This role provides support to customers, shippers, suppliers, shipping agents, Marine Group, Project Managers, and Operations.   • Submitting claims for shortages/overage/damages with various suppliers, carriers, and other internal branches.
  • Accurately verify data for inventory tracking, including receiving, shipping, and adjustments
  • Preparing shipping and receiving documents such as bills of lading, purchase orders, and transfers/Returns.
  • Assisting with the preparation and distribution of various reports, forms, and documents.
  • Maintaining filing systems and ensuring documentation is organized and easily accessible.
  • Must be able to move around the warehouse, stand for extended periods, and lift-up to 25 lbs. occasionally.
In addition to the above responsibilities, this individual is held accountable for all other duties as assigned.

Preferred Qualifications
  • Bilingual (Spanish)
  • Prior experience in an administrative or warehouse support role preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to multitask and prioritize in a deadline-driven environment.
  • Experience in a wholesale HVAC equipment supply house preferred

Work Schedule Monday through Friday with an occasional Saturday. This position may require working extra hours on occasion.

POSITION SUMMARY:

Responsible for identifying, coordinating and maintaining logistics activities to include International and Domestic transportation as well as domestic distribution. Works closely with client's transportation and materials management teams to proactively manage customer and vendor supply chain segments and meet order processing, shipment delivery deadlines and the related supply chain reporting and processes. Maintains visibility of all shipment departures via all major modes of transportation. Coordinates transportation when necessary and obtains movement status from air carriers, ocean carriers, motor carriers, railroads, drayage carriers and warehouse operations. Continuously reviews and analyzes customer's current supply chain network activities to identify improvements and reduce total costs. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. QUALIFICATIONS:

Required
  • Two (2) years of recent experience in the transportation and distribution industry, to include import documentation, inland trucking, and warehouse distribution programs.
  • High school diploma or equivalent.
  • Knowledge in motor carrier load tendering, routing, rate activities, ocean import activities, freight tracing and expediting activities.
  • Knowledge in supply chain distribution activities to include order processing and replenishment programs.
  • Basic to Intermediate proficiency in MS Outlook, Word, and Excel.
  • Must be able to communicate effectively in English and Spanish (verbal and written).
  • Strong time-management and organizational skills. Must be able to prioritize and be detail-oriented.
  • Ability to work with limited supervision, multi-task and possess strong initiative.
  • Ability to establish and maintain effective working relationships with customers, vendors and fellow employees.
  • Ability to think logically and follow procedures and instructions.
  • Ability to work extended hours, holidays and weekends, as needed.
Preferred
  • Experience with LCL/FCL (Less/Full Container Load), and cargo consolidation/deconsolidation
DUTIES AND RESPONSIBILITIES:

Primary
  • Analyzes and coordinates the movement of inbound international shipments via both Ocean and Air to include, but no limited to review of ocean BL or Air waybill, cargo clearance documents, arrival notices as well as submission of delivery orders and coordination of domestic transportation.
  • Reviews packing slips, commercial invoices, Advance Shipment Notices and routing instructions for the proper distribution of cargo through customers warehouse distribution network.
  • Coordinates inventory of stock and insures product orders are processed within customer routing, ship windows and warehouse release guidelines. Arranges warehousing and transportation of shipments to customers and investigates and respond to inquiries regarding distribution and shipping.
  • Responsible for the entire life cycle of a shipment, tracking, disposition based on customer requirements, cargo distribution, retail routing and vendor routing requirements, internal allocation, delivery, and end delivery.
  • Maintains management and overseas offices informed on a regular basis, alerting management of business opportunities, problems /issues.
  • Verifies and keeps records on incoming and outgoing shipments.
  • Responsible for the billing of all services rendered with the company's defined billing cycle.
  • Responsible for timely and accurate updating of events and tracking report, billing reports, and other reports associated with assigned accounts.
Secondary
  • Works with air and ocean transportation carriers to ensure all shipment charges have been satisfied and documents presented in order to maintain the flow of cargo release.
  • Recommends processes and concepts to improve movement efficiencies, cost savings, and profitability as applicable. Maintain and update standard operations procedures.
  • Other related duties as assigned.
