**Job Responsibilities**
Responsible for performing administrative functions including distributing mail, ordering, and stocking supplies, answering phones, and greeting visitors

At the direction of the Agency and/or Center Director, perform a variety of administrative and secretarial functions for the DOS/PPT Management Staff and Contract Management staff. **Your future duties and responsibilities:**
Under the guidance of the onsite Government management team, the Administrative Assistant shall perform a variety of administrative and secretarial functions for the Director or Assistant Directors. The Administrative Assistant Level I is responsible for coordinating the large volume of information coming into the office to insure formats and deadlines are being met (i.e. schedules, memoranda, briefing papers, taskers, etc.).
The Administrative Assistant maintains confidential information (employee lists, management contact info, etc.) and at a minimum, shall perform the following functions:
- Answer incoming calls (external and internal to the office in a highly professional manner and forward calls, take messages or resolve calls as warranted on an individual basis.
- Organize, type, collate and file sensitive material.
- Maintain Agency/Center and Director Calendar of upcoming events, guest log, appointments, and other activities.
- Review incoming documents and take appropriate action/distribution.
- Track and monitor the status of memoranda, correspondence and taskers.
- Inform Agency/Center personnel of overdue items, upcoming deadlines, and format and Department procedures for processing documentation.
- Assist with travel arrangements using online Travel Manager System.
- Prepare briefing materials and compile reports.
- Prepare written communications using a variety of office software, specifically: MS Word, MS Power Point, MS Publisher, MS Excel, and SharePoint.
- Provide support to other projects or tasks as required.
- Receive deliveries and arrange for pick-up of outgoing shipments.
- Be responsible for stocking the photocopy and facsimile machines and supplies as well as maintaining their operational status and taking the requested readings.
- Receive and sort incoming /outgoing administrative mail.
- Maintain constant awareness of all aspects of internal security including adherence to the restricted area policies, logging off computer terminals when not in use and securing work at the end of the business day.
- Admit and welcome visitors into facility and maintains visitor login files.
- Process employees for DS badges through the MDIS/DOS enrollment system, PIN resets and unlock badges.
- Liaise with building management to report and resolve maintenance issues.
- Operate office equipment, including but not limited to: document scanners, telephones, intercoms, A-phones, label printers, and cameras.
- Assist with ordering, tracking, receiving, inventorying office supplies through various methods (GSA, CA internal, etc.)

**In this position.**
+ Serve as Administrative Assistant for the Chicago Assembly Plant, primarily supporting the Plant Manager and Assistant Plant Manager.
**What you'll do.**
+ Maintains Plant Time and Data Management and Plant Manager's individual schedule to maximize time spent working on plant objectives
+ Handles all travel and related planning for Plant Manager and assists other members of the Plant Operating Committee as requested
+ Maintains lease car program for LL6+ employees at the Plant including titling and licensing; Coordination of delivery to the plant
+ Coordinates plant conference room schedules
+ Coordinates plant pool car program
+ Coordinates special events at the plant
+ Coordinates Company Anniversary Awards
+ Coordinates the calendar for Plant Manager and Assistant Plant Manager
+ Representative for Community Service Events
+ Sends plant wide communications to the workforce
+ Maintains Plant Manager's Open Door Policy documents and follow-up's as required
+ Support the Plant Manager in their role as culture change champion
+ Develop/manage presentations and communications from the Plant Manager to the workforce
**You'll have.**
+ High School Diploma or GED
+ 5+ years' experience with ALL of the following Microsoft Office programs: Word, Excel, PowerPoint and Outlook
+ Strong communication skills, both written and verbal
**Even better, you may have.**
+ 3+ years of administrative experience in a unionized manufacturing facility highly preferred
+ Illinois Notary Public preferred
+ Demonstrated time management skills
+ Able to work different shifts in special circumstances for plant activities

Gallery Park Dental is seeking an Administrative Director to lead and coordinate the business and administrative functions of our growing dental practice. This leadership role is responsible for human resources, business staff management, patient relations, marketing, IT systems, and facility operations. The Administrative Director will play a vital role in enhancing patient experiences, supporting staff development, strengthening office systems, and driving practice growth.


Key Responsibilities

Human Resources & Team Development

  • Lead recruiting, hiring, onboarding, and performance management for all staff.
  • Conduct evaluations and create development plans.
  • Foster employee engagement through recognition, team-building activities, and office outings.
  • Ensure compliance with labor laws and HR best practices.

Business & Administrative Operations

  • Supervise and support front desk, billing, and administrative personnel.

  • Partner with leadership to identify opportunities for practice growth.
  • Support the rollout of new services, technologies, and systems.
  • Monitor business performance metrics and contribute to long-term planning.


Requirements

  • Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred (equivalent experience considered).
  • 3–5 years of administrative or management experience in healthcare/dental settings, including supervisory responsibility.
  • Proven experience in HR, staff supervision, and patient relations.
  • Marketing and business development experience strongly preferred.
  • Strong organizational, leadership, and problem-solving skills.
  • Knowledge of dental practice management systems, IT operations, and compliance regulations.
  • Excellent communication, customer service, and time-management abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with dental practice management software, Microsoft Office Suite, and inventory management systems.
