Logistic Coordinator

Boreal International Corp (subsidiary of Watsco, Inc.) sells and distributes residential, light commercial, commercial parts and supplies of Heating, Ventilation and Air Conditioning (HVAC) products throughout the Caribbean, Latin America, and global market. We currently have an opportunity for a Logistic Coordinator located in Miami, Florida.

Purpose:

This position will be responsible for coordinating and managing customer orders, import/export, and logistics issues to ensure the timely delivery of our customers' orders.

Job Responsibilities:

Reporting to the Logistics Manager, this position will provide support to the sales team in ensuring that customers' satisfaction with the order process by completing all the necessary steps through the order and delivery process.

Under minimal supervision, performs varied and moderately complex tasks including but not limited to:

  1. Manage the FTZ inventory system in Magaya
  2. Liaison with CBP and 3PLs
  3. Maintain proper record keeping
  4. Work with finance and operations related to landed costs and duty payments
  5. Coordinate with external custom brokers, 3PL and trucking services
  6. Receives customers' requests by telephone, email, mail or person. Analyzes requests, provides information requested or ascertains who can best provide the information, routes the request to the proper person.
  7. Respond to requests from customers as it relates to orders, product availability, dispute resolution, invoice requests, shipment proof of delivery.
  8. Receives, reviews, and enters all customer requests according to standard procedures.
  9. Support purchasing/sales department as it relates to stocking PO status for order fulfillment.
  10. Requests status from factories, negotiate deliver dates, update provide dates on sales orders, advise customer of process status.
  11. Arrange routing of products with local and international forwarding companies, act as liaison between customers and transportation companies to assist with delivery of goods.
  12. Ensure freight forwarders and others receive information such as shipping date, weight dimensions of equipment shipped (max load calculations), material safety data sheets (MSDS), as well as IMO information.
  13. Coordinate re-routing of orders when applicable.
  14. Analyzes transactions, corrects records, and adjusts errors.
  15. Maintains liaison with other departments for order completion (sales, credit, warehouse and general office).
  16. Report any and all out-of-line conditions affecting customer satisfaction.

The Logistics Coordinator is responsible for the timely daily shipment order execution and management. The role involves booking and shipment coordination, liaising with various stake holders for warehousing and transportation, shipping document preparation, and regulatory custom and trade compliance.

  • Receive and process shipment orders triggered by Customers.
  • Book freight with nominated carriers based on customer's carrier routine guide.
  • Provide quotation on other services such as warehousing and transportation and documentation services.
  • Liaise with the truckers to collect and truck empty containers from depot to customer premise for stuffing, and to launch the laden container to port thereafter.
  • Prepare Permits and other relevant Applications/Declaration.
  • Prepare Letter of Credit & final shipping documents
  • Monitor shipping documents for shipment clearance, and other regulatory compliance.

  • 1 to 2 years relevant working experience in Air/Sea operations.
  • Fresh Logistics and Supply Chain Management graduates or equivalent from Polytechnics and Universities are welcome to apply.

Responsibilities:
  • Maximize the performance of the site inventory processes and system to ensure: Care, custody, and control of customer inventory; Accuracy (to floor and customer book); Proper utilization of information technology
  • Carry out the planning, coordination and control of taking cyclical inventories according to the procedure established internally and/or with the client and daily consolidate the results
  • Carry out the planning, coordination and control of general inventory takings as contractually agreed with customers and/or defined internally
  • Reconcile theoretical balances together with the client
  • Investigate, document and correct the causes of inventory differences
  • Coordinate and control movements, inventory transactions and daily closings
  • Keeps monetary control of inventory differences against what was contractually agreed with the client
  • Provide customer service and support.
  • Other responsibilities assigned by the Site Manager
  • Working directly with vendors, issuing Purchase Orders, and ensuring accuracy
  • Investigate any/all shrinkage of inventory and advise departmental manager
Requirements/Qualifications:
  • Bachelor's Degree preferred, High school GED required
  • 3+ years of experience in inventory control in a high volume 3PL warehouse environment in the logistics industry
  • SAP, TMS and WMS system experience required
  • Physical ability to move and lift objects as required.
  • Proficient with Outlook, and Microsoft Office applications - PowerPoint, Word, especially Excel with v-lookups and pivot tables
  • Excellent presentation, communication, and organizational skills including effective written and verbal communications skills to communicate with various levels of the organization
  • Excellent analytical skills and strong prioritization skills
  • Excellent problem-solving skills, organizational and multitasking abilities
  • Ability to prioritize, ability to shift one's focus to urgent issues while not falling behind on other duties
  • Ability to build trustworthy relationships with vendors/customers, and experience with vendor management
  • Extremely strong customer focus with an entrenched "Can-Do" attitude
  • Experience / knowledge of freight processes including dispatch and inbound preferred
  • Leadership and supervisory experience.
  • Knowledge of safety regulations and best practices in warehouse operations.
  • Attention to detail and a commitment to accuracy in inventory tracking.
Physical Demands:
  • The position requires the ability to talk and hear while performing the duties of this job.
  • The position requires the ability to stand, walk, use hands to handle or feel, and reach with hands and arms.
  • The position requires dexterity to write and use computer keyboard and mouse.
  • This position requires the ability to occasionally lift office products, materials and supplies, up to 50 pounds.


Pay range is $15 - $20 per hour with full benefits available, including paid time off, medical/dental/vision/life insurance, 401K, parental leave, and more. Pay is based on several factors including market location and may vary depending on job-related knowledge, skills, and experience.
