The International Shipping Agent position navigates complex company policy and legal guidelines to ensure that international shipments are delivered safely and efficiently. A typical day as an International Shipping Agent consists of reviewing and processing shipments slated for international delivery, reviewing and applying international hazmat standards, and generating invoices as appropriate for international customers. The International Shipping Agent also frequently assists other warehouse employees with domestic shipments as needed.

Compiles and maintains records regarding shipments, put away and letdown paperwork. This position will be responsible for ensuring data entry is conducted on a timely basis to ensure up-to-date inventory numbers. the Shipping Clerk will assist with all shipping and receiving procedures while providing excellent customer service.

In this position, you will be responsible for ensuring that the paperwork for all shipments leaving the distribution center is complete and accurate. You will check drivers in and out throughout the day, handle bills of landing (BOLs), and utilize various systems and  frequently interact with warehouse personnel and carriers.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as a normal practice.

  • Processing Inbound and Outbound in the warehouse
  • Obtains Put-away and Letdown paperwork from the off going shift and enters the information into RUMBO.
  • Creates new Complete Inventory Report for the current shift.
  • Obtains outbound paperwork from the Shipping Supervisor and completes the transaction in system
  • Obtains the signature from all outside carriers on Bills of Lading and Delivery receipts
  • Works with all members of the department to identify and develop corrective action plans to eliminate inaccurate/damaged shipments
  • Identifies customer shortages and verifies warehouse inventory to determine validity of shortage claims.
  • In conjuncture with Transportation track and identify OS&D figures and develop methods to reduce such claims 
  • Develop methods to improve the department through selection and inventory improvements as identified.
  • Enter inventory counts on quarterly reconciliation and develop recount sheets based on given parameters
  • Interact with warehouse associates and trouble shoot issues
  • Assist with daily and weekly reports
  • Jointly work with Supervisors and Management to meet warehouse metrics
  • Prioritize workload and have flexibility to adjust based on position requirements
  • Perform other clerical duties as identified by the department manager.
  •  Participates in special projects and performs other duties as required

Requirements

Responsible for overseeing all aspects of the shipping and receiving operations within our facility, with a focus on handling of controlled substances in compliance with relevant regulations.

  • Maintain accurate records of all incoming and outgoing shipments of controlled substances.
  • Monitor inventory levels and coordinate with procurement team to ensure adequate stock levels.
  • Conduct regular physical inventory counts and reconcile discrepancies.
  • Ensure compliance with all relevant laws, regulations and company policies governing the handling and distribution of controlled substances, including DEA regulations.
  • Implement and enforce security protocols to prevent theft, diversion, and unauthorized access to controlled substances.
  • Ensure the facility is compliant to ship scheduled substances through accurate completion of all required DEA documentation such as quota applications, inventories, destruction, shipping forms, etc.
  • Conduct inspections of incoming shipments to verify product quality and compliance with specifications.
  • Keep current on changes to DEA Schedules and policies.
  • Anticipate the expectations during a DEA inspection of the facility.
  • Collaborate with Facility Management to assess all internal security systems and drive improvements as necessary.
  • Understanding of the obligations imposed upon all DEA registrants to complement the basic requirements of FDA to train, mentor, and develop staff.
  • Previous experience in a warehouse management role in a regulated industry such as pharmaceuticals or healthcare.
  • Knowledge of DEA regulations and other applicable laws governing controlled substances.
  • Strong organizational skills, with the ability to effectively manage a team and prioritize tasks.
  • Familiar with common ERP, SAP and warehouse management systems.

The Warehouse Associate plays a key role in supporting warehouse operations by accurately picking, packing, shipping, and receiving inventory. Working under the direction of the Warehouse Manager and supervisors, this role ensures that products are properly handled, organized, and prepared for distribution. The Warehouse Associate is expected to follow established procedures, maintain a safe and clean workspace, and assist in keeping inventory organized and accessible.

Pay Rate and Schedule: $18.00 - $20.00 an hour - 40 Hours per week / Schedule to be determined

Responsibilities (include but are not limited to):

• Order Fulfillment and Shipping:

o Accurately pick products based on pick tickets, check for completeness, and conduct quality control

o Pack and weigh items, apply appropriate labels, and prepare items for safe shipment

o Examine outgoing shipments to ensure they meet customer and carrier specifications

o Deliver items and products to the correct departments or requestors promptly

• Receiving and Inventory Management:

o Verify and document incoming shipments, inspect for damage or shortages, and report discrepancies to supervisors in a timely manner

o Sort, label, and place items in designated areas within the warehouse, ensuring efficient organization and accessibility

o Assist in keeping inventory organized, performing periodic stock checks as directed

o Utilize basic math skills to compare packing lists with purchase orders, identifying any discrepancies

• Warehouse Operations and Maintenance:

o Operate forklifts, pallet jacks, or hand trucks (if certified) as directed to support warehouse tasks as well as other warehouse equipment

o Safely unload cargo and materials, using physical strength and proper lifting techniques

o Maintain a clean and safe workspace, following facility and OSHA safety standards

o Assist in organizing warehouse areas for efficiency and orderliness

o Maintain a high standard of safety by following established protocols and regulations.

• Cross-functional Support:

o Provide support for inventory counts, facility maintenance, and special projects as directed

o Promptly report any equipment issues or maintenance needs to minimize disruptions

o Demonstrate a strong sense of time management and urgency to meet deadlines effectively

o Utilize critical thinking skills to solve problems and make informed decisions

Requirements (include but are not limited to) :
  • High school diploma or equivalent.
  • Previous experience in a warehouse or logistics environment is a plus
  • Forklift operation certification is required; on-the-job training may be provided for qualified candidates
  • Experience with operating a variety of warehouse equipment, including but not limited to forklifts, pallet jacks, and hand trucks
  • Basic math skills for accurate comparison of packing lists and purchase orders
  • Ability to lift up to 65 lbs. and perform physically demanding tasks (standing, walking, bending, etc.)
  • Strong organizational skills, attention to detail, manage time efficiently, and prioritize tasks
  • Problem-solving skills, the ability to make decisions under pressure, and a willingness to learn new skills
