**Job Description**
We are seeking a Tax Senior Specialist with strong U.S. tax experience to join our team. This role is critical in managing the timely and accurate filing of Ultium's tax returns and ensuring proper tax reporting and accruals in our financial systems. Turning Stone Enterprises is seeking a detail-oriented Tax Specialist to support our multi-state tax compliance efforts. In this role, you'll help ensure employees across the country are properly set up for state and local taxes, working closely with our Payroll, HR, and Legal teams. You'll manage tax registrations, review filings, track agency notices, and help keep everything organized and compliant as our organization continues to grow.

What you will do as a Tax Specialist:
  • Prepares State registrations/applications for income tax withholding and unemployment account purposes for various entities of the organization.
  • Monitors locations of all employees outside New York and ensure state and local taxes are setup properly. Maintains list by entity of states and number of employees.
  • Ensures new employees out of New York State are properly setup in the system and any State registrations are made on a timely basis. Also ensures any terminations are monitored and we finalize any state filings where we no longer need to file returns.
  • Works with Payroll and People & Culture on determining appropriate state filing/withholding requirements for out of state employees.
  • Coordinates all correspondence with state agencies and tax preparers (e.g. UKG, ADP and WURK) regarding state withholding or unemployment tax registrations, issues/notices or filings as authorized by the Director and the Legal department.
  • Interacts with Legal staff on review of state applications or issues/notices.
  • Reviews all state payroll tax and unemployment filings prepared by outside payroll service organizations to ensure accuracy and timely reporting. Maintains a compliance checklist of all filings required.
  • Logs and reviews agency notices received from the state governments and other agencies.
  • Maintains expertise on state income tax and withholding tax rules for different types of employees, such as remote workers and workers working in the state, as regulations are continually modified.
  • Creates and maintains General Operating Procedures for areas of responsibility.
  • Applies principals of accounting to analyze and prepare financial reports as requested.
  • Keeps the Director informed of all pertinent information regarding new state filing requirements and any issues with the state filings.
  • Makes recommendations to Director in regard to analysis completed on any account.
  • Effectively prioritizes workload in order to accomplish most urgent tasks first.
  • Accurately and effectively completes normal job duties in a minimal amount of time and is able to assist Director with special projects or requests.
  • Prepares, tracks and distributes licenses issued by the Tax Department.
  • Receives and tracks internal and external sales tax returns received by the Tax Department.
  • Answers tax department phone line and assists with questions arising from tax portal usage.
  • Maintains the Oneida Nation Tax Portal.
  • Provides information to auditors during the Tax Compliance audit.

  • Works toward automation of processes.

  • Prepare various calculations and tracking schedules as required, ie. tracking taxable gains, property attributes, secured debt, etc.
REQUIREMENTS:
  • Bachelor's degree in accounting or other college degree and a combination of coursework and 0-2 years professional tax experience.
  • Some accounting or tax experience is preferred, but is not required.
  • Must possess strong analytical, communication and follow-up skills and have a basic working knowledge of partnership and corporate, federal and state taxation.
  • Working knowledge of Microsoft Excel; exposure to database and/or tax preparation software a plus.
Salary: $61,286 - $84,268 per year; in addition to base salary, a discretionary annual bonus is provided.

POSITION OVERVIEW

The Tax Specialist is an integral part of the Global Tax Team. The primary responsibility of this role is to assist with the preparation of federal, state, and local tax compliance, conduct research on relevant technical tax matters, and support the preparation of ASC 740 calculations. As part of a small tax department, the Tax Specialist will gain exposure to a broad range of tax areas.

KEY RESPONSIBILITIES

Tax Accounting and Reporting
  • Assist in the preparation of the income tax provision and ongoing tax accounting maintenance
  • Upload and manage tax data in OneSource Tax Provision
  • Generate reports and perform comparative analysis using OneSource Tax Provision
  • Calculate M adjustments and reconcile deferred tax balances
  • Prepare tax account reconciliations for federal, state, and international entities, and propose necessary adjustments
  • Support the annual external tax audit process
  • Assist with Superfund tax compliance reporting and prepare monthly account reconciliations in OneStream
Tax Research and Planning
  • Conduct research on technical tax issues and prepare clear, well-documented internal memorandums
  • Monitor and stay current on changes in state tax laws and regulations
  • Analyze and calculate the tax implications of expanding into new tax jurisdictions
Tax Administration and Miscellaneous Tax Items
  • Support the enhancement and implementation of tax processes and participate in special projects
  • Prepare requisitions for purchase order requests in SAP for tax-related vendors
  • Assist with updating the cash forecast of tax-related payments
  • Coordinate tax payments with Treasury and Account Payable team
Team
  • Reports to the Tax Manager/Tax Director
  • Peer includes Indirect Tax Principal
EXPERIENCE
  • Minimum 3 years of progressive tax experience with industry and/or accounting firm tax experience
  • Bachelor's degree in Accounting, CPA preferred
  • Proficiency in OneSource or similar software for provision and tax returns
  • SAP experience preferred
  • Strong knowledge of MS Office applications, specifically Excel
Skills
  • Strong organizational and time management skills; self-motivated and capable of thriving in a fast-paced environment
  • Proven ability to manage multiple priorities while maintaining high attention to detail

The Role

We have a great opportunity for a tax professional to join our growing Finance Team. Reporting to the US Regional Controller, this is a great role for someone who would like to expand their tax knowledge and take ownership of the expanding global tax compliance.

Key responsibilities:
  • Manage tax compliance for a growing number of jurisdictions including U.S. Sales and Use Tax and Canadian GST/HST/PST
  • Oversee monthly, quarterly, and annual filings with great attention to detail and meeting all deadlines.
  • Lead corporate income tax submissions and work with our tax partners on more complex issues.
  • Utilize our tax software (Avalara) to meet requirements as new business opportunities evolve.
  • Create standard operation procedures for all tax processes.
  • Work as the internal advisor for tax matters by providing tax compliance training, policies and best practices.
  • Work with our external tax partners on complex tax issues and become the main point of contact for any tax audits.
  • Management of compliance and audit processes & procedures
  • Collaborate with cross-functional teams to support financial operations and provide insights using financial data.
Ideally you'll have/be:
  • Bachelor's degree in Accounting, Finance, or related field; CPA or Master's in Taxation preferred
  • Experience SME and Corporate environments - fast moving, within engineering, software or professional service sectors.
  • 5-7 years of experience including public accounting or senior tax accountant responsibilities
  • Stakeholder management and communication skills

Summary of Duties:
Under the general direction of the Income Tax Commissioner, the Tax Specialist performs tasks necessary to assist with income tax collection and to process and audit income tax return filings. The incumbent reports directly to the Income Tax Commissioner and prepares tax returns, assists with delinquency programs, processing of payments, daily batch entry, collections, and other special projects as assigned.
Example of Duties
Essential Functions of the Job :
  • Responsible for the collection and processing of all city income tax revenue.
  • Maintain income tax records for active taxpayer accounts, as well as inactive accounts with outstanding balances or open issues.
  • Maintenance of taxpayer accounts including identification of new taxpayers, interpretation of available information, establish new accounts, update existing accounts with taxpayer changes and inactivate taxpayer accounts as appropriate.
  • Audit, record, and problem-solve annual individual and business tax returns.
  • Assist individual taxpayers, business taxpayers, and tax preparers in a professional manner (at the customer counter, via telephone, and through email).
  • Prompt and accurate processing of payments (i.e. cash, check, credit card as well as electronic payment files) and daily preparation of bank deposits.
  • Generate and mail correspondence, billing notices, and late filing notices for delinquent accounts.
  • Perform collection steps for delinquent accounts and support processing of third-party collection agent.
  • Import electronic data files including payments and returns (i.e. E-file returns, ACH payments, and business transactions received through the Ohio Business Gateway).
  • Audit and reconcile employer withholding accounts on an annual basis.
  • Process miscellaneous transactions and adjustments.
  • Compute penalty and interest.
  • Perform general office work such as filing, copying, and sorting mail.
  • Represent the City of Perrysburg Tax Division in meetings with the public and/or other city personnel.
  • Maintain confidentiality of sensitive information.
  • Perform any other related duties as assigned by the appropriate authority.
Knowledge and Skills: (*indicates developed after employment)
  • Knowledge of word-processing, spreadsheets, and other office software packages.
  • Knowledge of tax system software (Municipal Income Tax Solutions)*.

Qualifications
Qualifications : (An example of acceptable qualifications)
  • The position of Tax Specialist requires a high school diploma or GED.
  • An Associate's Degree in accounting or finance or a minimum of three (3) years of previous tax experience preferred.
  • This position requires demonstrated proficiency in Microsoft Word and 10-key data entry.

  • Health insurance, including Rx and dental insurance, is available through the City. Employees currently contribute a 10% premium. We have two medical plans available: a traditional plan and an HSA-eligible plan.
  • Vacation: 10 days upon hire through 5 years; 15 days after 5 years through 11 years; 20 days after 11 years through 19 years; 25 days after 19 years through 26 years; and 30 days after 26 years. Candidates with prior public service credits will be eligible to be placed at a step commensurate with their years of public service.
  • The City observes 12 paid holidays.
  • Sick leave may be transferred from other Ohio public jurisdictions provided it has not been cashed out. Sick leave is accumulated at the rate of 15 days per year. There is no maximum accumulation. Unused sick leave is paid according to a formula if an employee leaves, upon normal retirement, with at least 10 years of service or, upon voluntary separation, after 15 years of service.
  • This position is eligible to participate in the City's Deferred Compensation - Program 1, whereby pre or post-tax contributions may be made through payroll deduction to your account.
  • The City also has its own Health and Wellness Clinic. The Clinic is available to employees and their dependents who are covered by our health insurance plan. Most services the Clinic provides are at no cost to the employee, including lab work or any prescription medication that is dispensed there.
  • The City will provide term life insurance at 25,000 after the first of the month following one month of continuous employment.
  • Paid Parental Leave is available after one year of service.
