Job Description:

We are seeking a detail-oriented Data Typist to join our company. As a Data Typist, you will be required to type up company documents from written media and audio recordings, record meeting minutes and notes, and check all written documents for errors. You will also be required to draft documents and perform a variety of clerical duties.

To be a successful Data Typist, you should have a keen eye for detail and possess fast typing abilities. Ultimately, a top-notch typist should be able to spot grammatical errors quickly and have experience with a variety of documents and word processing software.

Responsibilities:
  • Typing up company documents from dictation, audio recordings, written documents, and other media.
  • Recording meeting minutes and notes.
  • Drafting documents, reports, spreadsheets, presentations, and other written material.
  • Reformatting, converting, and merging documents to conform to company specifications.
  • Transcribing handwritten documents and audio recordings to digital documents.
  • Proofreading completed work and correcting spelling, punctuation, and grammatical errors.
  • Managing and maintaining the physical and digital document filing system.
  • Performing general office duties such as copying, scanning, printing, and answering phone calls and emails, among others.
  • Ensuring that the office supplies are maintained and informing the supervisor of any issues or requirements.
Requirements:
  • High school diploma or GED.
  • Prior experience as a typist or data entry clerk is preferable.
  • Typing speed of 50-80 words per minute.
  • The ability to type from dictation.
  • Proficiency in office software such as MS Word, Excel, and Google Docs.
  • A keen eye for detail and the ability to spot spelling and grammar errors.

Rachel S. Croke & Associates, insurance staff counsel for State Farm Insurance Companies, is seeking a Legal Administrative Support role to join the Southfield, MI Claim Litigation office. While every day can provide different experiences and opportunities, a typical day involves providing administrative assistance to Law Department colleagues including attorneys and leadership in a fast-paced civil litigation environment. The office allows for collaborative environments with access to team members for support. This is an excellent entry level opportunity in a legal environment and provides diversity of work and the opportunity for career development. The position is classified as a hybrid role, meaning that the work arrangement calls for hours in the office and virtually. Everyone in a hybrid role is required to spend time in the office. Work arrangements could change over time based on business needs. Hours for the position are Monday-Friday 8:30 AM-5:00 PM.

Responsibilities include, but are not limited to

  • Provide administrative support and assistance to Law Department colleagues, including rotation reception duties
  • New file intake
  • Processing mail
  • Processing Medical Records/Bills/Subpoena & Authorizations
  • Generating Initial Pleadings and correspondence
  • File/e-filing of pleadings
  • Assisting with outstanding discovery requests and generating initial discovery request shells
  • Closing Files
  • Other tasks as assigned


Qualifications

Previous Experience Required

  • Experience working in a legal and or/office environment preferred
  • Strong customer service background

Key Skills required

  • Strong organizational skills, prioritizing, decision making, multitasking, time management, and proactivity
  • Strong written and oral communication skills (attention to detail, accuracy of data entry)
  • Willing to acquire, understand and effectively use new technologies
  • Accurate typing skills
  • Understanding of Filing/E-Filing Pleadings with the Court is a competitive advantage
  • Knowledge of legal and medical terminology, local and state rules regarding pleadings and pre-trial matters, deadlines, and filing requirements is a competitive advantage
  • Experience with medical records collection through subpoenas and/or authorizations is a competitive advantage

Technology/software experience required

  • Working knowledge of Microsoft Office Suite
  • Working knowledge of a Case Management system
  • Working knowledge of a Document Storage system

What you can expect as a Claims Administrative Support:
  • Answer claims phone lines, handle status inquiries, and route calls to the appropriate team, escalating issues when necessary.
  • Receive First Notice of Loss (FNOL) calls and enter information into the system.
  • Monitor Root's AI/Cockpit system and provide input or corrections as needed.
  • Send all urgent claims correspondence using XPS Shipper.
  • Oversee outgoing mail through the O'Brien printing service.
  • Support onboarding for new claims hires, including equipment QA and creation of claims accounts.
  • Assist during CAT events, managing increased phone volume and completing special assignments from CAT management.
  • Process all incoming mail and packages (UPS, USPS, FedEx, and Priority Mail), and handle the remailing of returned mail as needed.
  • Process voids/stop payments, including potential reissues.
  • Support the legal team by monitoring all litigated files for closure.
  • Process invoices for independent adjusters, 1099 employees, defense counsel, and other vendors.
  • Share claims and underwriting files with defense counsel via SharePoint.
  • Process refund checks and recoveries; post to the claim file and issue deductible reimbursements.
  • Share claim documents with carrier appraisers through SharePoint.
  • Assist the accounting department with unclaimed property related to claims.
  • Process AS400/Legacy Portal submissions through the Claims Web Form queue.
  • Participate in special projects to support the claims department.
  • Perform additional duties as assigned by the manager.
What we are looking for as a Claims Administrative Support:
  • Exceptional customer service skills.
  • A high school diploma or GED required
  • 620/720 adjusters license preferred but not required.
  • Notary preferred but not required.
  • 1-4 years of related experience and/or training are preferred.
