Position Summary
The Sales Support Representative, FDO is responsible for supporting the sales team in assisting customers through the entire sales cycle. The role will assume responsibility for maintaining and expanding existing customer accounts within the assigned customer base with a primary focus of retaining customer business. Additionally, the role works directly with customer opportunities to provide new equipment proposals and follow up on any customer questions or requests. Furthermore, the role provides a significant sales support function to help outside sales representatives improve their sales productivity by being the primary interface between the office and sales operations and the order entry functions.
The Sales Support Representative, FDO will play a key role in structuring the sales process. This function includes pricing opportunities through the Vertiv solutions lines, organizing sales and marketing collateral, building SMB quotes to bid on new business opportunities in generating incremental revenue, and managing customer satisfaction. This role will act as a first point of contact for urgent calls, emails and messages when outside sales representatives are not available. This position will be the liaison between the field sales team in the offices and the order entry and order coordination teams. Additionally, the role will have responsibility in assisting the outside sales representatives with post sales actions, and issues with invoicing disputes that require timely resolution that may arise.
Responsibilities
- Works with sales team to develop and grow the sales pipeline to consistently meet revenue goals.
- Works with sales team to build quotes to bid on new business opportunities and generate incremental revenue.
- Conveys all prospective and lost revenue to Outside Sales Representative and General Manager immediately.
- Works with the sales team and Vertiv marketing to develop database of customers within defined market segments.
- Collaborates with marketing in promotional material generation and communications to customers as needed.
- Coordinates with the sales team to assist in key sales events, including tradeshows, distributor showcases, off-site Lunch-N-Learn programs, including scheduling and arranging office events.
- Reviews order acknowledgements for accuracy.
- Tracks orders for shipments and coordinates with outside sales representative and traffic requiring special handling or expediting requirements. Assists with expediting procedures on late shipments as needed.
- Monitors order status for accounts on credit/contract hold and assist customers with credit/accounting questions.
- Prepares mailings as required by sales staff.
- Coordinates the purchase of buy-out equipment as part of the ordering process for various projects.
- Assists the sales staff whenever possible, including assisting with mis-ships, damaged shipments, and start-up/commissioning coordination.
- Coordinates invoice resolution efforts with accounts receivable/collections and outside sales representatives to minimize delay in unsettled imbursements.
- Other duties as assigned.
Minimum Qualifications
- BA or BS required (Business, Engineering, Marketing, Communications preferred) or equivalent combination of education and experience.
- Excellent communication skills, both written and verbal.
- Excellent customer service, organizational, and analytical skills.
- Ability to work and multi-task in a fast-paced environment.
- Knowledge of technology including software, hardware, and/or networking is preferred.
- Proficient in MS Office
Preferred Qualifications
- 2+ years sales or account management experience.
- Experience working with IT resellers.
- Experience with CRM management.
- Proficient with MS Visio.
- Experience with order entry tools like Oracle or Salesforce.

The Appeals Support Representative role directly supports the Clinical Appeals Specialist in the administrative functions of Denials and Appeals within the Utilization Review Team.
_ This is a full-time remote position that will work Monday through Friday, 8:00am-4:30pm EST or 8:30-5:00pm EST. _
Responsibilities:
• Complete outbound calls to payers for status updates on retro authorization requests and appeal submissions.
• Interact with third party insurance representatives and utilize online sites to review retro authorization and appeal status.
• Track and confirm weekly status updates on all outstanding appeal cases until final resolution.
• Request, track, and receive payer correspondence regarding approvals and denials to include acknowledgment letters and determination letters.
• Organize and scan all payer determination letters in KIPU charting system and update the Clinical Appeals Specialist within 24 hours of receipt.
• Document final appeal outcomes as well as case details in KIPU chart system and appeal spreadsheet.
• Responsible for obtaining patient and/or guardian signatures on required payer consent forms.
• Submit retro authorization requests, provide support for retro SCA projects, and follow up on retro auth submissions until final resolution.
• Identify problem cases and escalate issues to Clinical Appeals Specialist as appropriate.
• Attend and participate in all monthly UR Team meetings and all quarterly Denials meetings.
• Adhere to privacy and HIPAA guidelines.
• Perform and/or assist with special projects as assigned.

Job Description
Under general supervision and in accordance with established policies and procedures, abstracts and complies pertinent medical information form the patients medical record in response to requests and subpoena inquires received. Provides services related to outpatient registration and outside medial authorization processing.
Essential Responsibilities:
+ Upholds Kaiser Permanentes Policies and Procedures, Principles of Responsibilities and applicable state, federal and local laws. 1. Reviews request received from outside providers, agencies, schools and attorneys. Verifies that proper authorizations are obtained in compliance with all regulations, requirements, laws and guidelines as promulgated by licensing, accrediting, or regulatory bodies. Orders Medical records, obtains missing authorizations and verifies that appropriate information is in the records. 2. Answers and screens incoming phone calls for department. A screen inquires related to various services and medical centers general health related questions. 3. Assists patients or requestor by telephone or in person in obtaining release of medial information by obtaining required release authorization, determining urgency of request, screening to determine needs and initiates procedures to facilitate request. 4. Abstracts patients chart to obtain requested medical information; summaries and composes information for outside medical facilities, physicians, government agencies and schools. Composes and types letters or forms to provide information requested. 5. Prepares narrative style medical reports for a variety of claims by abstracting and paraphrasing hospital and clinic chart entries, reviews and discusses complex or unusual medial cases directly with the treating or supervising physician, and writes non-routine letters on an individual basis. 6. Communicates by telephone and letter directly with employers, union and insurance company representatives, attorney and other professional people for authorization and other information required to process the members various health related forms. 7. Reviews patients records and requests physicians to dictate complicated cases; maintains liaison between physician and requestor. 8. Transcribes physicians patient-related correspondence from central dictation system or handwritten letters. 9. Completes required forms and letters using computer software of typewriter. 10. Initiates requests for medical histories by typing designated medical request forms, mailing to appropriate agency or physician, and following-up when request is not answered within designated time.
+ 11. Monitors outside medical continuing care cases and secures proper authorization for payment. Assures authorizations adhere to contractual guidelines for proper processing. 12. Codes various health related forms for completion as required using ICD-9/ CPT codes or other approved coding system. 13. Bills, collects and reconciles any applicable fees for providing requested information. Makes adjustments as required on disputed billing inquires. 14. Verifies receipts with payments received, prepares bank deposit, posts transactions to accounts, balancing account entries to bank deposit. Requires working knowledge of current accounting data base system. 15. Assists medical center personnel by providing written material, training and answering technical questions pertaining to proper completion of established security and cash control procedures, computer program updates and Health Plan benefit changes. 16. Accepts subpoenas and authorizations for various attorneys and agencies. Coordinates the copy of these medial records with outside providers. Assures only authorized records are released. 17. Greets Health Plan members, discusses, counsels and instructs patients on how to handles requested medical information, coordinates processing of forms and letters. 18. Maintains allergy antigen accounts, confirms health plan status and antigen materials are current. 19. Maintains computer tracking system of health related requests. Maintains departments records, filing systems, prepares follow-up forms and photocopies records as necessary. 20. Opens, sorts and distributes mail. Orders department supplies as needed and assures supplies are maintained and charges correctly. 21. Specific duties may vary according to desk assignment. 22. Helps familiarize staff in essentials of position. 23. Performs other duties as required. 24. Promotes, ensures, and improves customer service to internal/external customers by demonstrating skills which are consistent with the organizations philosophy of providing extraordinary customer relations and quality service. 25.
