Job Duties
+ Effectively anticipates needs and workload of Executive or Officer; identifies and addresses daily, intermediate and long-term needs and issues and plans accordingly.
+ Management of schedule, coordination of meetings with other participants; workload; mail; travel, etc.
+ Effectively manages planning schedule for major projects ensuring coordination and timing with other participants and project owners.
+ Briefs Executive or Officer on these activities.
+ Effectively manages routine clerical functions.
+ Screens telephone calls and assists individuals, appropriately directing calls to system staff.
+ Manages coordination and development of agendas for committees, meetings, and visitors.; prepares Executive or Officer for meetings and provides necessary materials.
+ Attends identified committee meetings to take minutes and to provide follow through on next steps.
+ Maintains accurate records.
+ Sorts and screens mail; may independently respond to and follow up on issues as appropriate.
+ Independently drafts correspondence for signature.
+ Effectively manages schedule for (Executive or Officer, balancing routine schedule with strategic and emergent needs.
+ Accurately and effectively manages travel arrangements.
+ Completes reconciliations in accurate and timely manner.
+ Coordinates group travel, lodging accommodations, breaks, dinner, and other related activities for various functions.
+ Maintains Information Technology and Communications requirements for assigned office.
+ Establishes and maintains resource and reference files and materials.
+ Provides coverage for other offices as necessary.
+ Maintains a working knowledge of System activity.
+ Assistsin development and management of budget.
