As an Executive Assistant, you will work across the Data Center Infrastructure organization, specifically supporting Executive leadership in scheduling, travel, action item tracking, coordinating with other leadership and their EAs, and planning virtual and on-site events that include catering and leadership meetings.
We have an immediate need for a driven, detail-oriented, excellent follow-thru Executive Assistant who will work directly with our Senior Vice President and one or two of his leadership team. This unique position allows the Medical College of Georgia Department of Pathology to contribute in an important and meaningful manner to clinical care through the provision of timely and accurate diagnoses as well as laboratory testing results. At the same time, investigative approaches within the department seek to further define our understanding of disease processes, paving the way for therapeutic interventions. The Department embraces the tripartite mission of the Medical College of Georgia i.e. clinical service, education, and research. The Department of Pathology (Anatomic and Clinical Pathology) has 22 clinical faculty, including 2 members based at the Athens Campus, and 6 research faculty. Clinical services are delivered primarily to AU Medical Center's 478 bed adult hospital and the 154 bed Children¿s Hospital of Georgia. The Department also operates Georgia Esoteric Molecular Laboratory, an independently licensed and CLIA certified reference laboratory, which provides esoteric molecular testing and pathology consultation services for hospitals and physicians. Approximately 1.3 million clinical laboratory procedures and 13,500 surgical specimens are processed annually. With specialty trained experts in almost every area of anatomic and clinical pathology, we provide diagnostic and consultative services, facilitating key clinical decisions. Job Summary This position supports the Chairman of the Department of Pathology, Medical College of Georgia, Augusta University and is responsible for providing support to the Department Administration by planning, organizing and managing the administrative staffing resources supporting the faculty of the Augusta University Department of Pathology. ADMINISTRATIVE Departmental faculty time-off data input for OneUSG. Correct and review biweekly and exempt faculty/staff work hours/leave via the OneUSG system. Provide administrative/clerical support to the section for Clinical Pathology faculty. Maintain the operation of the Chairman's office. Departmental mail receipt and distribution. Initiate and complete faculty travel authorization and travel reimbursements for Clinical Pathology faculty. Maintain, update and distribute the Clinical Pathology faculty on-call schedules (3). Responsible for data input into the ONCall system/QGenda system. Input immediate changes and provide Immediate notifications. Greet visitors/customers within the Chairman's Office ' Facilitate telephone calls for the Chairman's office. Support the Department Administrator IV and Business Operations Specialist as needed. OTHER Perform other related duties as assigned. Required Qualifications Associate's degree from an accredited college or university in a related field and a minimum of four years' progressively responsible experience in administrative support positions OR High School Diploma, GED, or equivalent from a State or Federal accrediting organization and seven years' progressively responsible experience in administrative support positions. Preferred Qualifications Five to ten years' progressive executive office experience. Knowledge, Skills, & Abilities KNOWLEDGE Proficient in Microsoft Office and other computer software/databases. Job Summary Manage the department's student rotations including coordinating rotations, posting grades, and completing other duties required as part of the program. Provide administrative support for assigned faculty (no more than five and no less than two) which will include various duties including but not limited to coordinating travel, maintaining calendars, etc. Serve as receptionist for the department's front desk. Responsibilities Responsibilities to include, but are not limited to: Manage the department's student intern rotations including coordinating rotations, posting grades, and completing other duties required as part of the program. Coordinate travel and prepare travel expense statements for assigned faculty. Assist faculty by maintaining calendars by completing various tasks including but not limited to scheduling meetings and appointments, submitting leave requests, etc. Serve as receptionist for the MCG-Ophthalmology administrative suite by greeting guests, answering phones, monitoring fax machines for incoming documents, etc. Complete other duties assigned as necessary including but not limited to making copies for meetings, updating office signs, etc. Provide administrative support for assigned faculty (no more than five and no less than two) which will include various duties including but not limited to coordinating travel, maintaining calendars, etc. Required Qualifications Associate degree from an accredited college or university in a related field and a minimum of three years progressively responsible experience in administrative support positions.
