  • Manage complex calendars, including scheduling internal and external meetings, conference calls, and travel arrangements.
  • Coordinate domestic and international travel, including flights, accommodation, visas, and detailed itineraries.
  • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy.
  • Manage and maintain confidential files and records.
  • Screen and prioritize incoming communications, including emails and phone calls, taking appropriate action.
  • Assist with the preparation of board meeting materials and minutes.
  • Handle expense reporting and invoice processing accurately and efficiently.
  • Organize and coordinate company events, team-building activities, and off-site meetings.
  • Act as a liaison between executives and internal/external stakeholders.
  • Anticipate needs and proactively address potential issues, ensuring seamless workflow.
  • Maintain professionalism and discretion at all times when dealing with sensitive information.
  • Provide general administrative support as needed.
Qualifications:
  • Associate's or Bachelor's degree preferred, or equivalent work experience.
  • Minimum of 5 years of experience providing high-level administrative support to senior executives, preferably in the financial industry.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and the ability to interact professionally with all levels of staff and external contacts.
  • High level of discretion and confidentiality.
  • Proactive problem-solving abilities and a resourceful approach to tasks.
  • Experience with travel booking and expense management systems.
