Description

Responsibilities and Duties

Respond to requests and inquiries from students, faculty, staff and the public; provide information on admissions, financial aid and registration policies and procedures; assist students to complete various forms and applications; refer students to other college services as appropriate.

Design and develop promotional literature, pamphlets, forms, and displays of the various services offered by the District; update web pages and social media.

Research, develop, and deliver presentations and workshops.

Organize and market events and workshops; contact and make arrangements for speakers; coordinate facilities and resources.

Provide assistance and support to faculty and administration, as requested.

Perform data entry functions; enter, store, modify, retrieve and print student information.

Perform a variety of routine clerical functions; schedule orientation and assessment appointments; maintain and order informational handouts and brochures.

May process financial transactions or contracts; initiate requisitions and purchase orders, as required.

May train and oversee the work of student employees; serve as a resource and technical lead for other staff.

Perform related duties and responsibilities as required.

When assigned to the Counseling and Special Services or the Career/Transfer Center:

  1. Conduct program orientations and classroom presentations; inform and assist students with methods to utilize Center services and resources; organize and maintain a resources library.
  2. Assist students to research and pursue their college or career interests; maintain an inventory of occupational, vocational and training information and resources; meet with students to explore career options.
  3. Provide students with transfer information, publicize transfer activities and workshops, schedule and arrange campus visits with four year university representatives; assist students with college applications.
  4. Plan and implement events and activities such as but not limited to Transfer Day/College Night programs and specialized career and transfer workshops.
  5. Introduce students to career decision making models on an individual or group basis; train students in the use of career guidance programs.
  6. Provide students with job search information and assistance including local job market outlook, resources, leads and general encouragement and support.
  7. Conduct pre-employment workshops to assist students with the job search process including resume writing, interviewing techniques and etiquette, appropriate dress and follow-up procedures

When assigned to the Assessment Center:

  1. Interview students to assess needs, interests, and individual academic requirements.
  2. Provide standardized and specialized assessment testing services to individual students and in support of various campus programs; provide testing information and materials; advise students in correct test taking procedures.
  3. Review transcripts and evaluate assessment test results to determine course placement level.
  4. Refer student to the appropriate career guidance courses, counseling services, or District services and programs, as appropriate.
  5. Maintain records and a database of services performed and individual assessment results.
  6. Provide and support off-campus assessment services to South Campus and area high schools, continuation schools, charter schools, academies, and adult schools.
  7. Update and maintain the unit's web page

When assigned to EOPS and CARE:

  1. Review student units, semesters and college transcripts to determine initial or continued eligibility for EOPS services; monitor academic progress, grant and financial aid eligibility of EOPS and CARE students.
  2. Schedule and conduct EOPS and CARE orientation.
  3. Engage and participate in campus and community outreach activities to promote the availability of EOPS and CARE services.
  4. Prepare comprehensive reports of EOPS and/or CARE student data to be submitted to the Chancellor's office each semester; compile and track data.
  5. Serve as program liaison for EOPS and CARE advisory committees, regional meetings, and other community programs serving educationally and economically disadvantaged students.
  6. Coordinate and attend program field trips and visits to four year colleges.
  7. Maintain and track data and information contained on the program application; make accurate progress reports.

When assigned to categorically funded programs:

  1. Provide assistance to students in categorically funded programs and other students receiving public assistance; ensure students adhere to established program rules and regulations; monitor student progress and contact students in non-compliance.
  2. Recruit students interested in non-traditional careers; assess participant's eligibility for the program; provide assistance to students enrolled in the program regarding career choices and opportunities.
  3. Recruit students for program enrollment; disseminate program information to high schools, migrant groups, local agencies and the public; conduct presentations regarding program services and opportunities.
Qualifications

Knowledge of:

The National WWII Museum is currently seeking a Student Programs Specialist. Working within The National WWII Museum's Education Department and reporting to the Assistant Director of Student Programs, the Student Programs Specialist is responsible for the facilitation and planning of the Teaching and Learning's inbound and outbound student travel programs, such as Normandy Academy and Student Leadership Academy. This position will coordinate national school outreach for traveling artifacts. The Student Programs Specialist works closely and collaboratively with all members of the Student Programs team and the wider Education Department to create programs, activities and experiences that connect World War II to today.

Requirements

  • Lead the planning and delivery of the Museum's inbound and outbound student travel programs. Including but not limited to Normandy Academy, Student Leadership Academy and future student travel programs.
  • Coordinate booking and logistics for traveling artifact trunks to schools nationally.
  • Deliver in-school outreach programs across the state and region.
  • Assist Field Trip team with onsite facilitation on days with large student group attendance.

Job Overview

The Multicultural Student Programs Coordinator is responsible for leading programmatic and administrative tasks for the Office of Graduate Student Life.   7. Manage Dine with a Mind program.
  8. Serve as maintenance DSO (Designated Student Official) and assist with general immigration processes. A DSO must be a US citizen or a lawful permanent resident of the U.S.
  9. Help to provide welcome and hospitality at the Graduate School and maintain the Second Floor Lounge.

Job Summary

Under the supervision of the Co-Directors of Learning & Engagement, the Manager of University Student Programs supports Museum-wide objectives by administering engaging and dynamic programming for University of Utah student audiences. By seeking opportunities for collaboration, developing programs with student participation in mind, and keeping abreast of possibilities on our dynamic campus, the Manager makes students from across disciplines and at different stages in their academic careers feel welcome at the Museum.

The Manager is responsible for stewarding established programs like Art + Wellness, Sight & Sound, Drop-In Drawing Disco, and Day With(out) Art, as well as certain community partnerships that engage students. The Manager also builds new relationships with students on campus, connecting to organizations, courses, and events with the support of the Co-Director of L&E. Ultimately, this position is charged with thinking strategically about student programs that will educate, excite, open doors, and enrich students’ lives at the University of Utah.

The Manager will ensure that programming encourages active participation by connecting students to UMFA’s global collection, and create opportunities to arrive at new understandings about art, each other, and the world. An integral member of the Learning & Engagement Team, the manager will contribute to the broader work of the department, envisioning the ways we can work together to best engage our audiences.

The Manager will help to advance the UMFA’s commitment to being a museum where our communities find themselves represented, welcomed, engaged, and heard.

Responsibilities

Duties include:

  • Implement innovative programming for University of Utah students.

  • When appropriate, and in collaboration with the Co-Director of Learning & Engagement, develop programming in partnership with campus and community partners based on goals, philosophies, and pedagogies identified by both the Museum and partners.

  • Build relationships and partnerships with University of Utah student organizations, groups, academic departments, community organizations, and museum colleagues statewide. Champion UMFA’s role as a resource for students across disciplines.

  • Collaborate with University of Utah students, staff, and faculty to connect UMFA’s global collection of art through interdisciplinary teaching and learning;

  • Support production of bi-annual faculty newsletter, connecting University community to special exhibitions, etc.

  • Receive training for, then provide, tours for adult and University audiences related to course needs and interests.

  • Monitor and improve processes for evaluating programs on an ongoing basis.

  • Report on and suggest revisions to current adult programming offerings on evaluative tools and best practice standards.

  • Propose new offerings that reflect current trends and issues in museums and university education.

  • Support development of, then facilitate/manage, internship program.

  • Manage and maintain supplies and educational materials for programs.

  • Monitor budgets and keep detailed records for programs.

  • Represent the Department of Learning & Engagement in the Museum through exhibition planning teams; exhibition-related educational programming; Learning & Engagement programs; and collaborate across Museum departments to support collective efforts.

Minimum Qualifications

Bachelor’s degree in a related field plus two years of related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated human relations and effective communication skills also required.

Brief Summary of Job Duties:
The Associate Director for Student Programs, Events and Services is responsible for the direction, organization, and implementation of several main program areas within Associated Students including supervision of staff and programming resources. Advises and mentors students and staff in programmatic areas including Program Board and Committees and Commissions in Associated Students needing mentoring in the production of events Assesses training needs and develops curriculum and training modules to ensure that students engaged in the co-curricular activities as either student employees or leaders are provided with learning opportunities that enhance their education experience at UCSB. Primary advising responsibility with Program Board for the Associated Students Department involves overseeing the development, operation, presentation, and/or supervision of all AS Program Board student related multi-function programs and events including full programmatic responsibility for complex campus-wide activities. Secondary and tertiary advising responsibility for entities as needed particularly AS funded groups on event planning and execution of campus wide events. Determines long-range planning, purchasing, expenditure control and equipment security within programming areas. Responsibilities include but are not limited to advising AS funded groups on event planning, budget control, policy development, long-range program development, planning, promotion and implementation of programs and events, and interpreting University and AS policies and procedures.

Required Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training

50% Management - Serves as part of the A.S. senior managers group. Oversees contractual relationships with off campus vendors including ensuring that AS follows all policies and procedures that may be required by the local community (e.g., Isla Vista Park and Recreation district), the city, county or the University. Responsible for monitoring and tracking budget areas which receive funding from many different sources; track expenditures and receipts as the relate to each unique area. 20% Student Development and Advising - Acts as primary advisor for A.S. student Boards, Committees and Commissions throughout the organization whose main mission is to produce events or affect student life in the areas of equity, housing, legal resources, safety and well-being. Primary Boards and committees include Program Board, Womyn's Commission and Take Back the Night. Secondary advisor for CODE, COSWB, IVTU, Rally Commission and others as needed, in particular for event planning. Mentors case management issues for the Office of the Student Advocate. Serves as the primary advisor for AS Program Board. Supervises the ASPB Program Advisor and ASPB student leaders in developing and implementing robust programming plans that support the various areas within ASPB: Films, Cultural Arts and Lectures, Special Events, Concerts, Marketing, Leadership and the Volunteer Program as well as other ASPB initiatives. Oversee Large-scale campus events (12,000 students) to small-scale events and ensures campus procedures and policies are followed. Provides recommendations, reports, and metrics on the feasibility of new and current programs and initiatives. Meets with student groups on a regular basis to discuss event/program production, coordination, evaluation, negotiations, contracts, technical requirements, and other appropriate resources. Trains and advises student participants on setting realistic goals, planning organizing, event staffing, leadership and budgeting. Provide a positive learning environment for the experiential growth of student participants. Advises and assists boards, committees and individuals in the development of programs and actions necessary to achieve their programmatic goals. Informs students of A.S. and University policies and procedures. Research issues pertaining to each functional area and develop new procedures and programs as appropriate. Oversees planning, budgeting, program implementation, event evaluation and University regulations (including the dissemination and compliance with Health and Safety regulations) and pertinent A.S. policies and procedures for each group within the advisement area. Provides workshops on and/or facilitates speakers covering student development through training in areas including leadership and group dynamics, communication skills, motivation techniques, contract negotiations, project coordination and other topics of interest as needed. Trains Programmers to facilitate workshops. Provides Program Board with appropriate training in event production and evaluation, contract negotiations, advertising, ticket management, support staff and artist stage requirements for all programs and events. Attends weekly Program Board meetings. Attends Program Board events, especially those where complexity, size, and scope are potentially troublesome. Mediate conflicts that emerge and facilitate communication among students and staff members. Students may have conflicts with each other, the university, local, state and/or national government. Guide students toward the achievement of their goals utilizing available resources and encouraging respectful dialog. Monitor the management of the annual campus-wide Extravaganza festival held in May. Extravaganza is a complex multi-function event drawing in excess of 10,000 from the campus. Oversee festival budget including expense and income projections for ancillary event operations such as vendors, T-shirt merchandising and program advertising.

Develops, encourages, and monitors professional growth and staff development of professional staff, student staff, and student volunteers (Currently 1FTE, 15 student leadership staff, 3 student office staff, and approximately 60 student volunteers). Advises and mentors students and staff in programmatic areas including Program Board and Committees and Commissions in Associated Students needing mentoring in the production of events Assesses training needs and develops curriculum and training modules to ensure that students engaged in the co-curricular activities as either student employees or leaders are provided with learning opportunities that enhance their education experience at UCSB. Primary advising responsibility with Program Board for the Associated Students Department involves overseeing the development, operation, presentation, and/or supervision of all AS Program Board student related multi-function programs and events including full programmatic responsibility for complex campus-wide activities. Secondary and tertiary advising responsibility for entities as needed particularly AS funded groups on event planning and execution of campus wide events. Determines long-range planning, purchasing, expenditure control and equipment security within programming areas.
