processes department invoices for payment.

The life blood of any Fraternity is the continual renewal of its undergraduate membership. The evolution of the collegiate experience requires our Fraternity to adapt and evolve as well. With that in mind, we are creating a new role focused on strategically energizing our undergraduate chapter and colony growth efforts.

The Assistant Director of Recruitment Support manages all activities related to recruitment support efforts for our existing chapters and colonies. This includes creating and executing a national recruitment support plan, as well as directly coaching staff, volunteers, and undergraduates on the Delta Tau Delta Growth system.

Essential Duties:
  • Develop the Fraternity's Chapter Recruitment Program. Ideally an engine to drive sustained recruitment mechanisms at all our member chapters
  • Provide support and training to chapters in need of recruitment support, as well as local and national volunteers
  • In consultation with the Director of Chapter Services, identify and coach chapters in need of additional growth and recruitment support.
  • Lead the effort to create recruitment education training to be implemented at chapter, regional and national programs
  • Assist in analyzing data to make informed decisions around the growth of chapters and the Fraternity
  • Provide recruitment support and training directly to new colony and new chapter
  • Train chapter leadership consultants on the Delta Tau Delta Growth System as well as how to coach chapters with this system
  • Serve as the contact person for any outside vendors assisting with recruitment support and recruitment programs
  • Collaborate with communications staff to create and deliver social media strategies for undergraduate chapters as well as a national program to drive awareness of the Fraternity to potential new members.
  • Create and share reports of undergraduate chapter's recruitment progress with relevant stakeholders
Systems and Metrics:
  • Explore technical solutions to enhance the growth engine of the Fraternity
  • Create measurement systems to better understand results and create an environment of accountability and sustained success
  • Evaluate and continuously improve the recruitment aspect of the Fraternity's online presence

We're looking for a Recruiting Assistant to join the team on a contract basis, with the potential to extend through the end of the year or convert to a full-time role. This is not a recruiter role-no recruiting experience is required. We're seeking someone with strong customer service experience, a curiosity for learning, and the ability to juggle multiple priorities with professionalism and enthusiasm.
What You'll Do
* Provide backend recruiting support with a focus on delivering an outstanding candidate experience.
* Schedule interviews by coordinating calendars, managing travel and accommodations, and creating detailed itineraries.
* Serve as the primary point of contact for candidates-building excitement and making a strong first impression.
* Facilitate background checks in accordance with company guidelines.
* Greet and assist candidates and hiring leaders at our Recruiting Center front desk.
* Collaborate with recruiters, hiring leaders, and internal partners using tools like iCIMS, TextRecruit, Outlook, OneNote, and Microsoft Teams.
* Partner with the HR Service Center to address candidate and employee inquiries.
What We're Looking For Required:

* Associate's degree or equivalent experience.
* 2+ years of customer service or related experience.
* Strong attention to detail and organizational skills.
* Ability to thrive in a high-volume, fast-paced environment.
* Proficiency in Microsoft Office (Outlook, OneNote, Teams).
* Technically savvy and eager to learn.
Preferred:

* Bachelor's degree.
* Interest or background in Human Resources or Talent Acquisition.
* Experience with applicant tracking systems (e.g., iCIMS) and scheduling tools.

The pay range for this position is $22.50 - $22.50/hr.

Description

The Recruiting Assistant will play a key role in supporting the recruitment team and facilitating a smooth hiring process across the organization. This position will assist with a variety of administrative and operational recruiting functions, including applicant tracking, candidate communication, generating offer letters, and maintaining records. The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities:
  • Serve as a primary point of contact for incoming applicant and candidate phone calls.
  • Assist with applicant tracking by maintaining and updating records in the applicant tracking system (ATS).
  • Prepare and generate offer letters and other recruitment-related documentation.
  • Collaborate with recruiters and hiring managers to understand position requirements and upcoming hiring needs.
  • Support job postings and drive applicant flow through various recruitment platforms and channels.
  • Maintain organized and compliant documentation on candidates, communications, and recruiting activity.
  • Foster and maintain relationships with external organizations, schools, and training institutions to support ongoing recruitment efforts.
  • Represent the company professionally in all interactions, upholding the values and image of DRG.
Qualifications

Qualifications:
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Comfortable speaking with candidates and team members over the phone and by email.
  • Ability to manage time effectively and handle multiple tasks with minimal supervision.
  • Proficient with basic computer programs (Microsoft Office products to include Teams).
  • Professional demeanor and a team-oriented attitude.
  • Desire to grow within the recruiting or HR field.
