Job Description
We are looking for a dedicated HR Accommodation Assistant to join our team in Columbus, Indiana. This is a long-term contract position offering an opportunity to support key human resources functions, including onboarding, employee relations, and HR administration. The ideal candidate will play a vital role in ensuring efficient HR processes and providing exceptional service to employees.
Responsibilities:
- Manage the leave of absence process for the Company's US workforce by providing exceptional customer service to employees navigating through their time off requests and coordinating relevant information with applicable vendors.
- Serve as a single point of contact for each employee on an approved leave of absence for the assigned business unit(s); to include helping employees initiate a claim in workday and setting proper expectations, maintaining regular contact with the employee throughout the leave process, facilitating requests for accommodations and the return-to-work process.
- Partner with HR and supervising management team to review status of cases and develop legally sound strategies for mutually beneficial resolution. Facilitate communications with employee, supervising manager, Human Resources, Retail Operations and the disability carrier.
- Ensure all requests are responded to in a timely manner and that all leaves are managed in accordance with company policies and legal requirements outlined in FMLA and ADAAA.
- Respond to employee-impacting issues that may arise during the leave event and verify that proper communication occurs.
- Manage complex leave issues, identify procedural irregularities and areas of impact on other business processes, such as Payroll and Benefits, collect data, establish relevant facts and draw valid conclusions leading to effective solutions for the individual employee and the Company
- Serves as a consultant to HR and Retail Operations Partners in developing alternate work delivery methods and job aids that allow the employee to perform the essential requirements of the position while ensuring that the employee is working within restrictions as medically supported by the employee's physician.
- Manage the interactive and accommodation process for employees returning from medical leave with restrictions and/or limitations in collaboration with HR/leadership team and outside vendors.
- Manage the interactive and accommodation process for employees returning from workers' compensation claims with restrictions and/or limitations in collaboration with WC partner, HR/leadership team and outside vendors.
- Communicate regular updates to employees and stakeholders, both verbally and in writing.
- Maintain detailed process records for accurate and timely information/documentation.
Requirements
+ Workday, PeopleSoft, Oracle or SAP HR/payroll experience
+ Minimum of 1-3 years of specific experience in Leave of Absence administration in a high volume, fast paced environment on a national level
+ Knowledge of applicable federal and state laws pertinent to leave of absence administration, including FMLA, ADA, ADAAA of 2008, HIPAA, etc.
+ Ability to handle sensitive and confidential matters appropriately
+ Strong organizational, communication (written and oral) and time-management skills
+ Keen attention to detail and ability to prioritize in a rapidly changing environment
+ Ability to work independently, yet manage to tight deadlines
+ Superior MS Excel & Word skills
+ Excellent interpersonal skills with the ability to handle sensitive employee relations matters.
+ High level of organization and attention to detail in managing administrative tasks.
+ Ability to maintain confidentiality and exercise discretion in all HR activities.
+ Proficiency in Microsoft Office applications and other relevant software.
+ Strong written and verbal communication skills for effective collaboration and problem-solving.
+ Bachelor's degree, preferably in a related field, such as, Human Resources, Labor Relations or Business Management, or comparable work experience (preferably 4-6 years).
