Duties will include:

  • Escort patients to and from the exam room and complete the patient intake according to protocol
  • Clean and straighten exam room between patients
  • Prepare syringes and administer subcutaneous and intra-muscular injections
  • Assist provider with injectable procedures
  • Prepare pathology and lab specimens and route them to the correct lab as required by the patient's insurance
  • Respond to patient questions in office and via phone as instructed by the physician
  • Schedule or re-schedule appointments with providers, specialists as necessary.
  • Work in compliance with OSHA, blood borne pathogen standards
  • Knowledge of and compliance with HIPAA standards
  • Maintain medication samples, discard out-of-date supplies, and keep appropriate records
  • Trains other employees on medical assistant duties as required by the practice
  • Assist with check-in or check-out procedures at the front desk when needed as a backup
  • Perform additional duties as required

Provider will work independently or under direct supervision of Physician in a collaborative and patient-centered environment.

Qualifications:
  • At least one (1) year of medical assisting experience (preferred)
  • Completion of a Medical Assistant, Certified Nursing Assistant program
  • Thrives in a fast-paced environment and able to work well within a team
  • Professionalism and strong customer service skills are a must
  • Able to communicate with doctors clearly and concisely
  • Able to communicate with patients and co-workers in a professional and friendly manner
  • Must be able to lift at least 15 pounds, stand for prolonged periods (i.e. an hour at a time)

Performing general office duties incorporating a variety of basic and routine clerical and secretarial duties in a clinical environment.

As a secretary/receptionist at Fresenius Kidney Care, you will be an integral part of a cross-functional team, providing administrative support to maintain clinic operations and provide the best customer care for patients living with kidney disease.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

   Under general supervision, follows established company policies and procedures and applies acquired job skills to:

 Patient Engagement and Front Desk - Responsibilities may include the following based on location and business need:

  • Answering telephone & routing calls to the appropriate person
  • Professionally greet all patients and guests.
  • Maintain a professional environment at all times. Monitors the reception and waiting areas.
  • Distributing incoming mail.
  • Obtain necessary signatures to ensure the efficient processing of admissions data in accordance with FMCNA policies  and procedures.
  • Ensure all aspects of patient confidentiality are maintained at all times

 Scheduling and Registration - Responsibilities may include the following based on location and business need:

  • Maintains accurate records of hospitalization, patient travel, etc. to facilitate coordination of patient scheduling, ancillary testing, etc.
    • Prepares medical records for facsimile or mail related to travel, transplant, disability and others.
    • Organizes travel for patients by contacting and providing requested medical records.
    • Coordinates with transient patient paperwork.
    • Coordinates transfer placements and confirmations along with Clinical Manager.
    • Confirms admissions paperwork is completed and sent to designated department(s), such as billing, by collecting, faxing and scanning.
    • Assist with medical appointment referrals and scheduling.
    • Assist with transportation coordination and referrals.
  • Ensures data entry has been completed for Crown Web. Related to ESRD 2728. ESRD 2746 and PART.
  • Monthly insurance card scanning

Administrative and Additional Responsibilities - Responsibilities may include the following based on location and business need:

  • Setting up and maintaining filing systems and basic databases as applicable.
  • Completing forms and reports as required by the various company offices and outside vendors and agencies.
  • Preparing purchase orders using the appropriate software application.
  • Assisting with department/facility accounts receivable and accounts payable functions and responsibilities as needed.
  • Maintaining inventory of the necessary office supplies
  • Assists in auditing records for ongoing compliance with medical records standards (H&Ps, monthly physician progress notes, care plans, etc).
  • Assists in the collection of Patient Demographic Information and Continuous Quality Improvement Data.
  • Assemble, file and maintain patient medical records
  • Print patient schedule and pull patient charts daily.
  • Arrange for package pickup and delivery.
  • Assists with month-end reporting requirements.
  • Participate in collaboration sessions such as center/team huddles and staff meetings.
  • Attend education and training sessions as appropriate and apply key learnings.

**Summary**
The Executive Assistant to the Chief Human Resources Officer (CHRO) provides high-level administrative support to the CHRO and plays a critical role in ensuring the smooth functioning of the Human Resources leadership team and function as a whole. This individual will manage complex calendars, coordinate internal and external communications, handle confidential information, and support special and other projects and initiatives across the HR organization. This role may also provide administrative support to other C-Suite leaders as assigned.
The pay range for this position is $36.80 - $55.20 per hour, based on experience and qualifications with annual bonus available (variable depending on performance). Overtime may be available.

**Principal and Essential Duties & Responsibilities**
+ **Calendar & Schedule Management:**
+ Proactively manage the CHRO's calendar, including scheduling meetings, resolving scheduling conflicts, and prioritizing time.
+ Coordinate internal and external meetings, including off-site events, board-member meetings, leadership team sessions, etc.
+ **Communication & Correspondence:**
+ Serve as a primary point of contact for internal and external communications on behalf of the CHRO.
+ Draft, proofread, and edit emails, presentations, reports, and other correspondence.
+ Manage sensitive and confidential information with discretion.
+ **Meeting Coordination & Logistics:**
+ Prepare agendas, take meeting minutes, and track follow-ups for key leadership meetings.
+ Arrange logistics for in-person and virtual meetings, including technology setup, catering, and travel coordination.
+ May assist other C-suite administrative staff in coordination and preparation for large scale off-site meetings (board meetings, leadership meetings, etc.)
+ **Project & Initiative Support:**
+ Support HR and other projects/strategic initiatives through research, coordination, and tracking deliverables.
+ Collaborate with other administrative staff and departments to ensure smooth execution of company-wide HR programs.
+ **Travel & Expense Management:**
+ Arrange complex travel itineraries and accommodations.
+ Process and track travel and expense reports in compliance with company policy.
+ **Administrative Support:**
+ Maintain and organize key files and documents.
+ Handle invoice processing, vendor communications, and budget tracking for the CHRO's office.
**Minimum Education and Experience**
Bachelors Degree preferred, or relevant equivalent experience, and 5+ years of experience as an Executive Assistant, with at least two years supporting C-suite executives, preferably in Human Resources or other corporate functions. The candidate must have at least 10 years of experience in overall administration support.
