We are looking for a seasoned Global Mobility & Immigration Specialist to join our team. This position will play a significant role in supporting the Americas Immigration program, global relocation and requires some knowledge of APAC and EMEA countries immigration requirements.
In this role you will partner with and provide excellent customer service to People Business Partners, Talent Acquisition, HR Operations, our external vendor partners, and employees to support new hires and internally transferring employees. You will collaborate to provide context and consultation of our policies, and guidance around the complexity of Immigration and Global Mobility practices and issues. You will support updating our documented processes and standard operating procedures and recommending process improvements.
**About the Team**
As a potential job applicant considering a position in the Global Mobility & Immigration team at Nutanix, you would be joining a dedicated team of 4 members spread across different locations globally. Travel requirements for this position at Nutanix are minimal, with no extensive travel obligations expected. **Your Role**
+ Partner as part of the global mobility team to facilitate the America Immigration program and global relocation program to provide a good employee experience and service delivery.
+ Work collaboratively with the Program Manager to track cases, provide data on case metrics to help inform global strategy, and ensure deadlines are timely met.
+ Assist with cases associated with non-immigrant and immigrant visa filings, including H-1B, TN, E-3, L-1, O-1, J-1, PERM, EB-1, EB-2, and EB-3 cases, as well as global visas.
+ Knowledge of the I-9 compliance process, form, and acceptable employment eligibility documents as required by the USCIS to maintain compliance with federal regulations.
+ Conduct routine green card tasks such as postings, advertisements, and educating managers and employees on the process.
+ Initiate services with outside vendors to assist with immigration, relocation and tax services.
+ Monitor changes to employment status, job title, office location and salary and notify appropriate stakeholders.
+ Support our vendor relationship to mitigate potential risks before they occur.
+ Support the day-to-day operations and activities with the Immigration and relocation vendors to ensure compliance, cost-effectiveness and optimal service levels to our employees.
+ Provide consultative support prior to and during domestic moves and cross border transfers, including cost analysis and vendor initiation and coordination.
+ Support managing the process with employees, managers, and people business partners for employees who may need to be relocated due to maxing out on their work permits
+ Help develop and maintain knowledge based articles to support our "self-service" initiatives.
+ Ensure foreign nationals are well-informed by the vendors regarding all stages of their immigrant status including timely documentation, strategy, and case progression.
+ Audit vendor invoices for domestic and international programs (e.g. relocation management company, immigration law firm, tax consultants, etc.)
+ Monitor immigration mailbox - Handle day-to-day inquiries regarding global mobility policies/programs as well as requests for information from managers, employees, recruiting team and outside immigration counsel.
+ Maintain appropriate information in our immigration and global mobility records, including Public Access Files.
**What You Will Bring**
+ 5+ years of U.S. Immigration experience (F1, H1B, L1, TN) and the entire Green Card process to include in-depth expertise administering corporate immigration programs in a corporate HR setting
+ Additional experience in a law firm setting with large corporate clients a plus.
+ Knowledge of global Immigration requirements within EMEA and APAC regions.
+ A thorough understanding of US domestic relocation/international transfers and mobility tax compliance requirements.
+ Experience with electronic I-9 Systems & E-verify, I-9 compliance and employment eligibility verification.
+ Understanding of federal immigration laws and regulations.
+ Ability to handle sensitive information with discretion and integrity.
+ Excellent attention to detail, verbal and written communication skills.

**Work Arrangement**
Hybrid: This role operates in a hybrid capacity, blending the benefits of remote work with the advantages of in-person collaboration. For most roles, that will mean coming into an office a minimum of 3 days per week, however certain roles and/or teams may require more frequent in-office presence. Additional team-specific guidance and norms will be provided by your manager.
The pay range for this position at commencement of employment is expected to be between USD $ 83,840 and USD $ 168,120 per year.
However, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.

Position Reports to: Human Resources Manager, Global Mobility Chair and Corporate Group Co-Chairs

Overall Responsibilities: This is a support position assisting the attorneys within the Global Mobility Department. Primary duties will include, but are not limited, to the following:

  • Prepare nonimmigrant and immigrant petitions and application for attorney and client review (e.g., submission letters, immigration-related forms, supporting documentation). Manage heavy client caseload, including case preparation, client email correspondence, and client status calls
  • Communication with government agencies—such as the Department of Homeland Security and Department of State—to check status, as necessary
  • Client document and data input into immigration software system
  • Utilization of firm-sanctioned AI technologies
  • Creation and maintenance of client status reports
  • Overtime may be required on occasion

Required skills:

Our globally-integrated solutions support global workforce mobility, including immigration, tax, managed services, and digital solutions. As the Tax Global Mobility Services Manager you are responsible for the delivery of a full range of global mobility services for multiple clients in a wide variety of industries. Your responsibilities include interacting closely with clients to provide innovative tax planning, consulting, and compliance expertise for a global workforce; developing and managing staff; working closely with partners and staff on client management, practice development and business development activities; and formulating and delivering innovative cross border tax planning and savings strategies for a multinational workforce.

Your day-to-day may include:

  • Overseeing the efforts of multiple client services teams on client engagements; plan, execute, direct, and complete international expatriate services projects in a wide variety of industries; provide innovative tax planning, consulting, and compliance expertise to clients; market, sell, design, and implement tax-planning strategies for clients and manage to budget.
  • Overseeing the delivery of a full range of international expatriate tax services and advise U.S. and foreign based multinational companies on the tax implications of their global workforce as well as coordinating U.S. tax laws with foreign tax laws to develop an optimal global mobility strategy.
  • Consulting with clients on tax-efficient structuring of international assignments, effective use of tax treaties, minimize worldwide tax burdens of business travelers, manage risk associated with a global workforce for mid-market companies.
  • Managing, develop, train, and mentor staff on tax projects and assess performance for engagement and year-end reviews.
  • Conducting primary and secondary review of complicated or complex US individual tax returns; coordinate global tax compliance services for clients.
  • Facilitating client understanding of international tax development implications.
  • Other duties as assigned.

You have the following technical skills or qualifications:

  • Bachelor's degree in Accounting, Finance or related field is required.
  • CPA or JD required
  • You have a minimum of 4 years experience in progressive tax consulting, preferably with at least 3 years focused on international expatriate services.
  • You have experience with a Big 4 firm, law firm, or large corporate global mobility department of a multinational company
  • You demonstrate superior analytical, technical, and tax accounting/technology skills with proficiency in individual tax consulting and compliance. Experience with inbound and outbound employee relocation consulting. Ability to effectively communicate cross border tax concepts to clients who are not tax specialists
  • You demonstrate experience in practice development, business development, and managing seniors and staff.
  • You have computer expertise including knowledge of tax software and technology.
  • You can work additional hours as needed and travel to various client sites.
  • You have the ability to travel as needed.

The base salary range for this position in Chicago only is between $120,000 to $80,000.
