**Responsibilities:**
The CeFO program manager manages the NSF IUCRC center activities and tasks for the Center for Freeform Optics (CeFO). The CeFO program manager provides operational support needed by grantees to conduct scientific research in freeform optics.

The CeFO program relies on multiple business systems to track and plan activities and operations. The successful candidate will be required to travel occasionally to meetings and may travel to member sites. This position is most appropriate for candidates with a background in technology who are interested in science administration and have skills such as written and oral communication, graphic design, meeting planning, and data analysis, and who enjoy collaborating and working in a team. These responsibilities include monitoring projects, coordinating and supporting logistics, conducting data collection and analysis, preparing and implementing online tools and strategies for program evaluation activities, and contributing to program reporting. This position requires creative critical thinking and prior experience in administrative roles related to research support and services. This role is also responsible for examining data to make recommendations for actionable insights to the Center Industrial Affiliate Board, senior leaders, and institutional stakeholders. The role will be pivotal to aiding in the center's transition into Phase III and potentially a self-sustaining Center. This position requires a focus on details and a commitment to accuracy. Experience in interacting and working with researchers from a wide range of disciplines, leading, building, or facilitating the formation of teams to address complex research problems may also be required.
Responsibilities:
- In collaboration with the Directors, plans and executes the Centers' multi-site semi-annual Industrial Affiliate Board meeting. Communicates instructions and trains faculty, members, and students on how to access important center information (e.g., BOX, WebEx, Center website). Prepares CeFO semi-annual IAB Directors report by using key performance indicators and ensuring NSF evaluator compliance standards.
- Disseminates the quarterly newsletter, maintains and updates the center website, uploads and maintains BOX documents,monitors requirements (e.g., quad charts, WebEx monthly meetings, publication approval, recruiting approval), and coconducts the majority of member and student communication.
- Responsible for the review and analysis of complex data supporting operational performance measurements and ensuring NSF IUCRC standards for the execution of NSF reports. With diligent organization drafts, facilitates faculty participation in the preparation, and finalizes all NSF reporting for Director review.
- Communicates and meets with project participants (e.g., Center director, deputy director and site directors, faculties, staff, administrative personnel, corporate members, government lab members, students etc.) on a daily, weekly or monthly basis, as needed to develop, formulate, improve, or update projects and systems, databases, and online systems.
- Develops and maintains tools to enhance reporting obtained from university systems, including substantial research performance analysis. Provides support for research dissemination, particularly journal article publications, from a data management and reporting compliance perspective, creates and maintains a project website.
- Facilitates the completion of and stewards the process of Center membership (i.e. record of Membership Agreements, Bylaws, MOU, NDA, IP). Conducts business process analysis and provides oversight and planning goals to improve operations and manages the organizational structure of all center information. Authors and maintains onboarding training manuals, work instructions, and templates. Conducts onboarding meetings.
- Leads weekly Directors meeting to review the state of the center, status of membership, and Center comparatives in order to recommend appropriate action and recruitment strategy.
- Interpret legal documents, including complex RFPs, in support of federal contracts. With highly developed attention to detail, assumes responsibility for performing administrative activities on all contracts and grants supported by a wide range of public or private sponsors, assists the director with the complete range of funding proposals to public and private sponsors, including complex RFPs in support of federal contracts. Ensures that all proposals conform to University and sponsor policies.

Responsibilities:

- Represents the department in requisitioning and arranging for administrative services, including hiring of support staff, space inventory, ordering and monitoring of equipment and supplies.
- Serves as departmental Time-Keeper within the HRMS payroll and invoice system.
- Serves on committees concerned with administrative reporting and functioning. Edits departmental regulations, announcements and minutes of department meetings.
- Provides students and staff with information in respect to University, AS&E and department rules and services, making referrals as indicated and rendering decisions or approvals with established policy. Assists in on-boarding new staff and faculty.
- Monitors monthly budget expenditures related to ledgers for all departmental accounts; attends on-going trainings on institutional budgetary systems (CLASP, Workday, My Path, HRMS).
- Works with the director to provides administrative and fiscal compliance for the HEOP/OMSA tutorial component; monitor student academic usage and progress via coordination with CETL, WSAP, Kearns Center,OMSA associate director, and HEOP assistant director.
- Assist the Assistant Director of Student Engagement and Success with supervising the OMSA Ambassadors, i.e.student assistants.
Specialized Administrative Aid Managing One Or Several Administrative, Service, Or Other Activities Within the Department
- Under general direction as to policies and priorities, manages a particular administrative function for OMSA.
- Provides administrative support to the OMSA advisor of the affiliated multicultural groups and organizations under the direction of the director. The administrative support would require consistent coordination, communication and planning with primary advisors and the following departments: Residential Life, Wilson Commons Student Activities, Dean of Students Office and University Facilities departments.
- Assisting the director in preparation of New York State Education Department interim and final reports for the Arthur O. Eve Higher Education Opportunity Program and Foster Youth Program Initiative. Responsibilities include: internal preparation of departmental financial and workload statements and accounts; estimates and controls expenditures for supplies and auxiliary services; records (with consultation and approval of director) changes to department or sponsored project accounts; coordinates with University and College Accounting and Budget Offices and the Office of Research Accounting & Costing Standards (ORACS).
- Under supervision of the associate director/coordinator of summer program, responsible for hiring of faculty, staff and students in the Early Connection Opportunity and HEOP programs, utilizing FORT, Student Employment and HRMS hiring systems.
- Schedules use of department's facilities, sees to maintenance and equipment, preservation of order, and compliance with safety and other University and department regulations.
- Compiles data, prepares administrative and statistical reports' requisitions and coordinates University services (e.g. data processing, purchasing).
- Plans and makes most administrative arrangements for meetings and special events, including meeting facilities and equipment, travel, and meals for staff and student groups; assists in the preparation of program literature; coordinates with support service departments of the University.
- Typically supervises 1 specially trained assistant or may use clerical services of a central administrative unit.

QUALIFICATIONS:
- Bachelor's degree required.
- A Bachelor's degree in office management, business management, business administration, aacounting, business law, marketing, communication, admisrative assistance, administration, or college student personnel administration is preferred.
- 2 years of relevant administrative experience with demonstrated ability to work with limited direction and to direct the work of support staff required.
- 3-5 years of relevant administrative experience with demonstrated ability to work with limited direction and to direct the work of support staff or equivalent combination of education and experience preferred.

**Responsibilities:**
GENERAL SUMMARY
With minimum direction and considerable latitude for independent judgment, works with faculty and administrative staff in an academic setting to support activities and events related to the graduate and post-graduate level programs of the Marriage and Family Therapy Training Program. Works closely with program leadership and faculty, and reports directly to the Institute for the Family Administrator. This position necessitates good judgment, being a team player, strong customer relations' skills, and excellent organization skills. The Administrative Assistant must be able to deal with considerable complexity, a large volume of work, and be able to adjust to changing priorities and challenges.
**ESSENTIAL FUNCTIONS**
**Family Therapy Programs' Recruitment:**
+ Review applications in Slate for program suitability and review applicant files with the Director.
+ Send weekly or more frequent updates to the Director during the recruitment period.
+ Extend invitations to appropriate applicants for Interview Days and handle all logistics for their visit. For those unable to attend, arrange for virtual interviews.
+ Prepare a concise grid of the applicants' brief bios (name, home state, GPA, GREs, short summary of personal statement); prepare interview schedule; arrange lunch with invitations to current students who would like to answer questions posed by applicants.
**Masters in Marriage and Family Therapy Student Education:**
+ Oversee student registration within UR Student system
+ Manage working reports and class schedules
+ Support faculty in updating/reviewing courses
+ Coordinate logistics for MS/MFT Orientation session
+ Schedule rooms per faculty teaching schedule in preparation for Fall, Spring, and Summer semesters
+ Distribute and collect course evaluations
+ Manage Post Degree registration process in UR Student
+ Process requests for training program in UR Procurement (invoices, requisitions)
+ Order supplies for clinical area (faculty and students)
+ Maintain student files and coordinate with GEPA for any ongoing requirements or changes to those requirements at the time of student exits, ensure that all of students' required documents are in their file.
+ Prepare Programs of Study, obtain signatures, and deliver to GEPA.
+ Handle all forms and correspondence related to licensing, ensuring all forms are filled out correctly with notarized signature of supervisor.
+ FedEx to proper state agency with copy to licensee.
+ Maintain Excel lists of alumni, applicants, etc.
**Family Therapy Programs' Clinical Training**
+ Distribute and collect site agreements, supervision feedback forms, and clinical practicum evaluations, as well as track collection process, for timely entry of relevant data.
+ Run monthly and quarterly reports of students' clinical hours needed for graduation through Time2Track system.
**Program Evaluation and COAMFTE Accreditation**
+ Manage annual calendar for program activities, including data collection and reporting.
+ Prepare Annual Report, due January 31 of each year.
+ Manage correspondence related to annual reports.
+ Take the lead on the preparation of the Self-Study required by the COAMFTE every six years.
