RESPONSIBILITIES AND DUTIES
Customer Service & Administrative primary duties:
  • Handle incoming calls, emails, or chat inquiries with professionalism and courtesy
  • Makes and receives phone calls to support external and internal customers. Calls may be via live video chat with customers
  • Listen actively to customer concerns, providing accurate information and effective solutions
  • Resolve issues promptly to ensure high levels of customer satisfaction
  • Escalate complex issues to supervisors or other support levels as needed
  • Document and update customer interactions in the system accurately
  • Follow company procedures to maintain consistency and quality
  • Creates, completes, updates, and reviews employee and client records
  • Enters information into computer databases for effective record-keeping
  • Enroll customers in various services offered and walk them through any questions or concerns
  • Administers new and existing DocuSign accounts
  • Prepares and sends documents via mail using approved communications
  • Ensures the proper naming and saving of documents in the document management system
  • Ensures all compliance standards are met for audit purposes
  • Completes administrative tasks such as filing, copying, data entry, etc.
  • Applies payments
  • Collects on unpaid claims
  • Maintains confidentiality of records relating to clients
  • Collaborates with other staff members to optimize delivery of services
  • Other duties as assigned
EDUCATION
  • High School Diploma or GED required
  • Associate degree preferred
EXPERIENCE AND QUALIFICATIONS
  • Experience in data entry and processing invoices
  • At least 1 year of related work experience. Previous experience working in a call center highly preferred
  • Excellent written and oral communication skills
  • Extensive experience in working on complex projects with critical thinking and problem solving
  • Excellent organizational and administrative skills with demonstrated ability to work towards and meet deadlines by planning and organizing
  • Must be able to work various computer operating systems and Microsoft Office
  • Demonstrate ability to build positive relationships and communicate with people of diverse backgrounds and abilities

The Senior Manager of the Project Management Office is a senior leadership role within Judicial Information Systems (JIS). This position oversees the JIS portfolio of projects, establishing and implementing project, program, and portfolio management roadmaps, and providing significant input to the IT Master Plan. The role is crucial in guiding JIS projects from inception to completion, ensuring they are delivered on time, within scope, and on budget.

Key Responsibilities:

  1. Manage, coordinate, advocate, and facilitate enterprise IT demands and projects that comprise the JIS Project Portfolio.
  2. Balance project management expertise with strong leadership skills to achieve success in the execution of complex IT projects.
  3. Oversee all aspects of the JIS demand and project pipeline.
  4. Equip JIS, AOC, and court leaders and stakeholders with information to make data-driven decisions regarding the prioritization of proposed projects.

  16. Work in close cooperation with the JIS units to evaluate, scope, and provide recommendations for new requests submitted through the Demand intake process.
  17. Assist JIS unit and project teams with project coaching, and training on processes and tools.
  18. Participate in the evaluation and selection of project management and/or business analysis software and tools that best meet the Judiciary's needs.

Leadership and Supervision:

  1. Provide leadership, direction, and mentoring to a team of professional staff.
  2. Supervise employees, including selecting or recommending selection, training, assigning and evaluating work, coaching, counseling, disciplining, termination/recommending termination and conducting performance reviews.

Minimum Qualifications:

Education: Bachelor's degree from an accredited college or university.

Experience: Eight (8) years of IT project management experience, including running large multi-million-dollar projects; managing the execution, monitoring, and evaluation of major IT projects; and leading project teams within medium to large organizations. Four (4) years of experience in direct supervision of professional staff.

Licenses and Certifications: Preferred: Project Management Professional (PMP) certification.
