**Role Purpose**
The Administrative Assistant plays a key role in ensuring the smooth operation of daily activities for the Operations Team. They will provide comprehensive administrative support, coordinate schedules, manage records, and assist with project-related tasks. The ideal candidate is self-motivated, highly organized, detail-oriented, proactive, capable of multitasking in a fast-paced environment, and works independently while fostering teamwork and collaboration across departments.
**Key Responsibilities**
Administrative Support
+ Provide administrative support to the Operations Team.
+ Prepare reports, presentations, spreadsheets, graphs, and other documentation as required.Maintain accurate filing systems (physical and digital) for operational records.
Scheduling & Coordination
+ Manage calendars for team members; schedule meetings and appointments.
+ Coordinate logistics for internal meetings and external events, including booking conference rooms, venues, and catering.
+ Assist with travel arrangements, including flights, accommodations, and itineraries.
Communication & Collaboration
+ Serve as a liaison between departments to ensure smooth communication within the organization.
+ Liaison with HR and FTW Manager to coordinate union technician resource needs for the Technology Community, including onboarding and assignment tracking.
+ Respond promptly to inquiries from internal staff or external stakeholders via email or phone.
+ Relay messages accurately and maintain confidentiality when necessary.
Operational & Project Support
+ Track key metrics related to operations processes; assist in compiling data for reporting purposes.
+ Maintain quality documents and training records.
+ Support department budgets and purchasing (POs, AR tracking, Pcard management), financial charge numbers, and month-end financial reviews.
+ Assist with onboarding new workforce members, including preparing welcome packets and coordinating initial setup.
**Experiences/Education - Required**
+ Education: AAS Degree or equivalent education.
+ Experience: Minimum of 5+ years in a related position.
+ Technical Proficiency: Strong skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio).
+ Knowledge: Familiarity with SharePoint, Teams, purchasing systems (POs, Pcards), and basic finance (capital tracking, charge numbers).
**Experiences/Education - Desired**
+ Experience creating reports, graphs, and presentations.
+ Familiarity with purchasing systems and basic finance
+ Ability to troubleshoot and problem-solve using available resources.
+ Comfortable working across all levels of the organization.

The range for this position is $60,570.00 - $83,285.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position are dependent on hours worked and may include medical, dental, vision, 401(k) plan, pension plan, life insurance coverage, disability benefits, and PTO.
